2 Southern California Edison Electric utility for 13 million Southern and Central Californians 50,000 square miles of coverage Over 16,000 employees Employment Testing Program Begun in the 1970 s 120+ knowledge tests, 45 performance tests, 14 aptitude batteries 12,000 14,000 tests administered per year Pre-employment and promotional testing Slide 3 Separate systems for: Internal hiring External hiring Testing Reporting Previous testing system: Paper & pencil based Manual tracking of revisions Database at capacity Complex reporting required merging data with other data sources All manual, meaning extra work and opportunities for error 2
3 ERP Project Decision to utilize SAP for all enterprise systems, including financial, human capital management (HCM), and operational Greater accountability Improved reporting Single system approach Phased approach: HCM modules, including recruitment and training, had a go-live date of March 9, 2009 Complete review and revision of all transactional processes was required for implementation ERP team members included End users and embedded business unit stakeholders Internal and external consultants SCE IT Staff Single system of record for testing results Scalable Using 21 st century technology! Prevent duplication of data entry Provide information back to employees Immediate feedback on passing Developmental feedback for failing Improve reporting capabilities without manual merging of data 3
4 Challenge SAP Desire to maintain only one system for test results Learning Solutions (LSO) can manage training/testing records, but only for employees E-Recruit can manage applicants and employees, but not test results Solution Perception becomes the system of record for results from applicants and employees Applicant data comes from E-Recruit for everyone Passing results go to LSO for employees Challenge - Integrate several record streams Thousands of historical testing records for employees On-going testing by 3 rd party vendors New exams to be delivered via Perception Solution One time conversion of historical records Daily interfaces pull 3 rd party test records into Perception Participant ID entered by test taker in 3 rd party tests used to match results to participant records in Perception 4
5 Challenge Job applicant data already entered in SAP s E- Recruiting system Candidate information Tests required for each requisition (job opening) associated as SAP Qualifications Solution Twice daily interface Recruiter selects job applicants who meet basic qualifications & performs Send to Testing function in SAP Critical candidate information sent to Participants in Perception Candidates assigned to groups based upon the requisition number Test schedules created for participants based upon Qualifications 5
6 1. Person applies, and enters own information into E-Recruit 2. Recruiter views information, and performs basic screen 3. Recruiter performs Send to Testing function, and candidate and test information is sent to Perception 4. Notification generated 6
7 Participants are generated from E-Recruit data Schedules are based upon Qualifications from requisition Custom report allows Testing Department to determine who has already taken the test 7
8 Challenge human memory Employees don t recall what tests they ve taken Don t recall the date results will expire No way for employees to know if a test underwent a major revision, and they must re-qualify Solution: Daily interface sends passing employee results to Qualifications within SAP Daily interface sends passing results for new hires to Qualifications Qualifications show expiration dates for tests that expire Qualifications administrators can delimit (remove) qualifications if exams are revised or replaced Qualifications catalog contains all tests used by SCE Employees who pass can see what they ve passed Expiration date matches our test validity policy Future recruiters could use this to mine for qualified candidates 8
9 Challenge Necessary to pull reporting information Perception has limitations on how much demographic information can be stored in results SCE uses many demographic variables for reporting Solution Daily interface sends test results back to SAP s Business Intelligence (data warehouse) module Custom BI report allows analysis of results based upon dozens of variables (e.g., EEO data, Business Unit, Position, Test, Available variables for a pivot-table style report. Many of these variable names include several different sub variables. 9

11 Find the right people You need talent and motivation speak up quickly if you don t get it You need the right organizational support There is no such thing as too much testing Upfront time developing a comprehensive testing plan can save a lot of grief More realism is better. Have a sense of humor (and the phone # for a good take out place by the office!) 11
