The Court Programs provide unbundled legal assistance to people who cannot afford legal representation and are self-representing in the Federal Courts and the Victorian Civil and Administrative Tribunal (VCAT). The Court Programs is also implementing a pilot service to assist self-represented litigants in the County and Supreme Courts of Victoria. We are currently seeking an Administrator to support the Head, Manager and Lawyers of Court Programs and to work collaboratively with the Court Programs Paralegals. The role will contribute to the ability of the people we help to participate in the legal system, conduct their case in the best possible manner and achieve better outcomes in their lives and for the administration of the justice system generally. Specifically, the role will support the effective and efficient management of Court Programs files and systems, the development of resources, the timely and accurate collection of data and reporting activities that demonstrate the impact of the work undertaken by Court Programs. Specifically, the role supports the effective and efficient management of Court Programs files and systems, the development of resources, the timely and accurate collection of data, and reporting activities that demonstrate the impact of the work undertaken by Court Programs. The Administrator role will contribute to the ability of the people we help to participate in the legal system, conduct their case in the best possible manner and achieve better outcomes in their lives and for the administration of the justice system generally. Key responsibilities Provide administrative support to the Court Programs team, including o start to end file management assistance, maintaining and updating client files on the client database (PIMS) and other file management systems o monitoring requests for legal assistance received online and by telephone, recording requests on the client database, and liaising with applicants to book appointments and request documents o drafting correspondence not involving the provision of legal advice o performing regular file audits/reviews and assisting with data collection and integrity Provide administrative support to the Head and Manager of Court Programs on governance, reporting and evaluation requirements, including reports for the Justice Connect Board and external funders Assist in the management, collection, analysis and reporting of accurate and current data in respect to the monitoring and evaluation of the Court Programs Assist with Court Programs project work, stakeholder communication and event coordination Contribute to the development and updating of Court Program resources, including online resources developed in collaboration with Justice Connect s Innovation team 3 ADMINISTRATOR

4 Assist with the coordination and recruitment of Practical Legal Training students Perform other duties as directed and necessary to the proper performance of the role This job description outlines the current duties and responsibilities of the position. These will be reviewed on a regular basis with the position holder and are subject to change according to the needs and priorities of Justice Connect and the Service. Selection criteria Technical expertise Advanced skills in Microsoft Office software, including Outlook, Word and Excel Database and client file management skills (experience with CRMs in particular Microsoft Dynamics highly desired) Advanced skills in working with data and reporting Experience Experience collecting, analysing and reporting data Experience in a comparable role, working or volunteering for a not-for-profit organisation (highly desirable) Familiarity with legal practice and terminology (highly desirable) Knowledge, skills & attributes Sound computer skills (within a legal practice environment preferred) Excellent oral and written communication skills in particular the ability to communicate with a diverse range of stakeholders and people experiencing disadvantage in a professional and respectful matter A sound knowledge of information and document management practices, with an interest and aptitude for analysis and data mining Demonstrated ability to collect, analyse and present information in a meaningful manner Dynamic, well organised with excellent attention to detail Highly motivated, professional with a strong work ethic, a positive attitude and demonstrated ability to work in a team A commitment to Justice Connect s objectives and values Employee benefits Justice Connect offers employment benefits including salary packaging (making part of your salary tax-free), flexible working arrangements, above award annual leave provisions and opportunities for professional development.
