1 SECTION 1 : JOB DESCRIPTION JOB TITLE : Team Leader SERVICE AREA : TFM - Soft Services DIVISION : Acivico Cleaning Services GRADE : GR3 NO OF POSTS : Six (6) ID REF : DATE : July PURPOSE OF JOB : 1.2 To supervise all cleaning operations within a specified area of the City in accordance with the policies and procedures of Acivico and the City Council. 1.3 To work flexibly and exhibit and endorse the vision and values and behavioural traits of the organisation. 2. KEY RESPONSIBILITIES : 2.1 Customer Retention and Market/Opportunity Development : Including Acivico Market Profile and New Service Solution/Product Development. Duties and responsibilities may include any of those detailed below and may be varied according to the needs of the designated service area(s). They may also include other duties that are commensurate with the grade and nature of the post. There is an expectation that the post holder will develop in line with key strengths to ensure flexible and integrated working across the organisation. 1. To ensure all cleaning is performed as detailed in the Cleaning Specification following the Method Statements and Safe Systems of Work detailed in the site Work Instruction Manuals 2. Comply with Acivico s agreed Quality Management System (QMS) in accordance with the ISO9001 Quality Accreditation, ISO14001 Accreditation or an equivalent standard. Standing Orders, Financial Regulations, Data Protection Act, Freedom of Information Act and relevant policy/legislation. 3. To ensure adequate day to day cover arrangements are in place to maintain service provision 4. To contribute to the profitability, efficiency, continuous development and compliance of all client contracts/agreements within the service area 5. Responsible for maintaining adequate stock levels, the preparation of requisitions and to control and monitor usage 6. To ensure correct use and maintenance of equipment 7. To ensure compliance with all statutory requirements and relevant legislation, e.g., Health & Safety, COSHH etc., and the implementation of a positive Health & Safety culture that has ownership at all levels 8. Responsible for the completion of risk assessments/reviews 9. To monitor the effectiveness of the cleaning operations by way of site inspections. To make the Operations Manager aware of issues and implement agreed corrective actions where required 10. 2 11. To comply with the full range of HR procedures in accordance with Acivico s policies 12. To ensure the effective management of staff in line with Acivico s people management policies including: Managing Attendance, Performance Management and My Appraisal 13. To assist the Operations Manager with identifying cleaning operatives training requirements. Arrange induction and relevant on job training, maintain on job training records 14. Develop good working relationships with on-site customers and maintain a liaison meeting programme. Make the Operations Manager aware of issues and implement agreed actions where required. 15. To ensure compliance with all Acivico policies, Acivico Cleaning Services procedures and Work Instructions 16. Responsible for the maintenance of relevant documentation and files 17. To inform the Operations Manager and Contract & Admin Support Manager of any variation to work content or building/room use at buildings/sites 18. To cover for other Team Leaders in their absence 19. Attend training courses and develop skills to improve business performance. 20. To be aware and ensure cleaning operatives in your specified area are aware of Acivico s aims and objectives. 21. To understand your role and ensure cleaning operatives in your team understand their role and how their work contributes to the success of the Acivico Cleaning Services Section 2.2 People Management : 1. To ensure the effective management of staff in line with Acivico s people management policies including : undertake ongoing supervision and review of direct reports through the PDR and 1-1 process and ensure this is embedded for all indirect reports within service area and integrated service projects, identifying employees with talent and potential and recommend their inclusion in the talent management programme, identifying the top performance and implement appropriate action plans to further enhance their performance and career in Acivico, identifying non-performers and assist management to develop personal development plans and monitor their progress on a monthly basis, providing career guidance to employees and encourage them to be career focused through personal development, outstanding performance and good attitude, assisting in monitoring and evaluation of the performance of talented employees and implementing appropriate retention strategies to minimise the staff turnover rate. 2. Ensuring good relations and communications with all members of the team and responding politely and in a timely fashion to internal and external customers. 3. To oversee the operation of a full range of relevant HR procedures in accordance with Acivico s policies. 4. To ensure compliance with all statutory requirements, e.g., Health & Safety, etc., and the implementation of a positive Health & Safety culture that has ownership at all levels. 5. 3 2.3 Finance and Commercial (Contracts) Performance : 1. To contribute to the profitability, efficiency, continuous development and compliance of all client contracts/agreements within the service area. 2. Ensure the compliance of Business Support s systems with the Data Protection Act and Freedom of Information Act; record management; filing and muniments systems. 3. Comply with Acivico s agreed Quality Management System (QMS) in accordance with the ISO9001 Quality Accreditation, ISO14001 Accreditation or an equivalent standard. Ability and experience of staff supervision 2. Ability to manage within budgetary requirements MoA Skills & Abilities : 1. Demonstrate the ability to work to detailed work instructions and specifications. 2. To be able to effectively communicate with staff at all levels and motivate cleaning operatives within a Multi-site area. 3. To be able to monitor performance against set standards and implement corrective actions where necessary. 4. Be able to accurately compile time sheet information and record actual hours against budgeted hours. 5. Demonstrate the ability to give effective one to one On Job Training 6. To be able to plan and implement work schedules 7. Be able to calculate stores requirements and monitor usage 8.
