1 Leave booking Request Units for booking Annual leave Enter unit as days if your entitlement is in days Enter unit as hours if your entitlement is in hours Enter unit as hours if you have a roster Sick leave Enter unit as days Bereavement Leave Enter unit as hours Long Service Leave Enter unit as weeks Annual Leave booking To make a leave request if you have one or more jobs 1. Select Leave bookings Request from the menu Leave under My HR 2. Select Whole Day Leave Booking or Part Day Leave Booking

2 3. If you have selected Whole Day Leave Booking, the following form will be displayed 4. If you have more than one job with leave entitlement, click on the drop down icon to view/ select the job number to book leave against. If you have only one job, the job number will be defaulted automatically. 5. From the job list, select the job number to book leave against 6. For example if you have selected job 3 from the List of Values: Job, 03 will default in the Job Number field.

3 7. Select a Leave code from the dropdown list. e.g. Annual Leave 8. Enter Leave start Date 9. Enter leave finish date 10. Enter unit 11. Enter comments if applicable 12. Click Insert to submit the leave request 13. You will get the following message, if the request was successful Now you need to book leave for your other job/s 14. Click on the link Back to Leave Requests List. You will be able to see the leave you have booked. 15. Repeat steps 2-12 to enter leave request for the other job (e.g. Job 4)

4 16. When the leave booking was successfully completed, you will be able to see the leave requests made for both jobs. Notes: 1. The part day leave booking form does not include the End Date field and the Unit field is replaced with an Hours field. 2. You may receive a warning The amount of Leave requested exceeds available balance if your booking exceeds available balance. The leave booking will be submitted successfully but will need to reviewed at approval stage by the approver. 3. In case of sick leave and long service leave, you will not be able to submit the leave if the leave amount exceeds the available balance and an Error message may appear. 4. You may receive an Error! An overlapping web leave request was found if you try to book leave for a day where an existing leave booking already exist. If the existing leave requests were not yet approved, it can be deleted from the Pending Transaction Screen and a new booking can be made. If the leave booking was already approved, you may need to complete a leave reversal form and payroll will amend the booking for you. Bereavement Leave booking Bereavement Leave Booking process is similar in nature except. The leave booking unit is hours. Long Service Leave Booking Long Service Leave Booking process is similar in nature except. The leave booking unit is weeks. LSL booking process for a roster employee is slightly different to the Annual Leave booking process. When booking LSL, please ensure that you have booked only 5 or 10 working days based on your entitlement and work base pattern. Please enter a block booking from Mon- Friday (do not include Saturday and Sunday). If you include Saturday & Sunday, the number of days booked will be treated as 7 days and you will get an error Amount of Leave Exceeds Available Balance. Example Bookings 1: Employee with 1 weeks LSL balance- Booking for week starting 13th of Feb

5 Select Whole Day Leave Booking Select Long Service Leave Enter Start Date and End Date (Ensure that you have only selected Mon-Fri) Enter unit as Weeks Click Insert 2: Employee with 2 weeks LSL balance- Booking for week starting 13th of Feb Note: To book 2 weeks consecutively, enter 2 blocks of 5 days. Select Whole Day Leave Booking Select Long Service Leave Enter Start Date and End Date (Ensure that you have only selected Mon-Fri) Enter unit as Weeks Click Insert Repeat Step 1-5 above and enter another booking for the next 5 days.

6 Sick Leave booking Part-time and roster employees can now book sick leave via web kiosk Sick Leave Booking process is similar in nature to annual except. The leave booking unit is Days. Sick Leave booking process for a roster employee is slightly different to the Annual Leave booking process. When booking SL, please ensure that you have booked only working days (roster days only) based on your roster/work base pattern. If you have a roster, leave booking has to include roster days only. I.e. if you have a roster pattern where you work Mondays and Wednesdays, and you wish to take sick leave on both days consecutively, you need to enter 2 separate bookings (One booking for Monday and second booking for Wednesday). If you enter a single booking with Start Date as Monday and End Date as Wednesday, 3 days of leave will be deducted. NOTE: Please do not book sick leave via Staff Web Kiosk if you are a timesheet employee (If you or your administrator submits timesheets for hours worked). If this notice applies to you, please submit your sick leave hours on the Sick Leave Form.
