1 head of events Reports to: Development Director Department: Development Contract: Fixed Term for 14 months Overview The Design Museum is seeking an enthusiastic maternity cover for their Head of Events. This is a unique opportunity to deliver an ambitious Events strategy for the Design Museum. The Head of Events drives the sales and marketing initiatives to achieve the targeted events revenue and profit for the museum. The Head of Events also leads on managing all museum hosted events, guest lists and diary management. We are looking for an inspirational leader, motivating and developing the team and fostering a culture of passion and enthusiasm for hospitality and excellence. Job description Deliver the events strategy Alongside the Development Director and other colleagues where required, implement the strategy for events at the Design Museum, which includes marketing, sales and delivery of external venue hire and internal event management. Leadership and people management Be part of leading the museum as a key member of the Design Museum management team. Lead, motivate and develop the events team to deliver a highquality programme of events. Lead by example to demonstrate and embed the museum s values within the team and the wider museum. Ensure the events staffing requirements are planned and delivered in line with the events strategy and are on budget, on time and sympathetic to the style and values of the museum. Ensure accurate staff rotas are compiled to maximise service levels, considering employee work patterns and planned holidays, to effectively deliver all planned events. Ensure effective advance input from and communication with all relevant museum staff on events strategy and planned events. Train and coach the team to comply with all relevant statutory legislation and company procedures, ensuring all new event staff receive a full induction. Attend training sessions and briefings where available and encourage and facilitate your team to do the same. Service, client and guest care

2 Effectively manage relationships with clients and prospects to provide a first-class service and professional experience for the customer. Ensure events are managed effectively, in conjunction with support teams as required. Develop and maintain excellent, positive and progressive relationships and open communication with colleagues at all times. Implement a system of event review and evaluation with relevant colleagues and ensure any necessary follow-up action is taken. Ensure the quality and service delivery for internal events is on a par with external events and supports the museum s funding commitments. Efficiently manage customer feedback, promptly addressing and resolving any issues. Sales and marketing (external venue hire) Implement and develop the marketing strategy for events, including pricing, promotions, channels (e.g. digital and print), partnerships, packages and targeted marketing via the CRM database to deliver the events sales targets. Ensure the event client database is maintained within the CRM system. Regularly benchmark the Design Museum events offer with other venues to ensure the museum retains a competitive advantage. Establish, maintain, develop and promote relationships with venue finding organisations, corporate clients, the design and creative communities and the local community. Use knowledge of the Design Museum s programme, vision and values to project a positive representation of the museum whenever engaged in dialogue with external contacts. Manage site visits for clients, show casing the venue spaces and services to maximise conversion to sales. Ensure upselling and cross marketing is undertaken to promote other museum products and services to clients. Management of internal and external resources Effectively manage the Design Museum events diary, ensuring the use of venue spaces is maximised to successfully deliver both external venue hire and internal events, in accordance with the relevant departmental plans and targets. Ensure the events team plans the use of resources including furniture, audio visual and IT, cleaning, catering and other supplies to ensure all events can be delivered to the agreed standard and budget. Liaise with other departments, eg Operations, IT and AV, Catering, to effectively deliver these resources for each event. Ensure external suppliers are effectively managed to deliver their SLAs.

3 Use the museum s database and booking system (MS Dynamics CRM) to efficiently book space and other resources and communicate with team members, enhancing the system where required. Reporting, legal and financial management Ensure the events team prepares weekly event sheets for team meetings and for circulation. Deliver event sales and profits in line with museum targets. Successfully negotiate venue sales and manage quotation and contract process, ensuring each event has a signed contract. Oversee sales and purchase order and invoicing process to ensure accurate financial management and reporting. Ensure aged debtors are chased regularly to ensure no overdue debtors. Liaise with the finance team to prepare, review and update regular sales and profit results (actual and forecasts), reporting on number of events and number of event attendees. Prepare regular reporting KPI s Prepare any papers/reports as are necessary for the museum s reporting processes. Compliance Ensure all events are planned within the scope of the Design Museum lease provisions. Ensure standards of safety, hygiene and tidiness are maintained throughout the event spaces and highlight any issues to the Facilities Management team. Ensure all necessary licences are in place for event delivery. Knowledge and experience Proven and extensive senior management experience within the event hospitality industry, preferably in an arts or visitor attraction environment. Ability to think creatively and anticipate, negotiate and solve problems to ensure the successful running of the events business Demonstrated experience in leading and motivating a high performing team. Excellent sales, marketing skills and business development skills gained in the events management/hospitality sector. Excellent organisational and time management skills with the ability to work well under pressure and to tight deadlines. Highly motivated target driven individual with a demonstrable record of achieving sales and financial targets. A proven ability to generate new business. Ability to work comfortably with a wide range of clients and contractors at all levels. Excellent verbal and written skills with attention to detail. Excellent leadership, management and interpersonal skills.

4 Good IT skills, including Outlook, Word and Excel. Enthusiasm for design. Commitment to the museum s values. Terms and conditions Salary: up to 50,000 per annum, dependent on experience Holidays: 25 days per annum Hours: Full-time, an average 37.5 hours per week - the working days per week will be flexible to suit the needs of the business and will include evening, bank holiday and weekends which will be arranged in advance with the line manager. Special demands of the job The nature of this role is that occasional late evening and weekend working is a requirement of the role. The successful candidate needs to be able to travel to and from their home at these times. In May 2018, the Design Museum was announced as winner of the prestigious European Museum of the Year. Earlier this year, the Design Museum welcomed its one millionth visitor to its new home in Kensington and in its opening year it attracted 780,000 visitors between November 2016 to November Ferrari: Under the Skin became the most attended exhibition in the museum s history with over 100,000 visitors.
