3 Background Information Excellence Ensemble Welcoming Passionate about music Excellence Liverpool Philharmonic was founded in 1840 by a group of Liverpool music-lovers. Today, we present a distinctive, diverse live music programme of over 400 concerts and events of the highest quality every year at our home, Liverpool Philharmonic Hall, other venues in our City, across the UK and internationally. Our programme features the best in classical, chamber, contemporary, rock, pop, folk, roots and jazz music, comedy, film and spoken word in the main Hall, and in our smaller scale Music Room. The Royal Liverpool Philharmonic Orchestra performs at least 70 concerts each year in Liverpool, and close to 100 annually across the UK and internationally, working with many of the world s finest artists and musicians. We deliver an extensive learning and education programme which is acknowledged nationally and internationally as a leader in its field. Ensemble Our musicians in the Royal Liverpool Philharmonic Orchestra, and ensembles drawn from it, are at the heart of everything we do. Since 2006, the Orchestra has developed an internationally acclaimed musical partnership with our Chief Conductor, Vasily Petrenko, for their concerts, broadcasts and recordings, and through collaborations with other major artists. We share our passion for music with more than 370,000 children and adults who engage with us annually, either as ticket buyers for performances or as participants in workshops and associated events each year; and in the 3,700 music workshops we deliver each year which are attended by more 70,000 people in communities and venues and throughout our City. 3

4 Job Description Title: Location: Responsible to: Contract: Programme Officer The normal place of work is Liverpool Philharmonic Hall or any reasonable location dependent upon the requirements of the post. Head of Programme (Hall and Events) Full time, permanent Principal Role Working closely with the Head of Programme (Hall and Events), and the Artistic Programme team, to provide programme support to the hall programme as required. Key Objectives Build Liverpool Philharmonic s reputation as an exciting concert venue presenting major artists (national and international), and up and coming talent across the musical genres. Support the building of a distinct, confident, creative, vibrant, relevant, and rounded musical programme across the musical genres, pro-actively working with promoters with a wish list for Hall lettings, as well as working with strategic partners to expand our own promotional programme. Purpose of the Job To provide co-ordination and administrative support to all arts events and performances in all spaces at Liverpool Philharmonic. Key Responsibilities 1. To provide the planning and co-ordination of events and the venue diary across the main auditorium, Music Room and any other venues as required. 2. To provide effective and efficient operation of the Liverpool Philharmonic diary system (Artifax), ensuring accurate and timely provision of event information from booking onwards. 3. To provide effective communication of show information to all departments within Liverpool Philharmonic. 4. To support the Head of Programme by liaising with agents, artists, promoters and hirers on diary availability, ticket prices and marketing plans for new and potential events as required. 5. To negotiate with promoters on appropriate hire fees and deals according to rate card and as authorised by the Head of Programme. 6. To provide support and co-ordination of our own promoted programme. 7. To ensure that hirers are provided with a consistent quality of service as defined in the 4

5 Standard Operating Procedure. 8. To build and sustain successful relationships with external/internal hirers and promoters. 9. To liaise with hirers and promoters to provide advice and accurate hiring information. 10. Work closely with event management and technical teams to create provisional reconciliations for every performance and, in particular, work with the Head of Programme to ensure the target of two working days for all reconciliations is met. 11. Carry out research and compile information relating to programming in support of special projects being undertaken within the team, and prepare brief reports as required. 12. Prepare newly confirmed events for public sale, obtaining box office information and publicity material, working closely with the marketing team to provide relevant information in a timely manner and, where possible, direct support. Detailed Specification: In the context of the strategic plan development priorities (Audiences, Music, Musicians and Liverpool), assist in researching and identifying appropriate promoters artists and events suitable for the Liverpool Philharmonic programme. Maximise income by recognising potential opportunities, advising on deals and promoting arrangements, analysing audience behaviour and identifying programme/diary clashes or possible audience cannibalisation etc. When appropriate, attend events and assist the Event Managers to deliver the best possible customer experience for hirers, promoters and artists. Liaise with artists, promoters and their production teams to advance shows to an appropriate point for the Event Management and technical teams to action. Attend relevant meetings, specifically Artistic Planning Meetings, the Events meeting, and Marketing Meetings. Working closely with the Hall Administrator to advance diary priority protocols, ensuring content is comprehensive and accurate at all times. Provide continuity of service, particularly in the Head of Programme s absence and, in particular, work to ensure that the SOP objective of a same day response to availability requests is met. 6 Person Specification Detailed below are the additional qualifications, knowledge / experience and skills/ abilities required for the post. The essential column outlines the minimum essential requirements of the post. 8 Conditions of Employment Salary The salary for this post is 23,000 per annum Performance Appraisal Objectives for the post holder will be set by the Head of Programme Hours of work Contracted hours for this post are 10.00am 18.00pm, 5 days per week; however, there will be a requirement for some evening and weekend work. Overtime is not payable, however time in lieu can be arranged with your line manager. Holidays The annual leave entitlement is 26 days excluding public holidays pro rata. These will be taken at times agreed with the Head of Programme. Pension Liverpool Philharmonic operates a Group Personal Pension Scheme. In accordance with the Pension Act 2008 all qualifying employees will be auto enrolled into the Group Personal Pension scheme with those wishing not to participate having the right of opting out. Sickness Payments Liverpool Philharmonic has a sickness absence policy and payments during sickness absence will be made in accordance with the policy. Details of the policy are available on request. Car Allowance A car allowance will be paid in respect of approved business journeys. The allowance is currently 40 pence per mile. Other Expenses Other expenses necessarily incurred arising from the performance of duties of the job will be paid, subject to clearance by the relevant line manager. 8
