3 JOB DESCRIPTION POST: REPORTS TO: Employee Resourcing Administrator Employee Resourcing Manager RESPONSIBLE TO: Assistant Director of HR. Employment, Performance and Corporate Services LOCATION: JOB SUMMARY Employee Resourcing Department The post holder will be required to provide a full range, high quality administrative service to the Human Resources function, under the guidance and direction of the Employee Resourcing Manager. Main Duties and Responsibilities 1. To provide up-to-date, factual advice to internal and external customers on a range of HR policies, procedures and processes, e.g. terms and conditions of service, selection and recruitment issues, superannuation scheme etc. 2. To co-ordinate and plan recruitment and selection drives, including the placement of advertisements following due process, short listing and interviewing arrangements, and liaising with relevant managers as appropriate. 3. To ensure the maintenance and development of efficient and effective administrative systems, and the implementation of improvements and additions required, in accordance with Trust policies and procedures. 4. To communicate with successful and unsuccessful applicants, e.g. success letters, contracts of employment etc. 5. To supervise the work of junior staff, both permanent and temporary, on a dayto-day basis, within the authority delegated to the post holder. 6. To participate in selection and recruitment of junior staff, as required. 7. To process applications for placing of agency staff, following due process. 8. To maintain a register of agency staff and provide monthly reports of same, as required.

4 9. To ensure Human Resources manual and computerised filing and information systems, e.g. HRMS, are kept up-to-date, as required. 10. To liaise with Payroll in order to ensure relevant documentation and/or information is processed in a timely and accurate manner. 11. To process all documentation and provide relevant advice in a timely and accurate manner, i.e. in relation to issues such as ill-health retirement, maternity leave applications, superannuation scheme etc. 12. To accompany relevant managers on home visits, in accordance with the Trust s Attendance Management Policy, as required. 13. To liaise with outside agencies as appropriate, i.e. Occupational Health Service. 14 To order stationery and supplies, and maintain stock control, as required. 15. To ensure confidentiality is maintained at all times. General 1. To ensure that statutory regulations and Trust policies and procedures are implemented and adhered to at all times. 2. To take part in staff development programmes and annual development reviews and/or undertake further training if and when required. 3. To act at all times in a manner consistent with legislation, policy and procedures in respect of Equality and Diversity. 4. To work to the mission and values of the Trust and display high standards of integrity and professionalism towards clients and colleagues. 5. To continuously develop and update own knowledge and skills within the job role and contribute to setting own work objectives. 6. Possess excellent communication and interpersonal skills in order to work effectively with clients and colleagues at all levels, both internally and externally. 7. Proven ability to work as a member of a team, and on own initiative. 8. Ability to prioritise workload and to work to tight timescales. 9. 6 PERSONNEL SPECIFICATION POST: Employee Resourcing Administrator BAND: 4 REPORTS TO: Employee Resourcing Manager RESPONSIBLE TO: Assistant Director of HR, Employment, Performance and Corporate Services APPLICANTS MUST CLEARLY DEMONSTRATE IN THE APPLICATION FORM HOW THEY MEET THE UNDERNOTED CRITERIA. ONLY INFORMATION CONTAINED IN THE APPLICATION FORM WILL BE CONSIDERED AT SHORTLISTING ESSENTIAL CRITERIA 1. Five GCSEs at Grade C or above, including English/English Language, or equivalent educational qualifications and a minimum of two years recent experience in a Human Resources environment, to include a working knowledge and experience of Microsoft Office Suite or equivalent. OR Three years experience working in a Human Resources environment, to include a working knowledge and experience of Microsoft Office Suite or equivalent. 2. A working knowledge and experience of computerised and manual Human Resources systems and procedures within the HPSS. 3. A working knowledge and experience of current employment legislation.
