1 WARWICK INDEPENDENT SCHOOLS FOUNDATION JOB DESCRIPTION Grounds Manager Post Title Grounds Manager Grade/Working Pattern Location Date: March 2018 Purpose of this Job Description: Point 27 28,544 rising to Point 30 31,138 per annum Warwick Independent Schools Foundation (WISF) comprises two schools, each with its own junior school. Warwick School, Warwick Junior School and Warwick Prep (which is overseen by the King s High Head Master) are based on a large campus between Myton Road and Banbury Road and King s High School is close by in Warwick town centre. This role falls within one of the shared services, the Estates and Operations Department, and is based at the department s offices at Warwick School, Myton Road, Warwick. The postholder will be required to work at the other school sites within Warwick. The Grounds Manager will lead and manage the Grounds team, and has responsibility for the development, maintenance, servicing and safety of the Schools grounds including the outdoor sporting grounds and associated facilities. The Grounds Manager will work across the entire Warwick Independent Foundation Schools Estate, this includes the Senior, Junior, Prep and Pre-Prep sites and any other land associated with the Estate. The Warwick Schools Campus currently consists of 10 Rugby Pitches, 3 Synthetic Surfaces, Tennis Courts and a proposed 3G Pitch all of which have various usages throughout the year to accommodate the schools diverse sports profile. The role will be mix of hands on working with a reasonable amount of office time. This will be dependent on the seasonal changes, resource levels, school and event requirements. This document provides a snapshot of the job and the tasks listed are not exhaustive. It aims to provide a clear guide at the time of writing about the requirements of the job. It will also be used to communicate expectations about performance and will be used to monitor effective performance. Reporting Lines: Hours: Reporting to the Deputy Head of Estates & Operations (Direct line manager) Also accountable to; Head of Estates & Operations Key relationships: Director of Sport at each school & Sports Staff 40 hours per week primarily depending on the weather and seasons; 08:00am 17:00pm 5 over 7 days, hours will vary depending on the needs of the schools and it will be expected due to the senior nature of the role that working hours will be adjusted as and when required to suit. This will incur reduced hours in the winter and increased hours during the summer to meet the needs of the school and the Estates. If additional hours are required to support the schools and outside events, it will be at the discretion of Deputy Head of Estates & Operations as to whether this it is taken

2 as time off in-lieu or paid. Some weekend working will be required and is expected. Overall responsibility for a 52 week Grounds and Landscaping service to the schools. 2. Line management responsibilities of the Grounds Department staff. 3. To work closely with the Deputy Head of Estates and Operations in regard to ensuring all grounds services are delivered on time and within budget. 4. To be responsible for ensuring all allocated ground maintenance work tasks are completed in a timely and recordable manner. 5. Responsibility for the grounds maintenance service strategy with responsibility for delivering continual measured improvements and recorded work plans for both Grounds and Landscaping works and projects also recommending and implementing efficiency savings. 6. To implement a five year rolling equipment replacement budget report. 7. To create and produce monthly reports on all soft and hard pitch conditions using measurable techniques in presentation. 8. Ensure there is a recordable programme of professional development for all members of the Grounds team. 9. To ensure all Health and Safety requirements for each task are in line with H&S legislation, best practice and to ensure the schools H&S policies are adhered to at all times. 10. To promote the use of new technologies and renewable\environmentally friendly Grounds machinery and energy sources maintaining an awareness of industry developments and standards. 11. To build and maintain strong working relationships with the school s Sports Departments. Key Grounds responsibilities; 1. To deliver a high quality grounds maintenance service across all sites in line with policies, legislative, environmental and certifying authorities compliance and best-practice. 2. To ensure the required standards and optimal playing quality of all surfaces are met and exceeded in relation to all playing surfaces (hard and soft) 3. To ensure that appropriate Grounds support is in place for all match day operations in relation to pre and post operations for all surfaces and required equipment. 4. Through the Grounds Supervisor(s) ensure that the weekly/monthly planning and day to day operations for the delivery of grounds services at all sites is to the highest standard at all times and recorded. 5. To monitor the results of the grounds maintenance team, ensuring grounds work requests through the internal Quadpro Estates software are allocated and undertaken in a timely and cost effective manner. 6. To be responsible for ensuring that all projects are managed to the highest standards, working where required with sub-contractors ensuring they work to policies and safeguarding measures of the department and the schools, delegating to the Grounds Supervisor(s) where applicable. 7. Through the Grounds Supervisor(s), ensure that the lawns, playing fields, artificial pitches, hedges, trees and hard court areas are maintained to a high standard ensuring they are safe and fit for purpose at all times. 8. To ensure the organisation and maintaining of the marking and setting out of pitches for cricket, football, rugby, athletics and others areas in liaison with the Sports Department are adhered to, including all required equipment associated to each sport.

