1 JOB DESCRIPTION POST TITLE: Assistant Clerk REPORTING TO: Parish Clerk/Responsible Financial Officer LOCATION: Parish Office/Village Hall HOURS OF WORK: 25 per week with occasional deputising for Clerk at evening council and committee meetings. SALARY: National Joint Council LC1 point 20 Salary Scale (19,238) pro rata PENSION: In accordance with Workplace Pension Regulations. Assistant Clerk Role: KEY TASKS AND RESPONSIBILITIES: 1. Process and record all Village Hall bookings from members of the public and for Council and committee meetings. 2. Issue invoices for use of the Village Hall and subsequent financial accounting. 3. General management of the Village Hall facility on a daily basis, ensuring policies and guidelines laid down by the Village Hall Committee are followed. 4. Attendance at Village Hall Committee meetings (usually bi-monthly). 5. Manage stationery stock and consumables for Village Hall, Parish Office and public facilities. 6. Provide office and meeting cover for the Parish Clerk when absent. 7. Provide administrative support to Clerk. 8. General office duties including the opening of post and the ordering of stationery/consumables. 9. Servicing Parish Notice Board. JOB ACTIVITIES: 1. Prepare Village Hall Committee meeting agendas. 2. Compile Village Hall Committee meeting minutes. 3. Maintain an electronic diary of bookings for the Village Hall. 4. Maintain up to date information for Village Hall on website. 5. Issue invoices to Village Hall hirers. 6. Show prospective users around the Village Hall explaining facilities available. 7. Maintain financial accounting system for Village Hall expenditure and receipts. 8. Liaise with Village Hall cleaner about forthcoming bookings etc. 9. Manage, replace and arrange repairs to any facilities at the Village Hall which fall within the terms of reference determined by the Village Hall Committee. 10. Support Clerk in the administration of Council and Committee meetings. 11. General office duties ie, opening of post, ordering of stationery. 12. 3 QUORN PARISH COUNCIL VACANCY ASSISTANT CLERK Quorn Parish Council is looking to recruit an enthusiastic and reliable person to carry out the duties of Assistant Clerk to the Parish Council. Candidates should have excellent interpersonal skills, be computer literate and have some accounting experience. They should be able to work as part of a small team, yet also be confident working on their own initiative. Previous experience in the public sector and in a small office environment would be helpful, although not essential and training where required will be provided. The Parish manages the Village Hall and public toilets, is responsible for open spaces including parks, a nature reserve and community garden and will shortly be in contract to run the library. This is a new role reflecting the increased workload brought about by the numerous initiatives undertaken by the Parish Council, and reflecting the growth in Quorn s population. It combines the Administration Assistant role, previously responsible for the management of the Village Hall, with extended hours to deputise more fully the Parish Clerk and Responsible Financial Officer. The successful candidate will be confident and enjoy dealing with members of the public, as part of the local community. Management of the Village Hall includes responsibility for the accounting system, and clerking the Village Hall Committee. Flexibility of working may also be required for holiday cover or village events. The work is primarily based in the Parish Office at the rear of the Village Hall. This is a part-time role for 25 hours per week Monday - Friday The starting salary is National Joint Council LC1 point 20 Salary Scale (19,238) pro rata.
