4 Getting Started Importance and Benefits of Kronos It is important that employees are compensated accurately. To make this happen, you need to manage employees worked and non-worked hours, as well as attendance issues, in an efficient and timely manner. The application supports your ability to perform these tasks so that the data sent to payroll is accurate. The following are the benefits that Kronos provides to the City of West Palm Beach: Automates and simplifies your timekeeping tasks Saves both time and money Assists with scheduling standardization and policy enforcement Improves time and attendance tracking Enables better end-to-end timekeeping Automates the Request for Time Off process The Payroll Process Kronos automates the payroll process, ensuring that the payroll is processed accurately and on time. 1. Oracle sends employee data to Kronos 2. Employee time is collected daily using a Kronos Terminal, Time Stamp, or Telestaff a. Note: Telestaff is specific to Police and Fire Departments 3. Supervisors review and edit time on a daily basis 4. Supervisors apply approval at the end of each pay period 5. Payroll applies sign off 6. Kronos sends employee hours to Oracle 7. Payroll is processed Note: Overtime is calculated on a weekly basis, not daily. 4

5 Roles and Responsibilities Employees, supervisors, managers, and time entry clerks have responsibilities that are important in the payroll process. Each person s role determines his or her responsibilities and the tasks that he or she performs in the application. Common Employee Tasks Employees perform the following tasks: 1. Punch in and out according to scheduled shifts. 2. Submit requests for time off (Annual Leave, Sick Leave, Earned Personal Leave (EPL), Comp Time, etc.). Common Supervisor/Manager Tasks 1. Enroll and train new employees in the use of the terminals. 2. Review their employees timecard on daily basis to correct any exceptions. 3. Approve or reject time off requests submitted by their employees. 4. Perform a final review and will approve time cards at the end of each pay period prior to 12:00 noon on the following Monday. Common Superusers (TEC s) Tasks 1. Provide support to the supervisors and managers during the payroll process. 2. Perform data entry on special pays such differential pay, on-call pay, etc., as required. 3. Enroll and train new employees in the use of the terminals. Common Payroll Tasks On a pay period or as needed basis, Payroll will perform the following tasks: Perform a final review of employee timecards. Sign off timecards. Extract time data from the application to send to the payroll system.. Perform historical edits. 5

6 Log On The Kronos log on page provides access to all the features for performing your time and attendance tasks. Example You, as the timekeeper, supervisor and/or manager, log on to Kronos at least once a day to review and edit your employees timecards. Steps 1. Access Kronos at 2. Enter your 4-digit Employee ID number in the User Name field. 3. Enter your password in the Password field. Note: If this is your first time logging on, you will use the password ed to you. Once logged on, you will be promoted to change your password. Also, you will be prompted to create security questions and answers in the event you forget your password. 4. Click (the Log On button) or press the Enter key on the keyboard. 6

7 Log Off It is important to log off Kronos correctly to: Close your session. Signal Kronos you no longer require access to any of its components. Prevent other people from accessing your information. Step 1. Click Sign Out. Clicking the (X) in the top right corner of the open window may leave your connection to Kronos open allowing unauthorized people to view and/or edit information. Regaining Access after Inactivity Timeout Inactivity timeout protects sensitive information in Kronos. If Kronos does not detect activity within 30 minutes, it automatically logs you off. To regain access and save any unsaved edits/changes, you must re-enter your password in the inactivity timeout screen. When you regain access, the application restores the last page you were viewing. Steps 1. Enter your password in the blank field. 2. Click Log On. If you do not log on after inactivity timeout, you will lose all unsaved edits 7

8 Password Security It is a violation of City policy to share user name and passwords. Therefore, those with access to Kronos shall keep their passwords confidential. Changing Your Password Keeping your password secure is vital to ensure no unauthorized people may access Kronos using your log on information. Follow the steps below should you need to update your password. Steps 1. Click Workspaces. 2. Click the Support. 8

9 TIP To locate Support, you may need to click the right or left arrow. 3. Click the Change Password widget. 9

10 4. Complete the blank fields and click Change Password Now. (Optional - Click the After changing my password box to change your security questions.) 10

