1 Manager VIP Transport Ministerial Services and Secretariat Support, Shared Services Branch The Manager VIP Transport provides strategic leadership, oversight and management of the VIP Transport team and transportation resources to ensure service delivery excellence to clients. A key function of the role is developing and maintaining the confidence of the Prime Minister and other Ministers, the Governor- General and other entitled users of the service by ensuring efficient and effective management of VIP Transports financial, information, human and physical resources. This includes providing assurance that all services and resourcing decisions comply with relevant legislation, regulations and policies. 2 What you will do to contribute Strategic Leadership Support the General Manager in providing strategic and intellectual leadership to the MaSS business unit as a member of the MaSS leadership team Provide strategic and intellectual leadership and direction to VIP transport, setting outcomes and monitoring overall progress towards those outcomes Lead and oversee the development and implementation of the VIP Transport work programme, vision and strategic direction, ensuring staffing and entitlement functions work effectively together Take an organisational leadership role across MaSS Functional Leadership Ensure the effective and proactive delivery of the VIP Transport work programme and continuation of a reputation for excellence Ensure VIP transport resourcing decisions and service delivery complies with legislative requirements Provide direction to the VIP transport team on prioritisation of work focus and integration and consistency of service delivery across the country Develop and maintain sound quality assurance methods to ensure advice provided to the General Manager and the MaSS Senior leadership team, is of the highest possible standard and supported by robust research and analysis Define and articulate immediate and medium-term deliverables for VIP Transport which are aligned with the MaSS strategy and reflected in MaSS and VIP Transport work programmes Contribute to MaSS annual strategic and business planning, public accountability and reporting responsibilities, using management data analysis to support planning and reporting. As a result we will see Contribution of intellectual leadership to MaSS as a member of the MaSS Leadership Team The vision and strategic direction of VIP transport is clear, future focused and aligned to the strategic aims of the MaSS group The VIP transport function is agile, innovative and responsive to changes and developments Evidence of organisational leadership, including collaboration with MaSS Managers and Managers across DIA on cross- group and crossbranch initiatives The General Manager and MaSS Leadership team report satisfaction with the services and advice provided by VIP transport Vip Transport delivers on its work programme and corporate, planning, accountability and reporting requirements VIP Transport deliverables are aligned with the MaSS strategy and business plan and reflected in work programmes Positive feedback from internal and external stakeholders regarding both the range of services provided and the way in which those services are delivered. 3 What you will do to contribute Operational Leadership Comply with relevant legislation and DIA corporate policies and processes, including: o Planning and reporting: ensure all planning and reporting requirements are met o Financial management: taking accountability for financial performance, managing budgets and ensuring efficient and effective use of financial resources o Risk management: identify issues, develop risk mitigation strategies, inform the General Manager and MaSS Leadership Team as appropriate o People management: recruit, develop, support and retain high performing staff ensure strategically aligned development plans are in place for all staff to maintain and build the intellectual capability of the team o Resourcing: resource allocation and decisions comply with legislative requirements. Build Capability Build the capability and performance of the VIP Transport function within MaSS Foster a culture where staff understand the need for adaptability, flexibility and readiness for change Work collectively to identify and lead business improvement opportunities Actively promote the work of VIP Transport and the outcomes achieved by the team Attract top talent, foster fresh ideas and innovative approaches to developing and delivering the ministerial resourcing function Build VIP Transports focus on medium to long term outcomes and develop a strategic evidence base for planning and decision making A culture of collaboration and information sharing is fostered within VIP Transport; information and knowledge is proactively shared across MaSS As a result we will see All relevant legislation and DIA corporate policies and processes are complied with VIP Transport continues to be highly regarded within MaSS and by other internal and external stakeholders Expertise is shared across the team and the wider MaSS group An increase in capability within VIP Transport Opportunities are identified and taken to promote the work of the team and the outcomes it achieves Business improvement opportunities are identified and operationalised. 4 Advise Collaborate with Influence Inform Manage/ lead Deliver to The Department of Internal Affairs What you will do to contribute Sector & Stakeholder Engagement Develop and maintain productive relationships with key internal and external stakeholders, ensuring sound communication and shared understanding of requirements Contribute to the establishment of partnerships with key agencies and stakeholders to deliver outcomes Ensure that all advice has had appropriate input from relevant teams within MaSS, particularly those responsible for service delivery Represent MaSS, the Branch, the Department at critical, high-level and potentially sensitive meetings as required. Health and safety (for self and team) Take responsibility for keeping self and team free from harm Ensure staff are informed of Health and Safety requirements in the workplace and are equipped to carry out their work safely As a result we will see The Manager VIP Transport is recognised by stakeholders as a trusted advisor All advice, analysis and content developed by the team incorporates input from relevant areas of the business The Manager VIP Transport represents the Branch, and the Department as and when required. All requirements of DIA s Health and Safety policy and procedures are met.
