1 UW System Title: Working Title: Supervisor s Working Title: Hours/Shift: Department: Supervisory Position: Employee Category: FLSA Status: Position Description Communications Specialist Marketing and External Relations Coordinator Director, Residential Living Monday-Friday, 7:45 a.m.- 4:30 p.m. Residential Living Yes No University Staff Exempt Created/Updated: June 1, 2018 Non-exempt Position Summary The focus of this position is to provide leadership in internal and external marketing as well as information management for an auxiliary department housing office accommodating approximately 3,450 students in 14 residence halls. The position requires independent action based on knowledge of departmental policy and views of the director of Residential Living in communicating with students, parents and other clients. Additionally, this position will work with internal and external groups residing on campus during our summer camps and conferences season. This includes, but is not limited to, supervision of student staff and housing logistics for those groups. This position may require flexible hours at times, including evenings and weekends. Qualified candidates will be able to demonstrate creativity, work collaboratively, take initiative, and have strong oral and written communication skills. This position will work under the general supervision of the director of Residential Living. Primary Responsibilities: % Marketing & Communications (50%) 50% Effectively communicate via written and oral communication with students, parents, departmental staff and other university departments and constituents Develop and implement comprehensive communication plan for the department including print materials and social media venues Responsible for the development and management of Residential Living s Web services and information systems. Assist in the analysis, development and restructuring of business processes as requested Manage department s social media (Facebook, Twitter, Instagram, Hootsuite, etc.). Monitor all social media (including major FB groups managed by other departments) and respond on behalf of Residential Living Develop appropriate outreach materials for various student populations such as International Education Office, transfer students, traditional first-year students and parents of residents. 2 Serve as department s webmaster, creating website content and answering or directing all incoming web-generated queries Oversee production of department s viewbook and contract, working with graphic artist(s), University Communications and Marketing and others as appropriate Utilize professional/university standards as well as continually assess and develop a standard image(s) used in all communications with the UWSP community and external audiences Review, coordinate and update all marketing communications including but not limited to: mass s, campus messages/announcements, hot topics, newsletters, flyers, brochures, website, surveys and photography Serve as resource to department personnel on implementation of university standards for publications Serve as department public relations personnel, providing communication (written, oral, or visual) to university and community constituents, with the coordination of University Communications and Marketing Develop summer orientation materials for new first year students and transfer students Collaborate with hall director assigned to serve as summer orientation liaison Serve on University Communications and Marketing committees as needed Continually assess and develop a standard image used in all communications with the UW-Stevens Point community and external audiences Supervise student graphic artist(s) and photographer/videographer develop projects, ensure compliance with university standards, work with department committees in determining annual projects (e.g., Student Staff Selection, Hall Director Recruitment) and best practices Respond to or direct to others all web inquiries Coordinate annual report pull together written materials and apply one voice, gather data, work with graphic designer for complete project Develop and maintain strong working relationships with University Communications and Marketing personnel and other campus marketers Responsible for most large audience presentations on behalf of Residential Living. Appropriate use of technology (e.g., PowerPoint) is expected Coordinate use of residence hall tour room. Coordinate tour room availability (including recruiting for additional rooms) during major campus events such as ViewPoint, New Student Day, etc. Research and implement a comprehensive system of organizing and archiving departments digital and print media Keep current on new trends with current media options and emerging technology Serve as a liaison to University Communications and Marketing on topics related to branding, publications and promotional designs Summer conferences (30%) Recruit, interview, and hire students for approximately 60 summer conference and project crew positions Conduct meetings with hired student crew leading up to and throughout summer as necessary Collect required contracts, agreements, emergency cards, etc. for all those hired 30% Page 2 of 5

3 Collaborate with the hall directors who have been selected for conference work; have them assume responsibility for their respective areas Manage and maintain student payroll for all hired students Provide direction to student crew supervisors who oversee the student crews Process contract for linen rentals; develop a schedule for deliveries throughout the summer and place the initial order Develop conference overview by building; incorporate facilities projects into the schedule; share with all Residential Living staff Serve as liaison to Dining and Summer Conferences to establish summer rates, group placement, special accommodations, etc., meeting regularly leading up to and throughout the summer Meet weekly with core summer staff to share information about incoming groups, collect information about ongoing and departed camps; make notes for billing and for possible changes for the next summer Coordinate early arrival housing for sports teams and other special groups, as well as individual student requests in August Administrative (10%) Serve as a key member of the department s administrative operations team in developing strategic goals and objectives in conjunction with the strategic direction of the department and the university. Serve as secondary StarRez housing software user to administer housing assignments and billing in absence of housing assignments coordinator Serve as a resource to the central office front desk staff to answer inquiries relating to the department Miscellaneous (10%) Regularly evaluate departmental administrative policies and procedures for adequacy and relevance Coordinate and deliver training sessions to Residential Living staff and other university areas concerning policies Represent Residential Living on various campus committees as needed Support university and department diversity initiatives through written and visual messaging Other duties as assigned 10% 10% Qualifications Knowledge, Skills, and Abilities: Qualifications: Required: Bachelor s Degree in integrated marketing communications or related field OR professional experience in marketing. Basic knowledge of graphic design and website development. Proficiency in Microsoft Office applications, Google Analytics (or similar analytics tool). Effective written and oral communication skills. Successful experience in coordinating promotions and events. Experience in developing marketing plans consistent with brand and product development. Conducting market research. Developing written and visual materials. Experience in developing and managing production timelines. Page 3 of 5

4 Knowledge of professional industry standards and programs. Preferred: Master s Degree in integrated marketing communications or related field. Experience working with graphic design programs (Photoshop, Adobe InDesign). Experience with web content management systems. Experience working with social media to include: Facebook, Twitter, and YouTube, text messaging services and other emerging resources. Experience supervising students in a university environment.