11 Getting Around in Kronos Kronos Navigator Overview After you log on to Kronos, your Navigator appears. Navigators are customized views of the information that is important to completing daily work tasks in Kronos. The Navigator consists of three main components: 1. Workspace Default workspace Carousel for related workspaces 2. Alerts 3. Widgets Exceptions Alert: Shows number of exceptions to clear. Requests Alert: Shows number of Requests for Time Off to clear. Carousel Workspace Widgets Click the arrow above the globe to open/close. 11

12 Areas Workspaces Alerts Widgets Description Workspaces are collections of one or more widgets that allow you to complete tasks or solve specific business problems. They can be configured in one of several different layouts. Default workspace: Displays when you first log on to the application. Displays one or more widgets and the related items pane. Workspace carousel: Provides access to support, change password, KnowledgePass, etc. Notifies you when specific events occur that require your immediate attention. When clicked, they open widgets that allow you to act on tasks. Used to access specific Workforce Central functionality or tasks. Actions Use to delegate to another manager. Group Edit Results Use to show the results (success or fail) of approving multiple timecards; it is a read-only table. My Inbox Shows current or past tasks (manager delegation) and messages. Shift Start Shows who is currently working at the beginning of the shift. Exceptions Show employees with exceptions which need to be cleared. Reconcile Timecard Use to access and edit an employee s timecard. Report Use to run reports. Schedule Editor For HR use only to update an employee s permanent schedule change. Manage My Request Use to access and approve/deny an employee s request for time off. Timecard Approval Use to approve an individual or multiple timecards for payroll. Pre-Approval Check Shows exceptions, hours worked, unapproved overtime, etc. 12

13 Using the Tools within the Workspace Quick links are located at the top of the workspace and allow you to access information specific to one or more employees. For example, you can select one employee and click the Timecard quick link to access his or her timecard. The Show field allows you to display a group of employees. Change the setting to All Home to display all employees that report to you. You can use the Show field to further refine your selection to include employees in a specific group, such as only those employees that are working in a particular area, or on a particular shift. The Time Period field allows you to determine the timeframe you want to view, such as the Current Pay Period, or a particular timeframe in the past. The time period you select determines what you will see on that page. 13

14 The Menu Bar contains tasks that you can perform on the page. Each Menu Bar is specific to the page you are currently viewing. 14

15 Reviewing and Editing Time and Attendance Data (Reconcile Timecard Widget) Hourly Timecard Overview There are three main areas on a timecard: 1. Timecard header 2. Timecard grid 3. Timecard tabs 15

16 Timecard Area Timecard Header Timecard Grid Description The timecard header displays the following information: Employee s name whose information appears in the timecard workspace and timecard tabs. Employee s identification number. Time Period. Located in the middle of the page, the timecard workspace displays the following information: Action menu that contains selections for performing timekeeping tasks.. Grid containing dates for the selected time period. Time entry totals, including shift, daily, and cumulative amounts: Shift Total Calculated total hours of all shifts worked on the selected day (excluding totals for non-shift items such as pay codes). Daily Total Calculated total hours of the selected day, including pay codes. Cumulative Cumulative total up to and including the selected day. All Calculated total hours for the entire visible time period. Timecard Tabs Located at the bottom of the page, the timecard tabs display additional information about how Kronos tracks employee hours. Three default tabs appear: Totals & Schedules The first tab at the bottom of the timecard workspace. The area on the left displays the timecard totals. The area on the right displays the Schedule for the selected time period. Accruals Displays accrual codes and available balances based on the date selected in the timecard workspace. Audits Lists all time punch or amount corrections made to an employee s timecard and approvals made by timekeepers/supervisors. Note: Additional tabs will appear based on actions you perform. For example, the Approvals & Sign Offs tab appears when you approve an employee s timecard. 16

17 Visual Indicators Visual indictors appear on a timecard when exceptions occur. For example, an employee might forget to punch in or out which causes a missed punch exception. Or, an employee might punch in early or late which causes a punch exception. 18 Opening Employees Timecards Kronos offers you several ways to quickly review and monitor employees time and attendance data. You can access the Reconcile Timecards Workspace by accessing the Reconcile Timecards Widget. You can open employees timecards so that you can make any adjustments prior to payroll processing. Example You want to look for all employees who have unexcused absences in the previous pay period. Use the Reconcile Timecard widget to perform this task. You noticed that several employees have time and attendance exceptions. You will open the timecards of each of these employees to review and edit the data. Steps 1. Click the Reconcile Timecard widget. 18

