1 POSITION DESCRIPTION POSITION TITLE: Program Manager, Transformer FACULTY/OFFICE: Bond Business School CLASSIFICATION LEVEL: Bond Level 6 DATE POSITION CLASSIFIED/UPDATED: May 2018 This position is first and foremost with Bond University and although this position is described as operating within a section of the university, it is a fundamental requirement of your position that the best interests of the university must be your priority at all times. BOND UNIVERSITY Bond University is a private, not-for-profit university located on Queensland's famous Gold Coast. The University attracts students from all states and territories in Australia as well as from over 60 overseas countries. TRANSFORMER The Transformer (the program ) is a co-curricular program designed to enable innovation, foster student development and enhance the overall student experience at Bond. This voluntary, non-fee, non-credit program is open to undergraduate and postgraduate students from all faculties and is supported by dedicated Bond academics and staff, industry experts, mentors, state-of-the-art facilities and a range of workshops, events and other resources. PURPOSE OF THE POSITION Manage the day-to-day operations of the program and provide high-level administrative support to the Director to achieve program objectives. The specific responsibilities of this position include, but are not limited to: Manage the development and delivery of all program learning activities and supporting resources. Manage and report on all phases of the participant process including enrolment, progression, removal and completion. Recruit and coordinate all program coaches. Develop and manage the program s mentoring program. Report relevant key performance indicators on a monthly basis. Develop processes and procedures to ensure consistent program outcomes and enable continuous improvement. Coordinate with Marketing to ensure effective promotion of the program to enhance the University s brand and reputation. Liaise closely and effectively with other areas of the University to ensure integration and consistency in relating to all operational aspects of the program. Provide strategic advice and support to the Director. Provide support to students and alumni in progressing their ideas to execution and assist in establishing commercial ventures Provide support with industry engagement and fundraising activities Work closely with events to organize and manage internal and external events for the program. Coordinate with ITS, Facilities Management and other units to appropriately maintain the physical space and equipment Any other tasks as assigned by the Director. Indicative work hours are 8.30am to 5.00pm Monday to Friday. However, due to marketing and business related activities, there will be a need to work outside these hours with appropriate compensation. 2 REPORTING RELATIONSHIP: The Program Manager, Transformer reports directly to the Director, Transformer and works closely with numerous areas within the University to effectively manage the daily operations of the program. ORGANISATION CHART Executive Dean Bond Business School Director, Transformer Program Manager, Transformer SELECTION CRITERIA: Tertiary qualification in a relevant discipline is required. Experience in the research, design and delivery of education or training programs, preferably relating to entrepreneurship, innovation or related topics of student development. Ability to also teach in one or more of these areas is strongly preferred. Demonstrated ability to manage the design, implementation and administration of a large educational program in a dynamic environment. Broad industry experience would be highly regarded along with exposure to senior leadership teams Excellent project management skills. Experience in establishing and managing effective administrative systems, procedures, policies and reporting mechanisms. Proven ability to develop and maintain networks with internal and external stakeholders to enable and sustain program or project objectives. Experience working in a university environment or similar learning-focused organization. Evidence of excellent administrative and organisational skills. Excellent oral and written communication skills as well as excellent interpersonal skills. Demonstrated ability to exercise independent judgement and personal initiative. Demonstrated ability to organize and run events High level computer literacy, especially Microsoft Office, Student One, ilearn and other core University systems. DESIRABLE CRITERIA Formal postgraduate education in instructional design, education, program management or related area COMPETENCY: RESPONSIBILITY: PERFORMANCE INDICATORS: Program Management Manage the development and delivery of the program curriculum. This includes: coordinating the design and scheduling of all workshops; planning and scheduling of guest speakers and other special events; maintaining the program s ilearn site; maintaining an online calendar of all events relevant to program participants. liaising with the Office of Learning and Teaching to secure addition support and resources as necessary. resolving any issues or concerns raised by program participants. Coordinate stage completion events scheduling the stage completion event each semester; arranging for an appropriate panel to provide feedback and evaluation of all participant completion materials; Coordinating the submission, evaluation and feedback of all participants taking part in the event. Manage and report on all phases of the participant process including enrolment, progression, removal and completion. This includes: serving as first point of contact for students enquiring about the program; assessing student applications; consulting with interested students; coordinating participant learning plans; monitoring participants academic performance to assess program eligibility and provide participant support; ensuring that eligible students make timely progress through the program; manage participant exit interviews; monitoring participant satisfaction with the program; monitoring and reporting on individual participant progress and program status each semester to appropriate stakeholders; ensuring participants receive appropriate recognition (e.g., Beyond Participant satisfaction with program curriculum design Availability of complete schedule of events prior to the start of each semester ilearn site ready and regularly updated at the start of each semester. Manage the funding available to program participants including: receiving and evaluating all funding requests; managing a fair, transparent process for allocation of funds to participants; coordinating the provision of all funds to participants; monitoring and reporting on the use of all funds and associated outcomes. Responsible for managing the daily use of all facilities, physical space and other resources assigned to the program. Coordinate with SBC and CDC about Beyond Bond points and AHEGS statement Assign program coaches and work with HR officer and central HR for contracts Assist Program Director to collate participant feedback results Coordinate and manage mentors for the program Work with finance office and central finance to process student funding request. Ensure all policies and paperwork are in order and reconcile expenses and receipts. Evidence of safe, clean and effective utilization of all program assets. Entrepreneurship Keep abreast of entrepreneurial practice, new and innovative start-up activity, networking opportunities with incubators, best practice and agile approaches to creating start-ups Regular communique on start-up ecosystems, SWOT analysis and arranging field visits. 5 Systems, Processes & Policies Develop procedures manuals, resources and other documentation to enable consistent, high quality operation of the program. Manage the development and retention of all program learning materials, including learning resources, lesson plans, event plans, video recordings of program events, participant deliverables and other assets as appropriate. Liaise with other areas of the University to ensure the effective design and documentation of all program systems, processes and related policies. Operations and procedures manual developed and kept up to date Learning materials retained as per University and BBS requirements Ensure University policies are followed for the program Marketing Other Administration Coordinate with marketing to ensure effective promotion of the program to enhance the University s brand and reputation. This includes: events, news releases, web site social media print collateral and related materials. Participate in domestic and international marketing activities as required by the Director. Provide briefing papers, reports and other information related to the program as requested by the Director Support other University and Business School activities including accreditation processes, assurance of learning, internationalization and other projects. Coordinate and participate in marketing and events activities in collaboration with marketing and events team. Provide reports as requested by the program Director and the BBS Executive Provide required documentation for accreditation purposes Continuous Improvement Understanding of Quality Assurance Develop and maintain relevant key performance indicators and report these on a monthly basis to the Director. Create added value through ongoing quality control to ensure program outcomes and enable continuous improvement. 6 Understanding of Cultural Sensitivity Staff will come into contact with staff and students from a variety of cultural backgrounds. It is expected that mutual respect, cultural awareness and cultural sensitivity will form the basis of the professional working relationship. Staff are encouraged to attend a cultural sensitivity workshop to further enhance and develop cultural awareness and cultural sensitivity skills.
