1 Job Description Position Location Reporting to Volunteer Coordinator Horncastle Director of HR, Performance and Quality 1 Purpose of the job Volunteers are vital to the success of Age UK Lindsey. Their contribution continues to be absolutely essential to our ability to improve the lives of older people. Volunteers are involved in every aspect of our work, from delivering services to fundraising and campaigning and this post will lead our approach to volunteering. The post holder will be responsible for developing and delivering a comprehensive, innovative volunteering programme on behalf of Age UK Lindsey including the promotion of a diverse range of volunteering opportunities and the recruitment, induction and support of volunteers of all ages and from all walks of life. 2 Main responsibilities, tasks and duties To offer a wide range of flexible volunteering roles suitable for all ages, skills and levels of commitment. To handle all volunteer enquiries on behalf of Age UK Lindsey to ensure that Age UK Lindsey s volunteer practices meet quality standards and legal requirements To work closely with the HR Department to ensure that the recruitment and selection of volunteers for AUKL is managed safely and effectively and follow proper recruitment procedures including initial meeting, reference checks, DBS checks and induction To ensure that volunteering remains a key focus within all departments. To implement formal and informal ways of recognising and celebrating the contribution of volunteers to the charity. To ensure volunteering actively supports fundraising, campaigning, service delivery, charity events, community activities and the back office functions of the charity. To develop and pursue new opportunities for volunteer recruitment and retention in liaison with the Director of HR, Performance and Quality. To work in an inclusive way with other charity staff and volunteers to contribute to an effective and efficient delivery of volunteering across the charity as a whole.

2 To plan, prioritise, develop and deliver a Volunteer Plan, which respond flexibly and positively to the changing local and national working environment in liaison with the Director of HR, Performance and Quality. To maintain accurate records of volunteers and volunteering activity, undertaking ongoing evaluation of the volunteering programme and implementing improvements where necessary. To implement formal and informal ways of recognising and celebrating the contribution of volunteers to the organisation. To ensure any changes in legislation that may impact on volunteering and good practice in volunteering is communicated appropriately across the charity Maintain accurate records of volunteers and volunteering activity, preparing monthly service delivery statistics and updates for the Director of HR, Performance and Quality. To take a lead on Lincolnshire, Regional and National Volunteering initiatives as appropriate to the job role. To increase the charity s profile with key partners through participation and attendance at meetings and events. To organise and manage regular team meetings with staff in the department. To ensure that volunteers are given the appropriate training and support to be successful in their volunteering role. To have a full understanding of and contribute to the review of the AUKL Risk Register. To take responsibility for the management of Health and Safety processes relating to volunteering. 3 Performance goals To complete all tasks on time. To deal with clients, suppliers, and all employees/volunteers in a professional and courteous manner at all times. To ensure that purpose of job and main responsibilities, tasks and duties are delivered as expected. To ensure a quality programme of volunteering 4 Management of people To effectively support volunteers and any other member of staff who might work in the department. To carry out supervision and appraisals for Line Managed staff

3 adhering to relevant policy and procedure. 5 Decision making To plan own work schedule to support given targets. Flexibility to make decisions to ensure effective completion of assigned tasks. To authorise leave for any line managed staff ensuring that services remain fully functional. Work will be overseen by the Director of HR, Performance and Quality. 6 Communication and networking Keep the Director of HR, Performance and Quality aware of all information coming into the service that may affect the service, other departments and the charity as a whole. To attend Age UK Lindsey events as required supporting the charity and promoting services. Liaise with colleagues as necessary in the performance of duties as required, consistent with the requirements of the organisation. Provide written reports to the Board of Trustees on a bi-monthly basis. Compile reports for the Director of HR, Performance and Quality as and when requested. Liaise with partners in both the statutory and voluntary sector in order to promote and develop services. To attend and contribute to Management Team meetings when required. To communicate with relevant staff any concerns around Safeguarding. To attend meetings as and when requested that are appropriate to the role or the wider function of the charity. Liaise with colleagues as necessary in the performance of duties as required, consistent with the requirements of the organisation. 7 Financial responsibility To manage any budget given to the department. To authorise expenditure of up to 100 on relevant department items. 8 Knowledge and skills Excellent communication, interpersonal and writing skills. Excellent organisational and time management skills with the ability to multi-task. Experience in using windows based software packages including word processing, spreadsheets, electronic mail and the internet, in order to deliver tasks and projects. Good staff management skills to oversee the work of the staff within

4 the department. Ability to work independently and as part of a team. Ability to think creatively. 9 Working environment Expect to have a significant workload within a busy charity. Work is subject to challenging and competing deadlines and subject to unpredictable changes which require management of conflicting priorities. Some general office work which may involve extended periods of working at a computer. No particular physical demands. Frequent driving across our area and visiting other Age UK Lindsey premises. Ensure your office and workspace is clean and presentable at all times. Requirement to be flexible in the weekly allocation of hours in response to the demands of the role. This may also involve working outside of normal working hours. Work is carried out in a well-lit and ventilated office environment. 10 General The duties and responsibilities in this job description are not exhaustive. The post holder may be required to undertake other duties that may be required from time to time within the general scope of the post. Any such duties should not substantially change the general character of the post. Duties and responsibilities outside of the general scope of the post will be with the consent of the post holder. To comply with all Age UK Lindsey s Policies and Procedures. Health and Safety The post holder is required to carry out the duties in accordance with Age UK Lindsey Health and Safety policies and procedures. Safeguarding All employees need to be aware of the possible abuse of children and vulnerable adults and if you are concerned you need to follow Age UK Lindsey s Safeguarding Policy. In addition employees working with vulnerable adults have a responsibility to safeguard and promote the welfare of vulnerable adults during the course of their work. Training Undertake any training that is relevant to the role.
