1 POSITION DESCRIPTION Position Title: School Bookings Supervisor Division: Sovereign Hill Education Office Reports To: Deputy CEO and Museums Director Workplace level: Level 2 during training period. Upon successful completion of training will increment to Level 9. Loading: Full time Special: May be required to work an occasional weekend. Date Position Created: 21 May 2002 Position Review Date: 10 September 2010 ORGANISATIONAL ENVIRONMENT The Organisation Sovereign Hill is internationally recognised as Australia's foremost outdoor museum. The Sovereign Hill Museums Association is a not-for profit community-based organisation that includes: Sovereign Hill outdoor museum, the Gold Museum, Sovereign Hill Lodge, Blood on the Southern Cross and Narmbool. The Department/Area Sovereign Hill Education provides programs that are developed and delivered by Sovereign Hill Education officers for an average of 90,000 school visitors per annum. The programs include Education Officer-led group sessions, professional development programs, tailored learning programs with sector/institutional partners and for special events/purposes in the Education calendar, exhibition-related materials, on line curriculum resources related to Sovereign Hill s Education goals, staff learning and development as occasionally required, and aspects of Sovereign Hill s public program delivery for all its audiences. The education materials are designed to align with VELS learning levels and outcomes. ORGANISATIONAL CHARTER Purpose Our purpose at Sovereign Hill and the Gold Museum is to inspire an understanding of the significance of the central Victorian gold rushes in Australia's national story, and at Narmbool of the importance of the land, water and biodiversity in Australia s future. Promote learning in museums by ensuring our programs are student-centred, engaging, involving, and enjoyable and satisfy the diversity of needs in the education sector. Promote the most effective use of Sovereign Hill s museum(s) and facilities by the education sector. Ensure accessibility to the education community. Promote the economic sustainability of Sovereign Hill. PRIMARY ROLE The School Bookings Supervisor is responsible for supervising staff in the school bookings area; for the management and development of the school bookings system for Sovereign Hill Outdoor Museum, Gold Museum and Narmbool Environmental Discovery Camps; the preparation and management of visiting school student itineraries and teacher professional development bookings; provision of management reports on school bookings trends and analysis; coordinate logistics and catering meetings relating to education bookings; participate in activities to promote Sovereign Hill education bookings. 3 KEY WORKPLACE RELATIONS Deputy CEO and Museums Director Education Officers Schools Booking Officer BOSC staff Lodge Staff Finance and Accounts JOB TASKS AND RESPONSIBILITIES Key result area Education Teamwork People Major activities Ensure the smooth running and supervision of the schools bookings system; Responsible for the co-ordination of itineraries for visiting school groups with the staff and resources of Sovereign Hill Education for Sovereign Hill, Gold Museum, Narmbool and BOSC in person, by telephone or ; Responsible for ensuring the delivery of excellent customer service and for managing relations with schools; Analyse relevant statistical information on trends in the schools booking business, visitor trends and teacher contact time and to recommend strategies for improvement; Resolve any complex issues relating to schools booking packages; Liaise in product development with other internal stakeholders in the schools bookings business (e.g., Marketing, BOSC, Lodge, Sovereign Hill Schools, Delaware North Catering); Advise and recommend on system improvements; Efficiently and effectively market Sovereign Hill Education to external groups, conferences, marketing events and the like to increase market reach; Maintain the staff and resources of the Education Navision booking system; Order stationery and other supplies for the Education Department and ensure all equipment is in correct working order; Train staff within the schools booking service; Ensure accurate invoicing; Book teachers into professional development programs at The Sovereign Hill Museums Association. Work in a team and assist team members as required; Assist with the induction, training and mentoring of new staff as required; Contribute to the enhancement of staff knowledge and skills. Supervise staff in the Schools Bookings function to achieve excellence in customer service standards; Identify and support staff training and development needs; Conduct performance evaluations, staff appraisals, probationary reviews etc. as and when required. KEY SELECTION CRITERIA Possess a sound understanding of the packages available and promote Sovereign Hill Education program and events; Possess an in-depth knowledge of the schools booking system; Effective time management skills with the ability to prioritise tasks; Well developed written and oral communication skills; Intermediate to advanced computer skills including sound experience using Microsoft Office; Must be extremely well organised, possess excellent customer service skills; Work well within a team environment. QUALIFICATIONS A Certificate III, Diploma or Advanced Diploma in Business Administration or similar vocation would be highly regarded. REQUIRED LICENCES/CERTIFICATES Police Check Working With Children Check Level 2 First Aid will be required and can be obtained through Sovereign Hill A current drivers licence is preferred but not essential SPECIFIC HEALTH AND SAFETY REQUIREMENTS N/A Page 4 of 5
