3 What s New when Creating a Job Requisition? With the launch of the Workday Recruiting module, the process to create a Job Requisition is NOT changing, but there are some new options to be aware of: Number of Openings field o You are able to enter a value greater than one, which will result in multiple positions on one job requisition o ALL positions on this job requisition will be exactly the same o If one of the positions need to change (i.e. from full time to part time, or the location is different), that position will need to be cancelled and a new job requisition will need to be created Job Posting Title and Job Profile no longer have to match o The Job Posting Title will display on external and internal job postings o The Job Profile name will display on an employee s badge upon hire as it does today Primary Job Posting Location (new field) o The value in this field will default based on what was selected in the Primary Location field o Primary Job Posting Location will display on external and internal job postings o Additional locations can be added in the fields below if needed Qualifications screen o Required Education and Certifications (if applicable) will pull from the job profile o Fields on this screen can be viewed, but not edited Note: The PRC approval process remains the same. The recruiter is still the last person to approve the job requisition. Once the Job Requisition is approved, it can still be accessed via the Staffing tab within Headcount. Page 2

4 How do I find my Open Job Requisitions and other Reports? New with the addition of the Recruiting module: 1. From the Workday home page, click Hiring 2. This dashboard provides a number of helpful reports and links a. Requisition FTE & Count (Includes Hires in Progress) view the sum of FTEs and count of open job requisitions broken down by Job Family Group b. RRH Hires in Progress view candidates by job requisition that have accepted their offer and are in process of completing their pre-hire assessments (i.e. candidates in the Background, Assessment or Ready for Hire stage) c. RRH Candidates in Progress Summary view the number of candidates for your open job requisitions by candidate pipeline stage (i.e. Review, Screen, Interview or Offer) d. RRH My Requisitions (Hiring Manager) view a summary of your open job requisitions by Job Family Group. Click on the Job Family Group to see details regarding the open job requisitions, or on the total to see details regarding all of your open job requisitions. Page 3

5 Existing process still available: 1. From the Workday home page, click Headcount 2. Under Organization, click the organization with your name listed as supervisor: 3. Click the Staffing tab Note: This view will include all open job requisitions and will not differentiate between open requisitions and filled requisitions that have a hire in progress. The reports available in the Hiring worklet will provide a truer picture of what it truly open and what is filled. Page 4

6 View Job Requisition and Candidate Pipeline in Workday In Workday, find your open job requisition using one of the methods above. The job requisition header includes the following at-a-glance information: There are a series of new tabs displaying on the job requisition: Overview o Candidate pipeline details o Candidate funnel where you can view the status of candidates throughout each stage of the hiring process Page 5

7 Candidates o Candidates awaiting action by you Note: If you do not see all of the candidates, click the All Active Candidates button o Candidate details regarding their eligibility, experience and resume Details o Detailed information about the job requisition and hiring requirements Organizations o Company and Cost Center Page 6

8 Qualifications o Applicable job qualifications, such as certifications, education and responsibilities Job Postings o Existing job posting details Page 7

9 Hiring Manager Tasks in Workday Recommend/Not Recommend for Interview Once a recruiter has screened a candidate and has identified the candidate as someone that may be a good fit, he/she will send the candidate to you via your Workday Inbox. 1. In Workday, click on your account icon in the upper right corner and select Inbox a. If there are any candidates awaiting your review, they will display here 2. Select a Manager Review task from the left to view the candidate information on the right Note: The tabs that will be most helpful to review for the candidate are the following: a. Overview Overview - you will be able to view the candidate s experience, education, resume, etc. b. Questionnaire Results Screen - you will be able to view the screening questions that the recruiter asked the candidate and the candidate s responses Page 8

10 3. If the candidate has applied to more than one job, you will be able to see that by clicking on the number next to Job Applied to at the top of the screen 4. Once you have reviewed the candidate s information, click the green Move Forward button at the bottom of the screen and select the appropriate action: a. Recommend for Interview OR b. Do Not Recommend for Interview Note: If you would like to enter a comment for the recruiter, you can do so in the field under Activity prior to clicking the Move Forward button. Page 9

11 Rate Interview When a candidate has been scheduled for an interview, the recruiter can build an interview team in Workday to solicit comments and a rating from the team. The hiring manager, and other members of the interview team, will receive a Workday Inbox item to rate the interview. 1. In Workday, click on your account icon in the upper right corner and select Inbox a. If there are any candidates awaiting an interview rating, they will display here 2. Select an Interview task from the left to view the Rate Interview screen on the right Page 10

12 Note: If you would like to view information about the candidate, click on the candidate s name at the top of the screen to go to their candidate record. To get back to the Rate Interview task, go back to your Workday Inbox. 3. In the Rating field, select one of the following options: a. 3 Highly Recommend (Make offer) b. 2 Recommend (No offer at this time) c. 1 Do Not Recommend 4. Enter a comment in the Comment field 5. Click the Submit button Note: Other members of the interview team will have a limited view of the candidate record and will only be able to view the candidate s Experience, Skills, Education and Resume (if available). 13 View Interview Results As the interview team members complete the interview rating task, you will be able to review the results. 1. In Workday, find your open job requisition using one of the methods above 2. Click the Candidates tab 3. Click the All Active Candidates button 4. Click the candidate s name to view the candidate information 5. Click the Interview tab 6. You will be able to view the Rating and Comments from each of the interview team members that have completed the rating task Note: Recruiters will be able to move the candidate forward regardless of whether interview ratings have been completed. 14 Communication At the bottom of any candidate screen, you will see the Activity section. This section contains all communication throughout the application and hiring process. Some recommendations for using the Activity section: Review documented communication between the recruiter and the candidate Review all communication on the candidate record, such as communication between Recruiting, Onboarding and Compensation Communicate back and forth on the candidate s record with your recruiter by using the tagging functionality: 1. and then enter the Recruiter s name in the search box and hit Enter 2. Notice that the Recruiter s name is populated. Enter your comment and click Post. Note: Your comment will display in the Activity feed and can be seen by the assigned TAC, assigned Recruiter and the Hiring Manager. In addition, when you tag someone (not required), that person will receive a Workday notification as well. Page 13

15 Notifications Received via Workday The following notifications will be sent to hiring managers via Workday: Job Requisition Created - the job requisition has been received by Talent Acquisition and Primary Recruiter has been assigned Offer Extended an offer has been extended to a candidate Offer Accepted an offer has been accepted by the candidate. Note that the candidate must still pass their pre-employment assessment in order to be hired. Job Requisition Filled the candidate has successfully passed their pre-employment assessment and is ready for hire Tagged comments throughout the recruiting process, the manager can be tagged in comments To view the notification, click on your account icon in the upper right corner and select Notifications Page 14
