3 Job Description Job Title: Operations Administrative Assistant Hours: 40 hours per week, 8.00am-5.00pm Responsible To: Rehoming & Welfare Manager (Dog Rehoming) Works With/Key Contact: Operational staff and team leaders Location: Old Windsor Duration: Permanent Responsible For: N/A Salary: 19,500 per annum Context and Background Battersea Dogs & Cats Home believes that every dog and cat should live in a home where they are treated with love, care and respect. At Battersea we re-home dogs and cats, reunite them with their owners and we work in the community to educate people about responsible ownership. We aim never to turn away a dog or cat in need, and we turn helplessness into hope for 8,000 dogs and cats every year. This role sits within the Operations Directorate, which is responsible for delivering the highest standards of animal welfare and care for every dog and cat in their journey through the Home, from reception, to intake, to assessment and then to rehoming. Main Purpose of the Role Provide administrative support to the Operations team. Overall Objectives Provide general administrative support to the different teams within the Operations department Provide support during individual projects / events / work programmes within the Operations department Ensure smooth running of the Operational department within remit of role by providing suggestions for improvement

4 Responsibilities Approx % of time Support the rehoming process by administrating the home advisor visits 30% Provide general administrative support to the different teams of Operations, specifically supporting projects, events or large administrative tasks 15% Assistance with customer liaison 15% Contribute to planning, implementation and monitoring of ad-hoc project work, as 10% directed by the Head of Centre Operations and Head of Catteries/ Rehoming & Welfare Managers (Dog Intake and Dog Rehoming), providing general support as required Co-ordinate timely collection and collation of data gathered manually on customer 10% experience, in collaboration with Head of Operations & Head of Dog Rehoming/Head of Cattery Provide insight and feedback to the team from contact with supporters 10% Provides suggestions for improvement and contributes to team meetings 5% Manage systems and processes in line with Data Protection Act and BDCH policies and procedures 5% The above job description is intended to be an outline of the duties and responsibilities for this role. Decision Making and Accountabilities Accountability Ensuring home visits are allocated in a timely manner with reports logged quickly to maintain the rehoming process Rota production on a weekly basis Person Specification Essential Proven experience of working in an administration role Proven experience of working in a customer services environment with the ability to show empathy, tact and diplomacy Ability to understand the procedures and principles of animal welfare Proven experience of delivering high quality work with minimum supervision A flexible approach to managing and prioritising a high workload and multiple tasks Proven experience of working constructively and collaboratively with colleagues from different teams Ability to keep up to date with and apply good practice in your role Proven experience of positively embracing and adapting to change

5 Proven experience of suggesting and taking the initiative about new ways of working that have been successfully implemented Significant experience of communicating clearly, with the ability to adapt your communication style for different groups Excellent written and spoken English IT literate with good experience of MS Office Understanding of, and a commitment to the vision, mission and values of Battersea Dogs & Cats Home Desirable Experience of working with animal or patient management databases Position in the team
