1 UBC Graduate Program in Neuroscience Mentorship Program The mentorship program was established to help increase the sense of belonging of UBC Neuroscience students to a graduate program, and for those new to the city, facilitate their transition to the Vancouver culture. It is the hopes that the program will help familiarize new students with various aspects of being a graduate student at UBC, provide guidance to current students, as well as to build networks among students and postdoctoral fellows. All students from the Graduate Program in Neuroscience at UBC are invited to participate. We are recruiting NRSC students in their second or later years to be mentors. The Faculty of Land and Food Systems' Tri- Mentoring Program provides an excellent definition of "What is a mentor?" Read about it here: file/career/trimentor_what_is_a_mentor.pdf. What Participants can Expect: Mentors will participate in an orientation at the beginning of the year to become more familiar with the role of a mentor. Both mentors and mentees will attend a kick- off NRSC Pub Night at the beginning of the year. Communication face- to- face with your mentor at least two times (in addition to the kick- off NRSC Pub Night) over the academic year, at least once per term. Each meeting is expected to be a minimum of one- hour in length. Agree and abide by the Mentoring Agreement and Code of Conduct. What Mentees will Gain: Learn more about your field Have questions/confusions answered/clarified Receive potential support for NRSC 500 and NRSC 501 coursework Confirm or re- evaluate ideas about your research Network and connect with senior students or PDFS. What Mentors will Gain: Opportunity to inspire future colleagues and to thereby influence the future of your field Chance to enhance your coaching skills A completion certificate signed by the Director of the Neuroscience Program

2 Mentoring Agreement As mentoring partners, it is important that we have a shared understanding of the commitment we are making to our mentoring relationship and that we share responsibility for ensuring that it works for both of us. We understand that a successful relationship will require us to: Abide by the Student Rights and Responsibilities Guide, UBC Policy Handbook, and the Mentoring Relationship Code of Conduct. Commit to the relationship for two full academic terms. Respect the confidential nature of all information discussed during mentoring meetings. Meet in person a minimum of 2 times over the academic year, once per term, in addition to the kick- off Pub Night Social at the start of the year. Each meeting is expected to be a minimum of one hour in length. Attend all mandatory mentoring training and special events (e.g. mentor orientation, kick- off Pub Night). Be easily accessible via a preferred method of communication (e.g. ), with the expectation that a reply is given within 72 hours. Report any problems that we are not able to solve ourselves to the Mentoring Coordinator. Recognize that this mentoring relationship is focused on building relationships and sharing information. 4 Code of Conduct Guidelines for Mentoring Relationships The following guidelines have been prepared to provide important guidance to both mentors and mentees regarding their mentoring relationships. Experience in other programs has demonstrated the value of establishing boundaries around mentoring relationships that protect all participants. 1. Trust and confidentiality of the information shared in mentoring meetings are critical components of a successful mentoring relationship and will be maintained at all times. 2. The Student Rights and Responsibilities Guide and the UBC Policy Handbook, including policies on discrimination and harassment will be strictly adhered to. 3. Where applicable and as determined by the department or faculty, academic standing, including G.P.A. and part- time versus full- time status, will be maintained during the relationship. 4. Attendance and active participation in all mentoring program training sessions, meetings and events is a requirement of participation. 5. Professional conduct and manner will be maintained at all times, particularly while participating in any mentoring activities. 6. Commitment to the mentoring relationship is an important part of the mentorship program. Those unable to fulfill their responsibilities or who are having difficulty in their mentoring relationship are encouraged to contact the mentorship program coordinator to discuss the appropriate course of action. 7. Failure to comply with any of the above can lead to the termination of the mentoring relationship and individual participation by either the mentee or mentor. The Program will commence in September with an orientation to familiarize you with your role as a mentor. Also in September, you will attend a Kick- off Pub Night where you will be introduced to your mentee and have the opportunity to meet and mingle with all participating mentors and mentees in the program.
