3 Creating Special Request Requisitions Navigation: eprocurement/create Requisition The requisition default data entered on this page applies to the entire requisition. Therefore it is not necessary to re-enter this data on each requisition line. However the settings can be overridden on the requisition line or at the shipment or distribution level if needed. Type required information: Vendor (optional) Category Unit of Measure Distrib Line (Fund, Dept, Program, Account) Enter Project, Activity & Bud Ref if applicable. Enter Mycode and Work Order information as needed. Click Continue. Page 3

4 Click on the Special Request-Goods tab. Click on Special Item hyperlink. Page 4

5 The data entered previously will default to this page. Type required information: Description Price Qty Category Unit of Measure Enter any Additional Information that will aid in placing your order. Click the Add Item button. NOTE: The search field at the top of the page is not used for special request requisitions. This search field is used to search for items included in the standard catalog of items that have item IDs. Since special request requisitions are created for items without item IDs, this search field is not used for special request requisitions. Page 5

6 The Requisition Summary (shopping cart) is updated for the items added. Click the Review and Submit hyperlink at the top of the page. Page 6

7 If you wish to attach a document with the requisition, click on the comment balloon at the end of the item line. Page 7

8 Click on the Add Attachment button. Browse to the document and add. Click OK. Page 8

9 NOTE: The Comments section is for explanation purposes. The buyer can view this field. It also appears on the internal copy of the PO and on the workflow approval pages for the approver.. To submit the requisition for approval, click the Save & Submit button. To review the approval route before submitting the requisition, click the Save & preview approvals button. To cancel the requisition, click the Cancel requisition button. Click the Save & submit button. Page 9

10 The confirmation page is opened displaying the required approver(s). The requisition will remain in Pending status until it is approved. NOTE: To determine whether the requisition has been approved, the requisition should be monitored through the Manage Requisitions page. Requesters will only have access to review chartstrings for which they have authorization to view. Page 10

11 Creating Direct Connect Requisitions Navigation: eprocurement/create Requisition Type required information: Distrib Line (Fund, Dept, Program, Account) Enter Project, Activity & Bud Ref if applicable. Enter Mycode and Work Order information as needed. Click Continue. Page 11

12 Navigation: eprocurement/create Requisition/Web Hyperlinks for all available direct connect vendors will be displayed on the page. When you select the direct connect vendor hyperlinks, you are transferred to the vendor website. Once inside the vendor site, you will be allowed to order from the vendor catalogs. These orders are saved to a shopping cart. Each vendor site will differ and ordering instructions will be dependent upon the site from which you are ordering. Page 12

13 Approving a Requisition When a requisition is saved and submitted, the status changes from Open to Pending. An is sent to the required approver(s) based on the chartstring on the requisition. When you receive the to request your approval, you will need to log into PeopleSoft and navigate to your worklist to approve the requisition. Log into PeopleSoft through My Slice. The main menu page is opened. Click the Worklist hyperlink in the upper right hand corner of the page. Page 13

14 Each requisition is represented by a hyperlink in the Link section of the page. Select the requisition you need to approve. Page 14

15 The Requisition Approval page is opened. The requisition status is Pending. Review the line information before approving. To view the line details, select one or more items using the check box to the left of the item description. Select the View Line Details button. Page 15

16 A separate page is opened to display all remaining line information for each of the items selected. Review and verify the information on this page. When completed, click the X in the top right hand corner to exit and return to the requisition approval page. Page 16

17 Attachment If there is an attached document associated with the requisition, it will be accessible in the Requester s Comments. Click View. Page 17

19 Enter any comments needed in the comments section. The requisition approval page is opened. Review, verify and approve the requisition to route it to the next user for approval, if required. Add any comments you want to forward along with the requisition in the comments section. If you choose to deny the requisition, enter the reason for denial in the Enter Approver Comments section, and select the Deny button. Page 19

20 To approve the requisition, select the Approve button. The Requisition Approval page is opened. The requisition is now approved. If other approvers are required for final approval, an will be sent to them. Click the Return to Worklist hyperlink to continue approving any open worklist items. Page 20

21 Requisitions with Multiple Approvers When a requisition is saved and submitted, the status changes from Open to Pending. An is sent to the required approver(s) based on the chartstring on the requisition. The confirmation page is opened displaying the required approvers. NOTE: To determine whether the requisition has been approved, the requisition should be monitored through the Manage Requisitions page. Requesters will only have access to review chartstrings for which they have authorization to view. The requisition will be routed until it has been approved by each approver. If a user pushes back, the requisition will change back to Pending status. The previous user on the routing will need to review the requisition. Page 21

22 After retrieving the requisition from your worklist, you will need to re-approve the requisition to continue the approval process. Page 22

23 Designating an Alternate Approver If you will be temporarily unavailable to approve requisitions, you can setup an alternate user to receive your routings. Navigation: eprocurement/my Profile Use the magnifying search icon to search for a User ID, or enter the User ID of the person who will be temporarily approving requisitions in your absence. Enter the date range for this change. Select the Save button. Page 23

24 Processing a Denied Requisition After a requisition is submitted to the approval process, it can be approved or denied. If it is approved, it continues through the process until final approval has been obtained. If the requisition is denied, it will change to denied status. Until it is approved it can not be budget checked or sourced to a PO. Upon denial, an will be sent to the requester notifying you of this denial. To verify the status of the requisition, you will need to log into PeopleSoft and navigate to your worklist. Log into PeopleSoft through My Slice. The main menu page is opened. Click the Worklist hyperlink in the upper right hand corner of the page. Page 24

25 Each requisition is represented by a hyperlink in the Link section of the page. The requisition appears on the worklist with a work item status of Transaction Denied. Select the requisition. The Requisition Review page is opened. Select the Edit Requisition button. Page 25

26 Make the necessary changes to the requisition. Select the Save & Submit button to resubmit the requisition for approval. Page 26