3 9. Through the Grounds Supervisor(s), allocate cleaning duties as appropriate (machinery, external signage etc.) 10. The post will have responsibility to maintain the irrigation and land drainage systems at all schools. 11. To delegate painting, removing rubbish and carrying out general duties related to the Grounds. 12. Post holder will have the ability to operate various forms of equipment such as hedge cutters, strimmer s, push and ride-on mowers, pesticide spraying equipment and tractors etc. and provide recorded guidance and training to the grounds department where applicable. 13. Ensure that the sports fields remain free of litter at all times. 14. Maintaining high levels of presentation of the grounds regardless of weather conditions. Landscape\Estates Duties; 15. To ensure adequate resource is in place for the sweeping of the Estates grounds and use of leaf and debris collection machinery. 16. Through the Grounds Supervisor(s), ensure that the lawns, hedges, shrub beds, trees, gardens hanging baskets are maintained to a high standard. 17. To ensure Landscaping projects are planned and delivered within budget and time scale keeping a recordable programme of progress and photo s archived digitally. 18. Through the Grounds Supervisor(s) plan, develop and maintain all boarders and landscaping areas across the Estates including WISF properties when requested. 19. Through the Grounds Supervisor(s) ensure the repair and maintenance of all fences across the Estates is undertaken, replacing as required, including the estates properties portfolio. 20. To ensure there is a documented and recorded weed control programme in place at all the schools and through improved preventative measures (such as regular spraying, use of weed brushes etc.) 21. In liaison with the Grounds Supervisor(s), ensure there is an appropriate development and maintenance strategy in place for the Estates Gardens that is recorded and can be shared with the schools. Compliance & Contractor Management Duties 22. To be responsible for ensuring that all grounds plant and machinery is maintained to the manufacturer s specified standard (using qualified contractors) and that servicing schedules are adhered to, rectifying and recording any defects. 23. Ensure that all service level agreements and their procurement are in line with the Foundations Policies at all times, including the issuing of Purchase Orders through the Estates & Operations Resources Team. 24. Working closely with the E&O Compliance & Condition Officer ensure appropriate records and safety documentation (Risk Assessments, Method Statements, COSHH records) are available to all Grounds staff and records are available digitally on the network shared drive services. 25. To ensure that the Foundations Permit to Work (PTW) System is followed and used where applicable. 26. Ensure that all fuels, road and path grit/salt is kept well stocked and in a secure, safe compound. 27. Responsible for Grounds contractors, suppliers or any other staff working in the Grounds Department ensuring that they work in a safe manner and to safeguarding measures. 28. Responsible for the management of all trees, including risk assessments, liaison with specialist contractors, local authority tree officer(s) and arboriculture authorities where required. Line Management & General Duties 29. The post will have responsibility for the Grounds staff, although certain day to day staff management may be delegated to the Grounds Supervisor(s). 30. To implement and monitor a Grounds Sports Pitch Booking System. 31. To record and delegate Grounds related work\sports set ups via the Estates Quadpro Work Request System to Grounds staff. 32. To monitor the Grounds and Landscaping budgets allocated to the Schools. 33. To be responsible for ensuring that all Grounds and Landscaping related work is recorded and archived digitally.