19 2. Select All Home from the Show drop-down list. Select the correct time period from the Time Period drop-down list. 3. To sort the information by Unexcused Absences, click the Unexcused Absence column name/header. To sort information by two columns, click the column name/header for the secondary sort first, and then click the column name/header for the primary sort. 19

20 4. Click the name of employee(s) whose timecards you want to review. Click the Timecard quick link. TIP There are various ways to select multiple employees before using a quick link. Select multiple employee listed adjacent to each other Click the first name, then hold down the Shift key and click the last name. Click one employee and drag the mouse up or down to select other employees. Select multiple employees not listed adjacent to each other Click one name, then hold down the Ctrl key and click additional employee names. 5. If you selected more than one employee, do one of the following: Click the arrows to move among employee s timecards. Select an employee from the Name & ID drop-down list. 20

21 Exporting Data Kronos widgets display critical information in an easy-to-read format. Also, you can export this information to other applications, such as Microsoft Excel, where you can reformat the data for your needs. Example On a regular basis, you can export timecard data to Microsoft Excel to perform further data analysis. Steps 1. Open the Reconcile Timecard widget. 2. Select one or more timecards. 3. Select Actions. 4. Click Export to Excel. 21

22 5. Click Open. Note: You can also click Save to save the file. Saving Data in Timecards When you add and modify timecard data, Kronos displays your edits but does not save them automatically. 24 Viewing Edits Prior to Saving (Calculate Totals feature) Prior to saving your data and adding the changes to the Audits tab, you can decide whether the edits are what you want to keep/save. Example You have edited an employee s time card and want to check if the edit is correct before saving and adding the change to the Audits tab. Steps 1. Edit a time card. (Note unsaved edits indicators, Timecard title is orange and a red flag appears in the Totals & Schedule tab.) 2. Click the Actions link. 3. Click Calculate Totals. 4. Review the timecard. 5. Do you want to save and keep the edit? a. If yes, o Click Save. 24

25 b. If no, o Click Refresh. o Click Yes to continue and lose any unsaved changes. TIP Options within the Actions drop-down list. Refresh should be used to cancel edits without saving. Refresh Data is used to refresh the screen without losing unsaved changes. Calculate Totals is used to check how edits will affect the timecard without saving and adding the edits to the Audits tab. 25

26 Adding Comments and Customized Notes Comments and customized notes are both mandatory when editing a timecard and justify the activity recorded in the Audits tab. Example After editing a timecard, you add a comment and customized note to the area edited to explain the edit. Steps 1. Right-click in the cell where you want to add a comment and note. 2. Click the Comment link. 3. Click Add Comment. Note: You can also right-click in the cell and select Add Comment from the shortcut menu. 26

27 4. Click one or more comments from the list. Tip: Hold the Ctrl key to select more than one comment. 5. Type a customized note. 27

29 9. Review the comment and note for accuracy. 10. Is the comment and note correct? a. If yes, o Click Save. b. If no, o Right-click on the comment/note line. 29

31 Correcting a Punch from the Wrong Punch App It is important to correct the timecard if an employee records a punch using the wrong punch app at the terminal. Unless the timecard is fixed, the employee s hours will not be correct and the system will not calculate the correct accruals for the employee. Punched Using the Public Safety Punch App by Mistake Example: On Friday, the employee punched in using the Public Safety Punch app instead of the Standard Punch app resulting in the following issues: 1. Public Safety Record Punch reflects on the timecard. 2. 5:00pm automatically inserted into the timecard by Kronos 3. Only 72 hours will be paid to the employee. 31

32 Steps 1. Click in the Transfer cell. 2. Click Search. 3. Click the Work Rule drop-down arrow. 32

33 4. Click None. 5. Click OK. 33

34 6. Right click in the punch cell. 7. Click Add Comment. 8. Enter both a comment and a customized note explaining the employee punched in with the wrong punch app. 9. Click OK to close the comments box. 10. Click Save. Punched Using the Standard Punch App by Mistake Steps 1. Follow steps 1-2 in the Punched Using the Public Safety Punch App by Mistake section. 34

