1 JOB DESCRIPTION Post Title: School: Department: Salary: Responsible to: Responsible for: The Bridge School School Business Management PO3 Business Manager Admin staff Purpose of the Job: To make a major contribution to the successful strategic management and administration of The Bridge School and its day to day efficiency. Ensuring that staff are deployed in an effective way in order to provide an efficient administrative service to the Governors, Head Teacher and staff. To develop, maintain and operate administrative procedures for the school in order to ensure that all legal requirements are met. To be responsible for the provision of an effective human resources service to ensure the efficient functioning of The Bridge School and to provide personal administrative support to the Head Teacher. To actively promote the continuous professional development of all staff in the school. To work across both sites of The Bridge School MAIN RESPONSIBILITIES: ADMINISTRATION To have responsibility for the administrative oversight of The Bridge School and to have overall responsibility for all admin staff, making best use of the physical, financial and human resources available. Supporting with the recruitment and appointment of new staff. Developing and implementing an induction, performance management and training process for all admin staff, and ensuring that job descriptions are kept under review. Responsibility for the efficiency and effectiveness of administrative services. 1. Work with Head Teacher and Leadership Team on workforce remodelling as necessary; 2. To act as Team Leader and Line Manager for all admin staff, organising regular team meetings, implementing Performance Management arrangements, and providing on-going support to the team; 3. To manage the allocation of admin staff to duties, including cover for absence; 4. To have oversight of the admin budget; Page 1 of 7
2 5. To manage and assess performance of admin staff; 6. To advise the Head Teacher on administrative issues; 7. To review administrative practices within the school on a regular basis and effect appropriate change as necessary; 8. To write policies, as appropriate, consulting with staff; 9. To work with the school Finance Officer to ensure the timely completion of data returns e.g. annual DFE return; 10. To prepare reports for Governors as required; HUMAN RESOURCES & PAYROLL MAIN RESPONSIBILITIES: 1. To ensure maintenance of staff files in an orderly and efficient manner; 2. To manage and oversee the complete payroll procedure in-house for all staff and contractors 3. To receive and report all sickness and absence phone calls to the relevant sites before 07.45am on a daily basis 4. To manage the various pension schemes efficiently 5. To ensure maintenance and report records of staff absence and leave; 6. To analyse data in relation to staff absence 7. To ensure the completion and submission of all data in relation to staff contracts, including the completion of new starter information, ensuring that contracts are issued and overseeing any change in contract 8. To take a lead role in all recruitment within the school, placing advertisements, arranging interviews and communicating with candidates 9. To ensure the school remains within the appropriate Immigration procedure 10. To have oversight of grievance and disciplinary procedure 11. To establish a record of all staff s Continuous Professional Development 12. In accordance with school Performance Management procedures to alert staff to and organise appropriate CPD activities 13. To keep an oversight on staff attendance at twilight sessions; Page 2 of 7
3 14. To keep a record of staff attendance on courses; 15. To have oversight of induction procedures for all new staff 16. To provide an administrative role to the support of Newly Qualified Teachers; 17. Liaise with the school Finance Officer and School Business Manager; 18. Maintain a good working relationship with the various external stakeholders MANAGEMENT 1. To plan and prioritise own work and that of your staff according to the needs of the school as determined by the Deputy Head Teacher or Head Teacher 2. To be responsible for monitoring the quality of the service provided by staff within the Business Management Team 3. To be responsible for collecting, checking and verifying time sheets, authorisation of annual leave and keeping other necessary records on the attendance and performance of administrative staff 4. To plan, prioritise, allocate, manage and supervise the work of other administrative staff. To prepare the work rota s for staff, ensure premises are adequately covered when open and ensuring holiday periods and other absences are adequately covered 5. To be responsible as first line supervisor for initial discipline of administrative staff including issue of verbal warnings and preparation of reports for further formal disciplinary action To be responsible for identifying the development and training needs of administrative staff and meeting or assist in the provision of such training and staff development to meet those needs. To carry out the duties and responsibilities of the post, in accordance with the school s Health and Safety Policy and relevant Health and Safety Guidance and Legislation 2. To undertake additional projects as and when required incl. development of new business opportunities 3. To promote the safeguarding of children 4. To use information technology systems as required to carry out the duties of the post in the most efficient and effective manner 5. To undertake training and professional development as appropriate 6. To undertake other duties appropriate to the post that may reasonably be required from time to time. Page 3 of 7

Evidence of the personal and leadership qualities required to set an example to others and to lead a team, including the ability to motivate and support a team. 2. Evidence of flexibility and being open to new ideas. 3. Advanced ICT skills, including a good understanding of ICT systems and the ability to develop them. 4. Understanding of good management practices and the policies and systems to support them. 5. Successful management experience (at least 2 years). 6. Relevant qualification at level 4 or above CIPD HR 7. Excellent personal interaction skills, both on the phone and in person. 8. Excellent organisational skills. 9. Evidence of the personal and leadership qualities required to set an example to others. 10. Evidence of flexibility and being open to new ideas. 11. Competent ICT skills, including a good understanding of ICT systems and the ability to develop them. 12. Understanding of good management practices and the policies and systems to support them.