To be responsible for ensuring an accurate Grounds equipment asset register is kept and updated regularly advising the Deputy Head of Estates & Operations when investment is required to be budgeted for. 35. Undertake any other duties as and when required and requested by the Deputy Head of Estates & Operations. 36. Delegate resource from the Grounds team with any car parking or coach park duties for key school events as required. 37. To organise and attend meetings, write and present reports as required from the direction of the Deputy Head of Estates & Operations. 38. In liaison with the Deputy Head of Estates & Operations ensure resource is allocated for all gritting and snow clearing of the entire estate when required, which will include ensuring resource is in place for early morning starts and late evening finishes to ensure the school can operate during winter periods. 39. Responsible for the Grounds outbuildings and the security, highlighting any security concerns to the Deputy Head of Estates & Operations immediately. 40. Responsibility for the recruitment, training, development, coaching and appraisals of all Grounds staff. Particular H&S issues for this post are: 1. To comply with all Health & Safety Legislation and the schools Health and Safety policies and procedures. 2. Awareness of legionella, asbestos, pesticide and COSSH regulations 3. Chemicals should at all times be kept in a locked cupboard and all staff should be made aware of the COSHH precautions of use for each product. 4. Participate in the schools response procedures for all fire drills. 5. Ability and willingness to work outside in all weathers 6. Working at height and manual handling. 7. The role involves physical effort and a great deal of walking across a large school site. The post holder will need to be and remain physically fit and able to cope with the demands of the role. Safeguarding and Protection of Children and Young Persons In accordance with the Children s Act 1989, on appointment post holders will be required to commit to their responsibilities with regards to safeguarding. In addition offers of appointment will be subject to an Enhanced criminal record check from the Disclosure and Barring Service (DBS). These checks will highlight cautions, reprimands and final warnings as well as any convictions. The postholder must not have any spent or unspent convictions that would prevent working with children. 5 PERSON SPECIFICATION Qualification Essential Criteria NVQ Level 4 Qualification Amenity Horticulture and Sports Turf Management or IOG National Diploma in turf culture or BTEC/HND/HNC in Turf Science and Sports (Or equivalent) NPTC Pesticides PA1, 2 & 6 Spraying Licenses Registered member of IOG Person Specification Desirable Criteria IOG Management training level. NPTC level 1 & 2 in felling and processing trees Certificates, qualification or training in relevant areas of Health and Safety, in particular COSHH but also general risk assessment, manual handling and first aid would be advantageous Experience/ Knowledge Skills/Abilities Fundamental management and Communication skills training with 2 years proven management experience. Excellent standard of spoken and written English A valid driving licence. Health and safety and fire safety procedures. Excellent understanding of COSHH Minimum of 5 years experience working with playing surfaces. Supervisory Management experience in a Grounds or similar desirable role. Highly experienced in multi sports pitch marking Demonstrate high levels of time management using own initiative to manage a heavy workload and at times conflicting priorities as well as tracking progress on a wide range of tasks. Ability to build, lead and develop a Grounds team using new methods of training, equipment and efficiency. Effective delegation skills. Detailed knowledge and experience of grounds and sports turf. Budget planning and control skills. Recognised training in manual handling and risk assessments. Working at Height Regulations, Legionella Awareness Experience of working within an independent school environment Engineering/motor engineering qualification Formal management training allied with Proven management experience. Experience of plant\tree knowledge. Ability and willingness to work outside in all weathers

6 Aptitude Excellent knowledge of all types of ground\sports turf machinery Ability to drive work vehicles. Good IT skills via PC and Mobile use ( s, photos, word etc.) Naturally demonstrates a can do helpful attitude always considering the needs of the schools. Confident to act on own initiative and be self-motivated Good oral and written communication skills with the ability to engage, inform and negotiate with colleagues and contractors at all levels. Willingness to undertake first aid training Keen interest in sport Ability and willingness to undergo further training specific to the needs of role.