36 Adding Missed Punches An employee might forget to punch in or out. When this happens, a solid red box appears in the missed In or Out cell. To add that punch, you click the cell and enter the missed time. Kronos accepts multiple formats for entering punches in a timecard. Time to Enter 8:00am 1:30pm Acceptable Formats 8; 8a; 8am; 8:00; 8:00a; 8:00am 13:30; 1:30p; 1:30pm Example An employee notified you that she forgot to punch out on Wednesday. The employee started her shift at 7:30 A.M. and ended her shift at 4:00 P.M. From the Reconcile Timecard Widget, access the employee s timecard and add the 4:00 P.M. out punch on the employee s timecard for Wednesday. Steps 1. Click the cell containing the missed punch exception. 2. Enter the missing time. 36

37 3. Enter a comment and note to explain the edit. (Remember, comments and notes are mandatory and justify the edit and record appearing in the Audits tab.) 4. Click Save. Deleting Duplicate Punches with a Comment and Customized Note As a rule, you should not delete punches from timecards because they represent actual times that employees started and stopped working. However, there is an exception to this rule provided we document our actions to reflect in the Audits tab. For example, an employee might punch twice when starting or ending a shift. When this occurs, you will want to delete the extra punch. The Audits tab provides a record of all timecard edits. Example An employee could not remember if he punched in at the beginning of his shift and punched a second time by mistake. You want to delete the employee s second punch. Steps 1. Right-click in the cell where the duplicate punch is located. 37

38 2. Press the delete key on your keyboard. 3. Click Save. 4. Right-click in the cell where the original (first) punch is located. 5. Click Add Comment. 6. Select one or more comments from the list and write a customized note. Your customized note must justify the transactions which reflect in the Audits tab. 38

39 7. Click OK. 8. Click Save. 9. Review your work in the Comment and Audits tabs. Overriding Punches For non-exempt employees, Kronos automatically interprets employee punches in the following order: Employee Action Punch Information 1 st punch for day In Punch 2 nd punch for the day Out Punch 3 rd punch for the day In Punch 4 th punch for the day Out Punch 39

40 However, in the event an employee forgets a punch during the day, Kronos may misinterpret the employee s remaining punches for that day. If this occurs, the employee s manager will need to override the existing punches so they will automatically move to the correct areas of the timecard. Example On Monday, an employee forgot to punch in at the beginning of the shift. Although the employee did punch in and out for the rest of the day, the punches are not in the correct columns. Steps 1. Right-click in the cell containing the 12pm (out for lunch) punch. 2. Select Edit Punch. 3. Select Out Punch from the Override drop-down menu. 40

41 4. Click OK. 5. Repeating steps 3-4, override the 1pm punch to an In Punch and the 5pm punch to an Out Punch. 6. Click Save. 7. Click in the cell where the solid red box is located. 8. Enter the employee s start time. 9. Click Save. 10. Right-click in the 8am cell. 41

42 11. Click Add Comment. 12. Select one or more comments and write a customized note. 13. Click OK. 14. Click Save. 42

43 Marking/Unmarking Exceptions as Reviewed Once you have reviewed an exception and resolved it to your satisfaction, you can mark the exception as having already been reviewed. Once the exception is marked as reviewed, a green border will appear in the cell containing the exception. Additionally, at any time you can choose to unmark an exception as reviewed. Example On Tuesday, an employee (with prior pre-approval from his manager) arrived to work 30 minutes early and left 30 minutes earlier than scheduled. Steps 1. Right-click in the cell where the Early In punch is located. 2. Click Mark as Reviewed. 3. Right-click in the cell where the Early Out punch is located. 4. Click Mark as Reviewed (cell border turns green). 43

44 5. Enter both a comment and a customized note in either of the cells. 6. Click Save. Note: To switch back to a not reviewed status, right-click in the cell and select Unmark as Reviewed. (For example, after marking as reviewed, you decide you want more time to think about the situation and turn the cell s border red as a flag/alert to return to this area before approving the timecard for payroll.) Paying Overtime Do not alter an employee s timecard to avoid paying overtime. In compliance with City Policy, 4-21, Overtime Policy and the Fair Labor Standards Act (FLSA), employees designated non-exempt are eligible to receive overtime pay for time worked in excess of 40 hours per workweek at the rate of one and one-half times their regular rate of pay. This is regardless if the overtime was approved or unapproved by the employee s manager. Note: Overtime is calculated on a weekly basis, not daily. Therefore, overtime does not apply/begin to calculate until a non-exempt employee has worked in excess of 40 hours per workweek. TIPs Remind non-exempt employees that overtime worked without prior authorization from a supervisor may result in disciplinary action. 44

