1 ADACTUS HOUSING GROUP LIMITED BENEFITS AND JOB DETAILS Position: Contracts Administrator (Please Quote Ref AHG-197 on the application form) Employer: Adactus Housing Group Limited Location: Various Salary: 23,466-25,841 per annum (Salary scale 25-28) Hours: Status: Holidays: Pension: Car Allowance: Childcare vouchers: Sick Pay: 8.30 am pm Mon - Fri 35 hours per week Permanent subject to probationary period 24 working days per annum (5 day working week) plus bank holidays, plus 3 concessionary days holiday during the Christmas period, plus additional days after 2 years continuous service to a maximum of 5 days The Group belongs to the Pension Trust Scheme to which the successful candidate would be entitled to join. This is an Employer and Employee contribution scheme. 2 ADACTUS HOUSING ASSOCIATION LTD JOB DESCRIPTION Job Title: Department: Located at: Hours of work: Contract Administrator Asset Management Various Sites throughout the North West 8.30 am pm Grade: Scale Responsible to: Responsible for: Head of Planned Works Programme Delivery Financial Performance OVERALL AIM OF THE JOB To develop, maintain and administer long and short planned maintenance works programme delivering internal and external refurbishment works. To produce financial and performance documentation in relation to the overall programme. To liaise with the key stakeholders of the programme to ensure high performance levels in all aspects. Assist management with the development and introduction of new initiatives concerning methods of working. Review, update and improve systems ands procedures within the planned works team. MAIN TASKS OR ACTIVITIES OF THE JOB Operational To produce long and short term programmes relating to planned maintenance works. To monitor and communicate programme performance and liaise with key stakeholders to ensure the programme is achieved To compile and produce monthly reports relating to key performance indicators of the programme. To liaise with the client and their representatives in relation to short and long term planned maintenance programmes and on going performance levels.. To manage the tenant communication process inline with the client requirements / planned programme and ensure high levels of satisfaction. To be responsible for the any customer complaints and undertake any relevant investigations and resolutions.

3 To maintain the property component database in terms of age and condition of each individual element To maintain the contract specification log and document / record any subsequent changes To maintain records in relation to planned maintenance programme to support the overall contract. To produce short term and long term financial cash flow forecasts in relation to the planned programme and associated budgets To produce and issue monthly valuations inline with the relevant property component completions. To liaise with the client and their representatives on key performance indicators including programme delivery, budgetary management and tenant satisfaction Follow all Group policies and procedures in accordance with the role and attend Mandatory training when requested to ensure compliance with Group policies and procedures. Ensure you work in accordance with the Equality Act 2010 and the Equality & Diversity Policy at all times. Carry out any duty which may be, from time to time, requested by the Head of Planned Works, Operations Director of Asset Management or Chief Executive, commensurate with the position.

4 ADACTUS HOUSING ASSOCIATION LTD Person Specification Position Contract Administrator Essential Desirable Physical Make Up Education/Attainments Contract administration experience of working in property refurbishment Industry A clear understanding of working within occupied / tenanted properties Experience of working within Social Housing Planned Programmes An understanding of PFI planned maintenance projects General Intelligence/Skills High level of experience of using computers in relation to planned property refurbishment Experience of using Microsoft Office A minimum of 2 years experience of scheduling and administering planned refurbishment works Experience in co-ordinating a team of sub-contractors, refurbishment operatives and/or administration staff Experience of producing associated financial documentation Experience of administrating programmes with budgets of 1m+ per annum The ability to resolve work related problems without supervision An understanding of component replacement in a planned maintenance programme Special Aptitudes Ability to produce accurate data and analysis Experience of working in a customer orientated environment with a positive attitude to towards resolving customer queries and complaints Excellent written and verbal communication skills Problem solving ability Willing to provide training for others Independent Ability to work under pressure Enthusiastic Committed Team worker Disposition A commitment to quality of service and continuous improvement A positive and responsive attitude to change Circumstances
