3 Overview This feature allows the Occupation (based on effective dates) to be assigned to an Employee. Once the Occupation is assigned to an Employee it appears on the Employee's Pay Stub when the Payroll is processed. In addition, the Occupation automatically updates the Record of Employment (ROE) for terminated or laid off Employees. Purpose The purpose of this document is to provide instruction on how to add the Occupations to your Payroll as well as instructions on how to assign these Occupations to your Employees using the Employee Profile option Employee Occupation Page 3 of 12 Revision 2

4 Adding Occupations to your Payroll Step 1. From the Process Payroll menu click Additional Features 15.1 Employee Occupation Page 4 of 12 Revision 2

5 Step 2. From the Additional Features menu Click Edit Codes Value Step 3. A screen similar to the one below is displayed Select the Code ID OCCUPATION by clicking on it Employee Occupation Page 5 of 12 Revision 2

A screen similar to the one below is displayed The Allowed Value field and the Short Desc field are used in conjunction with the Employee Profile option These fields are displayed for selection when the Magnifying Glass is used to identify an Occupation for an Employee while in the Employee Profile option The Long Desc field is the description of the Occupation that appears on the Employee s Pay Stub as well as the Record of Employment (ROE) if created. 1. Allowed Value -- Enter a five alpha/numeric character field that you define. It defaults to UPPER case. 2. Tab to the Short Desc field. 3. Short Desc -- Enter up to ten alpha and/or numerical characters. This field is case sensitive. 4. Tab to the Long Desc field. 5. Long Desc -- Enter up to 30 alpha and/or numerical characters. This field is case sensitive. 6. There is no limit to the list of Occupations you can create. 7. Enter to Save NOTE: If you have French Employees who require that their Occupation appear in French on the Pay Stub and the Record of Employment (ROE) you MUST set up the French Description here. For example an English Language Employee Occupation description for Receptionist is Receptionist where a French Language Employee Occupation description for Receptionist would be Receptionniste (see example above). NOTE: If you try to Delete an Occupation from this list and one of your Employee s are currently assigned to that Occupation the following message will appear. You will have to change the Employee(s) that has this Occupation to another Occupation and then you will be able to remove the Occupation from your list Employee Occupation Page 6 of 12 Revision 2

7 Once an Occupation is created you may go to the Employee Profile and setup each Employee s Occupation. See Editing Occupation at the Employee Level next page Employee Occupation Page 7 of 12 Revision 2

8 Editing Occupation at the Employee Level From the Process Payroll menu click Employee Profile. Select the Employee(s) that you would like to enter an Occupation for Click on the Codes Tab A screen similar to the one below appears Click Magnifying Glass beside the Code field to click on the OCCUPATION in the Client Defined Code list 15.1 Employee Occupation Page 8 of 12 Revision 2

9 Brings you to Select Client Defined Code text box OCCUPATION is displayed in the Code field Click on the OCCUPATION to select Click the Magnifying Glass beside the Value field to arrive at the Defined Code Value that best describes the Employee s Occupation 15.1 Employee Occupation Page 9 of 12 Revision 2

10 Brings you to Select Client Defined Code Value text box OCCUPATION is displayed in the Code field Click on the Client Defined Code Value you wish to select In this example we used Reception The Employee s Occupation Reception is displayed on the Employee Code Maintenance screen Modify the effective dates (if required) Press Enter to save 15.1 Employee Occupation Page 10 of 12 Revision 2

11 Examples: Where Occupation appears on Reports and screens. Reports Example 1 Employee Stub this sample displays the bottom part of the E-STUB for an Employee with the Occupation of Receptionist. Example 2 Employee Pay Stub this sample displays the bottom part of the Employee Pay Stub. The Employee has the Occupation of Receptionist 15.1 Employee Occupation Page 11 of 12 Revision 2