45 Pay Approved Overtime Example: At the manager s direction, an employee punched in on Monday at 7:00am instead of 8:00am and earned one hour of overtime for the week. The overtime will be paid to the employee. Steps 1. Click the day where the overtime was earned. 2. Click Approvals. 3. Click Approve Overtime. 4. Verify the amount of overtime displays in the Unapproved Overtime Amount (hh:mm) field. o Does the overtime display in the Unapproved Overtime Amount (hh:mm) field? o No; click the Overtime Date drop-down arrow. 45

46 Change the Overtime Date to either Friday or Saturday of that week. (The date depends on when the employee worked in excess of 40 hours for that workweek.) o Yes; click an Amount and enter Amount (hh:mm). All None Some Amount Options Definition Approves all overtime hours entered into the Amount (hh:mm) field. Approves 0 overtime hours entered into the Amount (hh:mm) field. Approves only the amount of overtime entered into the Amount (hh:mm) field. Amount (hh:mm) Stays grayed out; no need to enter hours. Stays grayed out; no need to enter hours. Enter hours. 5. Click OK. 46

47 6. Right-click in the cell containing the exception. 7. Click Mark as Reviewed. 8. Right-click in the cell containing the exception. 9. Click Add Comment. 10. Enter both a comment and a customized note explaining the employee was approved to punch in early and the overtime was approved. 11. Click OK to close the Comments box. 12. Click Save. Note: In the Totals & Schedules tab, the EPrem_OT pay code now displays (was EPrem-OT_Unapproved before the approval.) 47

48 Pay Unapproved Overtime Example: Without your authorization, an employee punched in on Monday at 7:00am instead of 8:00am and earned one hour of overtime for the week. The overtime will be paid to the employee. Steps 1. Right-click in the cell containing the exception. 2. Click Marked as Reviewed. 3. Right-click in the cell containing the exception. 4. Click Add Comment. 5. Add both a comment and a customized note explaining the employee punched in too early without authorization. In addition, add to the customized note the date the manager provided the employee constructive feedback not to work overtime without authorization. 6. Click Save. Note: In the Totals & Schedules tab, the EPrem-OT_Unapproved pay code displays. Do not go back and approve this overtime. 48

49 Converting Overtime to Compensatory Time Only move overtime (approved or unapproved) to compensatory time. Moving (Converting) Approved Overtime to Compensatory Time Example: At your direction, an employee punched in on Monday at 7:00am instead of 8:00am and earned one hour of overtime for the week. The employee requests the time to be converted to compensatory time instead of being paid. Steps Follow steps 1-14 in the Pay Approved Overtime section. 15. Right click the EPrem_OT line. 16. Click Move. 17. Click the Pay Code drop-down arrow. 49

50 18. Click ECmp_Time_Earned. 50

51 19. Enter the amount of overtime hours the employee worked in the Amount (hh:mm) field. Note: Oracle will calculate the time and one-half conversion automatically. 20. Is the Effective Date the same as the Overtime Date? Note: The Overtime Date is covered in the Pay Approved Overtime section. The Overtime Date is usually Friday or Saturday of that workweek; when the employee has worked in excess of 40 hours. o No; change the date. 51

52 o Yes, click OK. 21. Right-click in a cell on the row where the employee worked additional hours. 22. Add both a comment and customized note explaining the employee requested to move the overtime to comp time. 23. Click OK to close the comments box. 24. Click Save. Note: In the Totals & Schedules tab, the amount of hours moved to comp time reflects displays in the ECmp_Time_Earned pay code. 52

The overtime will be paid to the employee. Steps 1. Right-click on the EPrem_OT_Unapproved line. 2. Click Move. 3. Click the Pay Code drop-down arrow. 53

