4 Overview of Panel Member Screen To display the Overview Screen as a Panel Member, log in to MUSE and click on Staff Applications > myjob/myteam/erecruitment > erec Panel Member. Publications Tab: Click here for links to the About the Job, Advert and About the University. Click the blue box to select or deselect the Job Requisition. Requisition: Lists the Job Requisitions you are assigned to. Click here to display the Job Requisition Overview. Assess Candidate for Requisition: Click here to record your assessment of the selected candidate Shortlisting Report; Click on the number of applications in the shortlisted column to download a copy of the Shortlisting form. See page 8 Candidates Columns: Displays the number of candidates and their current status in the Hiring process. Refresh buttons to update the screen. Candidate: Click on the candidate name to view their application Go to Questionnaire: Click here to complete the Two Ticks Questionnaire for your selected candidate Further Information columns: Total Column: Displays a 1 if a Two Ticks Questionnaire has been attached Overall Assessment: Displays the aggregated Panel Members ranking per candidate. Click here to see other Panel Member s comments Individual Assessment: Displays your ranking of each candidate. Filled Column: Displays a 1 when Revised January 2015 you have completed a Two Ticks 4 Questionnaire.

5 How to record your assessment of the candidates 1. Click on the blue box to select the Job Requisition for the post you are performing the shortlisting for. The candidates will then appear in the Candidate Assessment Tab, in the bottom half of the screen. You will evaluate the candidate s application against the essential and desirable criteria as defined in the About the Job document. To view the About the Job, click on the Requisition Title (found in the top requisitions table); this will open the requisition PDF and link through to the attachments. 2. In the Candidate Assessment tab, highlight the candidate you wish to assess. Clicking on their name will open their application form. 3. Click on the link to open the assessment window: 4. Add your assessment notes in the Note field. These should detail which of the essential and desirable criteria in the About The Job the candidate satisfies or is missing. 5. Select your overall Assessment from the drop down box 6. Click Save Revised January

6 If you need to amend your assessment, you can follow the steps above and overwrite your comments and ranking. If the candidate has applied under the Two Ticks Scheme there will be an additional, brief questionnaire to complete to confirm whether they meet the essential criteria for the post. Under the Candidate Assessment tab in the Total column a number 1 will appear if a questionnaire is attached for a candidate. Your Recruiter will also have highlighted that the candidate has applied under the Two Ticks Scheme in the notifying you that the candidates are now available for shortlisting. To complete the Questionnaire: 1. Highlight the relevant candidate by clicking on the blue cube to the left of their name. 2. Click the button - a new window will open as shown below. Complete the questionnaire by selecting Yes or No 3. Click Complete and then Close Revised January

7 How to view the comments of other Panel Members You are able to display the rankings and comments of your colleagues on the selection panel through the aggregated ranking, for each candidate, in the Overall Assessment column. 1. Click on the Overall Assessment of the candidate you are interested in a new window will open, as shown below. This window shows the other Panel Members who have assessed the candidate and their assessments. If it only shows your ranking and comments, you are the first panel member to rank the candidate. 2. Click on the cube for a Panel Member s line to see their comments in the Note field below. To close the screen click OK. Revised January

8 How to download the Applicant List & Shortlisting Report You can access a list of applicants by clicking on the number of applications in the Shortlisted column. If you access this once the shortlisting has been completed the report will also reflect the results and can be used for any shortlisting meetings. 1. Click on the number of applications in the Shortlisted column for the Job Requisition you are interested in. 2. Click Open 3. If the above message appears click Yes The report will appear in Excel. You can Print, Save or this document. Revised January

9 Features of e-recruitment on-line ranking On-line ranking in e-recruitment can be processed anywhere a panel member has access to the internet. The panel members have visibility of each other s comments and ranking during the process. The Recruiter can monitor the progress of the process, as they have visibility of who has performed the shortlisting. e-recruitment will automatically aggregate the panel s rankings but also provides visibility of the individual rankings from each panel member. The Recruiter can automatically sort the candidates based on the overall, aggregated rankings. A panel member is able to perform the ranking of candidates completely on-screen or choose to have printed copies of the applications and About the Job document but still enter their rankings and comments directly into the system. The overall and individual panel member s rankings, including their comments, can be viewed or printed in a single report to support any shortlisting discussion/meeting. Four ranking categories are provided, rather than the current yes/no question in relation to invitation to interview, to help minimise the requirement for more than one round of shortlisting. The selection of candidates for interview remains within the panel s control. The aggregated rankings are provided to support the decision making process but the Recruiter will still control the invitations to interview, based on the panel s decisions. All the information for each candidate is held in e-recruitment, for future reference and to support the provision of feedback to candidates. Additional information can be uploaded and attached to any candidate by the Recruiter, if required. If the shortlisting of candidates is performed on-line, it is not necessary for departments to store any of the paperwork regarding the recruitment, as all the information for the end-to-end recruitment process will be held in e-recruitment.
