3 Letter from DoWMAT Chair Dear Applicant, Thank you for your interest in the post of Academy Support Officer for the Diocese of Worcester Multi Academy Trust (DoWMAT). The Trust was set up for church schools and non-church schools within the Diocese of Worcester in order to create and sustain a family of academies, to provide children with an excellent education within a distinctively caring and supportive Christian ethos. DoWMAT is committed, through its mission statement to love, to learn, to serve, to enable all its academies to flourish so that all stakeholders can live life in all its fullness John 10:10. DoWMAT aims are: To Love: For pupils to grow and learn in schools where, as children of God, their individual qualities are nurtured, to give them fulfilment, self-worth, the skills to contribute to society and confidence in the future. For staff, accorded dignity and respect, to be enabled to become the very best practitioners that they can be, inspiring, sharing a joy for learning and aspiration. For academies to be hospitable to diversity, to become the centre of their communities as places of nurture and beacons of educational excellence. To ensure staff and governors access high quality professional development so that standards of teaching and learning are excellent. For academies to be places where explicit Christian values, collective worship, religious education and opportunities for reflection nurture the spiritual and moral growth of pupils and staff. 4 To ensure academies are places of safety for pupils and staff where needs are met with dignity and respect. To offer help and advice to those who lead our academies at all levels so that they are well equipped to face the challenges ahead. To ensure that members, directors and trust staff understand the pressures and challenges of education in the 21 st century ensuring that those leading and teaching in our academies are resourced and supported. We are now looking to appoint a full-time Academy Support Officer to support our Chief Executive and our board of directors to deliver the Trust s vision of excellent learning and outcomes. We are seeking someone who is excited by the prospect of designing and implementing new systems for our growing Trust. 5 Academy Support Officer Job Description Job Title: Academy Support Officer Reporting to: Chief Executive Officer Accountable to: The Academy Trust Board Salary: In the region of 25,000 Located: Diocese of Worcester This role is integral to the support of the Diocese of Worcester Multi Academy Trust (DoWMAT) leadership team, including the individual academies within the MAT. The main aspects of this role are: To support the MAT leadership team on all matters relating to Finance, Human Resources and Facilities Management over all schools in the MAT to ensure the MAT makes best possible use of its resources and is able to provide the best outcomes for its pupils. To play a key role in the design and implementation of systems, policies and procedures to ensure compliance in all legislation relating to the MAT. General: To work closely with the MAT Board, the schools Senior Leadership Teams and the Diocesan Education Team. To work closely with the administrative teams, premises teams and the wider school staff of all the Trust s schools. To act as the first point of contact for schools and to deal with day-to-day telephone and enquiries. To support schools pre and post conversions on behalf of the Trust. To manage communication between the Trust Board and Schools. Clerk to the DoWMAT Board. Any other duties required that are commensurate with the grading of the post. Strategic Role To contribute to a MAT Business Plan. Contribute to the overall marketing strategy for the schools. To support the development and maintenance of all MAT policies including, but not limited to, Health & Safety; Behaviour; Safeguarding & Child Protection; Pay; Performance Management; Special Educational Needs; and Charging and Complaints to ensure that all academies within the Trust meet all relevant statutory requirements. To keep up to date with, and cascade to the Trust Board, guidance, updates and best practice issued by education authorities and other relevant bodies including the ESFA, DfE, the Church of England Education Office and the National Governance Association. 5

6 In conjunction with the Trust s legal partner, ensure that the Trust s governance structure is clear, in keeping with its Articles of Association, and that those at regional and academy level understand their roles and responsibilities compared to those of the Trust Board. To provide appropriate advice to allow the Trust to understand and enter into contracts for services. Oversight and management of the Trust s external partners and suppliers for core services including Legal, Health & Safety and HR. To work with the Trust s legal partner to ensure the MAT complies with statutory requirements such as Data Protection and the Freedom of Information Act. To be the primary contact for the MAT in all matters relating to Health and Safety (H&S) and manage the Trust s chosen H&S partner, ensuring issues are captured in a monthly report for review by the Trust Board. To support Governors as required by the CEO. To identify potential sources of Income Finance Role: To support the Head of Finance in the development and oversight of all financial policies and procedures to ensure compliance with the Academies Financial Handbook and Statement of Recommended Practices (SORP) of the Charities Commission. To support the preparation of school budgets working with SLT, bursars and governors in line with the School Development Plans. To ensure follow up on any recommendations from Internal or External Audit Reports. To liaise with relevant government agencies as required. To work with the Head of Finance to monitor all costs of each school to ensure schools are on budget, making any recommendations to the Governors as required. Human Resources Role To support the development and oversight of all Human Resources policies and procedures. To support recruitment within the MAT. To manage and provide up-to-date information to the CEO to ensure compliance with legislation regarding the Single Central Register for all schools within the MAT. To support the finance team with the implementation of robust arrangements for payroll and all associated paperwork. Facilities Role: To oversee records of Statutory checks and services as required, ensuring that are all contracts are in place and checks carried out accordingly. To work with the buildings provider to co-ordinate a strategic plan of maintenance, repair and improvement To oversee the Fixed Asset Register and Equipment Register. To support the Governors with the termly Health and Safety walk around in each school and follow up on any action points. 6

7 Academy Support Officer Person Specification Experience Experience of leading the provision of comprehensive administration support Experience of school, academy, regulatory or voluntary sector administration would be an advantage Experience of successful working with partner organisations or customer service delivery Responsibility for budgetary management Experience of managing facilities and/or human resources Skills, Knowledge and Understanding Excellent communication, organisation and problem solving skills Excellent attention to detail Ability to use own initiative, work under pressure and prioritise own workloads and work to deadlines Awareness of: the statutory educational framework, policies and legislation financial costing and budgetary management estimating, securing and monitoring resources managing compliance with regulatory, audit or statutory requirements Willingness to undertake further training as required Personal Qualities Commitment to the Christian values of the Trust. Ability and commitment to working flexibly and collaboratively Able to build effective working relationships at all levels The ability to remain calm under pressure and be self-motivated.