56 Adding Pay Code Amounts to Timecards Pay codes keep track of the type of worked and non-worked time that is entered in the timecard. Examples of pay codes include: Holiday, Overtime, Sick, Annual Leave, Call Back, etc. It is important that hours are tracked to the correct pay code so that the employee is paid correctly. There are times when you might have to edit an employee s timecard and use a pay code to track his or her worked or non-worked time; for example, when an employee is ill and unable to work the last day of the pay period and unable to submit a request for time off before the pay period closes. Acceptable formats for entering pay code amounts Acceptable format Example Interpretation by Kronos Leading zeros (optional) 07 7:00 hours 08:30 8:30 hours Colon 7:30 7:30 hours Decimal 8.5 8:30 hours Note: If you enter an amount without a colon Kronos interprets your entry as is, which may be a much larger amount than you meant. 57 Adding a Pay Code for a Full Day Example On the last day of the pay period, an employee (who works Monday-Friday) called in sick, and is unable to request sick leave via the terminal (or Time STAMP). The employee s manager will need to manually enter the Sick pay code and amounts (hours). Steps 1. Click in the Friday Pay Code cell. 2. Select the pay code from the list. 3. Press the Tab key on your keyboard one time to move to the Amount cell. 4. Enter the correct amount of hours. Note: Double-check to ensure the correct hours show in the Daily column. 57

58 5. Right-click in the Amount cell. 6. Enter both a comment and customized note explaining the adding of the pay code and hours. 7. Click OK to close the comments box. 8. Click Save. Adding a Pay Code for a Day with Existing Punches Example On the last day of the pay period, an employee (who works Monday-Friday) arrived to work at 8:00 A.M. At 10:00 A.M., the employee became ill and informed her manager she needed to leave work for the rest of the day. Respecting that the employee did not feel well, the manager allowed the employee to leave immediately without asking the employee to punch out and submit a request for time off. Steps 1. Enter the time the employee left in the Out cell. 58

59 2. Click Add Row. 3. On the 2 nd Friday row, enter the Pay Code and Amount. 4. Click Save. 5. Right-click in the out punch cell and enter both a comment and customized note. 6. Health Center Time Exempt and non-exempt general employees (Confidential, PMSA, SEIU, Regular Unclassified) may use the Health Center for up to six (6) hours of Health Center Time per fiscal year. Note: Please see the following exempt and non-exempt examples. General guidelines: o All appointments made with the Health Center where the employee will be away from the work site must be with the approval from the immediate supervisor or manager. o Non-exempt employees must either: o Punch out when leaving work and in when returning to work. o Have their supervisor or manager notate the time they are leaving work on the Health Center Time Authorization form (ideal for field employees). o Exempt employees must: o Have their supervisor or manager notate the time they are leaving work on the Health Center Time Authorization form o Health Center Time must be used in 30-minute increments. 63

64 o Health Center Time accruals are separate from Sick Leave accruals. o Travel to and from the Health Center is on City time. o Non-exempt employees are not eligible for overtime compensation should their health center appointment go past the end of their work day. o Sick Leave shall be requested if an employee has used all of the Health Center Time. Exempt Example: 8-Hour Shift Employee With pre-approval from the manager, on a Monday an employee: Arrived to work and record their one daily punch. Had their manager notate on their Health Center Time Authorization form they were leaving for the Health Center at 8:45 A.M. Arrived at the Health Center and the Health Center Time Authorization form is stamped in at 9:00 A.M. by staff. Left the Health Center with the Health Center Time Authorization form stamped out at 9:30 A.M. Provided the immediate supervisor the Health Center Time Authorization form. Next, the supervisor or manager needs to record the 30 minutes of Health Center Time on the employee s timecard. Time Health Center Time Pay Code EHealth_Center_Time Note: The timecard shift column will show 8:30 Hours but the Totals and Schedules tab in the bottom left corner will show 79:30 Base Hours and :30 Hour of Health Center Time. Transferring Hours to a Different Cost Center Each employee is assigned a primary labor account and default work rule. During the normal workday, all worked and non-worked hours are charged to this assigned labor account. Occasionally, you may need to transfer the employee to another labor account or work rule. You need to record the transfer in the application so that the right labor account is charged and the right work rule is applied. 72

Does the labor account or work rule appear in the Transfer list? o Yes o Select the labor account. o Click Save. 76

Example On Friday an employee worked from 2:00 P.M. to 3:00 P.M in another cost center. Steps 1. Click the day you wish to transfer hours. 2. Right-click the row you wish to transfer hours in the Totals & Schedule area. 3. Click Move. 79

81 Cancelling a Meal Deduction (For employees who punch in and out for meal breaks.) On occasion, an employee may be required to work without a meal break. (A meal break is any break time longer than 20 minutes and is unpaid time.) When this occurs, the manager will need to cancel the automatic meal deduction to ensure the employee s timecard calculates the correct amount of hours the employee worked. Example On Monday, an employee worked from 7:30 A.M. to 3:30 P.M. without her regular 30 minute meal break due to a work-related emergency. Although the employee worked 8 hours, the timecard reflects 7:30 hours. Steps 1. Right-click in the cell containing the 3:30 P.M. out punch. 2. Click Edit Punch. 81

82 3. Select the 30 Min Lunch Auto Deduction option from the Cancel Deduction drop-down list. Note: Select the 60 Min Lunch Auto Deduction option for those scheduled to take a 60-minute meal break. 84 Approving Timecards for Payroll Note: All timecards in your Kronos view must be approved. This includes timecards with zero (0) hours (example On Call employees) and terminated employees. (Please see the Adding Pay Code section for more details about terminated employees.) You must correct all exceptions before time data is signed off by Payroll and timecards are locked. Otherwise, employees may not get paid correctly for that pay period. You can approve timecards on a Widget or on a timecard itself. After you approve a timecard, you cannot make any edits to it unless you remove your approval. Approving a Timecard within the Timecard (Reconcile Timecard Widget) Example It is the end of the pay period and you are ready to approve the timecard. Steps 1. Verify all exceptions are cleared no red boxes. 2. Click Approvals. 84

After you approve one or more employees timecards, they are no longer editable. If the need arises and it is before the payroll deadline, you can remove your approval. After you remove your approval, you can make the necessary timecard edits and then reapprove the timecards. Example You realized you forgot to enter four hours of sick time for Wednesday of the previous pay period. You have already approved the employee s timecard. You need to remove your approval, add four hours of sick time for that Wednesday, and then re-approve the timecard for that day. Steps 1. From the Reconcile Timecard widget, open the timecard. 2. Click Approvals. 3. Click Remove Approval. 4. Click Comment. 5. Enter both a comment and customized note. 6. Click OK to close the comment box. 93

95 Generating Reports You can generate reports on a daily, weekly, or pay period basis, or any time you need information to accomplish your business tasks. Example For auditing and validation purposes, you want to review all timecard data for employees for the previous pay period. Generate a Time Detail report to review this information. Steps 1. Select the Reports widget. 95

96 2. On the Select Report tab, click the plus (+) to display a category s contents. Next, click a report name and review its description to ensure that the report returns the data you need. 3. Select the group of employees from the People drop-down list, select the correct time period from the Time Period drop-down list. 96

99 Approving Time Off Requests Employees will submit time-off requests using one of the following methods: Employee Group Employees punching in/out at Terminals Employees with web access entry PBA (Police) and IAFF (Fire) represented employees Telestaff Method to Request Time Off Terminal Using a computer Telestaff Example An employee submits a request for eight hours of Annual Leave on a day when she is scheduled to work. You review the Time Off Request and determine the employee has enough Annual Leave hours accrued, so you approve the request. Steps 1. Received an in Lotus Notes indicating an employee has requested time off. Note: If an employee logs into the terminal and enters multiple requests, the start and end dates may not always be consecutive days and the request could contain multiple pay codes. More information to help is provided in step Log into Kronos. 99

100 3. Locate the request by either of the following methods: a. Request Alert 1) Click the Request alert. 2) Click Time-Off. b. Manage My Request Widget 1) Click the Manage My Request widget. 100

103 Note: The manager will only see requested dates off within a six-month period of time (from today and six months into the future.) Therefore, if a request for time off (or part of a request) is greater than six months, those dates will not display in the Edit view. This is why it is important to use Details to view all the dates associated with this request. 7. Scroll down to review the accrual balance(s) associated with the request. 103

Postpone all dates associated with the request. Example: Manager needs time to consider the request. Approved Approve all dates associated with the request. Examples: Employee does have enough accrued time. Employee does not currently have enough accrued time; however, the employee will accrue the time by the requested date(s). Retracted Cancel all dates associated with the request. Example: Employee changed his/her mind and wants the manager to cancel the request. Refused Deny all dates associated with the request. Examples: Department is unable to spare the employee. Employee does not have enough accrued time. 104

105 10. (Optional) Click the Comments drop-down menu to select a comment and type a note in the Notes field. 11. Click the Edit tab to save. Note: Once the request is approved or refused, the employee will be able to view the confirmation in the My Messages app at the terminal and/or by

106 Managing Family Medical Leave (FMLA) 1.) Employee requests FML to HR as per FML policy. 2.) Department and employee s manager will be advised of approval/denial by the Human Resources FML Coordinator. 3.) FML Coordinator sets up leave case in Kronos. 4.) Manager enters FML time (continuous or intermittent) in the employee s timecard. **Paid time automatically cascades from one leave type to another, based on the time available for each employee, per the Leave Administration Policy.** Remind your employees not to request sick time at the terminal for anything Family Medical Leave related. Managers shall Refuse these requests instead of approving them. If the manager mistakenly approves a request, the employee will need to cancel the request at the terminal. Sick Leave-Not Related to FML 1.) Employee in need of sick time for illness/injury not related to FML, requests time sick time at terminal, for the number of hours needed, both hourly and salary employees. 2.) FML & Sick Time - If an employee had time off for FML and a sick request not related to FML in the same day, the same process would apply. Hours for non-fml sick would be requested at the terminal, FML hours would be managed by their manager. 3.) Managers would approve these requests as described in the Approving Time Off Requests section of this manual. Entering an Employee s FML Leave (Continuous or Intermittent) An employee should notify their manager they need to take time off associated with an Open Leave case. The employee should not discuss any specific health-related information; nor shall the manager ask any health-related questions. Example Mr. Jones, I have an appointment on 7/7/2014. It is for a leave case I had opened and I ll be gone 8 hours. Next, the manager will enter the leave in Kronos. 106

107 Steps 1. Using the Reconcile Timecard widget, open the employee s timecard. 2. Click Leave. 3. Click Edit. 4. Enter the needed hours on the correct date/line. 107

108 5. Click Save & Close. Note: Kronos will calculate the Leave takings and apply the pay code in the correct amounts. The manager may need to refresh the timecard to see the edits. Timecard examples: The employee had ample Sick Leave hours in the accrual balance. Therefore, Kronos automatically deducted the 8 hours out of employee s Sick Leave accrual balance. The employee did not have ample Sick or Vacation hours in the accrual balances. Therefore, Kronos automatically cascaded the 8 hours starting with the employee s Sick Leave 108

109 Delegation of Authority Note: It is a violation of City Policy 1-28, Computer Policy to share User IDs or passwords. Therefore, for another manager or TEC to handle your Kronos tasks while you are away you need to delegate your authority. You can temporarily delegate your authority to perform your tasks to others with a Kronos license/access in your department. The person performing your tasks will use their own user name and password when logging in to Kronos. All the edits they perform will be fully visible when you return and will be recorded/tracked in the Audits tab of each employee s timecard. You can only delegate to one (1) other person with a Kronos license/access at a time. Delegator Managers TEC s (Superusers) Delegate to Other managers with a Kronos license/access in your department Other TEC s (Superusers) with a Kronos license/access in your department Delegating Your Kronos Tasks (Requesting Backup Coverage) Example A manager is going on vacation from July 10, 2014 to July 11, The manager has already spoken to another manager about handling his/her tasks while away, and the other manager has verbally agreed. Example A manager already spoke to you about handing his tasks while away from July 10, 2014 to July 11, 2014, and you agreed. Steps 1. The person being delegated to will receive an notification via Lotus Notes. 2. Click the My Inbox widget. 115

117 6. Click Save & Close. Switch Between Your Role and the Delegated Role Any tasks/edits you perform on behalf of the delegator will reflect in your Audits tab. After you accept a delegation request, Kronos automatically provides access to the other person s tasks on the specified start date. A Switch Role link appears as a quick link to access their tasks and identifies which role you currently are working. Example Another manager (or TEC) delegated his tasks to you and you are ready to perform his Kronos tasks. 117
