1 Job Description Job Title Department Grade Location Responsible to Responsible for Assistant Producer (Creative Learning) Creative Learning C Barbican Centre and Guildhall School of Music & Drama Creative Learning Producers and Curators Creative Learning Apprentices Since the Barbican and the Guildhall School launched a creative learning partnership in 2009, more than 42,000 people including children, young people, families, community groups and artists have participated in our learning programmes and activities, while more than 300,000 have enjoyed our programme of free events produced in collaboration with our partners. We believe that the arts have the power to transform lives, and that people of all ages and backgrounds should have access to world-class music, theatre, dance, visual arts, film and spoken word. Designed to give people the opportunity to engage with the arts, access some of the world s most in demand artists and discover their creative voice, our cutting edge projects take place in the Barbican s iconic building, the Guildhall School s state-of-the-art facilities and in community centres, parks, hospitals, schools and colleges across the City and east London. Ranging from those that give people their first taste of the arts through to those that enable existing artists to push the boundaries of their practice, all projects inspire and bring people together giving them new skills and confidence and raising aspirations. Our Creative Learning department is organised by five key strands on which our activities are focussed; Young Creatives, Schools and Colleges, Community, Emerging and Practising Artists and Public Events. Purpose of Post To assist the Creative Learning Team with the effective delivery of the creative learning programme, including supporting the management of relationships with a range of key partners. To co-ordinate specific art form led projects, focussing on Theatre, Dance and Poetry art forms, and to support cross team and cross arts projects. Duties and Responsibilities To assist with the delivery and design of projects involving close liaison with the Barbican arts teams and Guildhall School staff. Projects will largely fall within the Theatre, Dance and Poetry art forms, and will include flagship programmes such as Barbican Box Theatre, Barbican Young Poets and Weekend Labs.

2 To implement the setting up and scheduling of events, undertaking liaison with partner organisations, schools, community groups, artists and speakers and internal departments of Barbican Centre and the Guildhall School. To maintain the contacts database of project personnel; recording attendance and feedback post-event; maintaining all project and departmental files. To ensure that all Criminal Records Bureau (CRB) and Child Protection checks are administered correctly and to liaise with the Producers to ensure that all artists, workshop leaders and any assistants who will work with children are CRB checked and that all Child Protection Guidelines are adhered to. To arrange all the logistics for the smooth running of the programme of events. Including room bookings and facilities for internal meetings and external events and maintaining accurate records on Artifax; liaising with Event Management and all relevant departments to ensure all operational and technical requirements are communicated; ordering all materials and equipment; co-ordinating catering for events; arranging signage; organising travel and accommodation. To liaise with internal Barbican and Guildhall staff including marketing and PR to develop audiences, participants, and supported student recruitment. To prepare and process contracts. To manage Artifax requirements as needed. To maintain financial systems including purchase orders, invoices, and timesheets using CBIS. To produce resource materials through research and writing for schools, families and other groups. To evaluate documentation of events including evaluation design and implementation; writing of project reports on completion in close liaison with the Producers. To contribute to the maintenance of all office systems to ensure smooth running of department including personal and project filing. To maintain a good overview of current issues in arts education. To have a full understanding of how your role and your department relates to the Barbican Experience objectives and the Barbican Experience Statement, in line with the business plan. Continually seek ways to develop your role in, and your contributions to, Barbican Experience completing regular personal action plans where appropriate. Technical Skills / Professional Qualifications / Relevant Education & Training / Experience Required An active knowledge and interest in creative and collaborative arts practice. A passion for the arts and a good understanding of the practice of arts education and the wider arts and learning landscape. Specific knowledge and understanding of theatre, dance and/or poetry education practices is desirable. A track record in co-ordinating and delivering creative participatory events. A clear knowledge of the formal and non-formal education and community sectors. Experience in working with a range of partners and stakeholders and of managing sensitive relationships. Highly motivated, articulate individual with the ability to contribute creative ideas with efficient delivery. An excellent communicator with a commitment to quality and achieving the highest standards. Good time management skills. Excellent organisational and administrative skills with the ability to take a structured approach to organising work, a commitment to accuracy and demonstrable IT systems. Ability to work effectively in a team to achieve Creative Learning objectives whilst also being self motivated to work independently. Proven experience of education work within an arts organisation.

6 Summary of Terms and Conditions of Employment This summary is given as a guide and is not intended to form part of an individual s contract of employment. Salary The salary for this job is 27,040-30,480 per annum inclusive of all allowances. This figure will be reviewed annually from 1 July in line with the pay award for other salaried staff within the City of London Corporation. Contract The job is offered on a permanent basis. Hours of Work Normal office hours are 35 hours per week excluding lunch breaks, 10.00am to 6.00pm Monday to Friday, inclusive but the post holder shall be expected to work the hours necessary to carry out the duties of the position. Additional hours are required on evenings and at weekends. A time-off in lieu system is operated to cover post 6pm and week end events at the discretion of the DoCL. (see TOIL policy) Frequency and Method of Payment This is a monthly paid appointment and salaries are credited to a Bank or Building Society Account on the 11th of each month. Annual Leave There is an entitlement of 24 days annual holiday plus Bank Holidays. There are subsequent increases to entitlement to annual holiday according to length of service. Sickness Absence and Pay The City of London Corporation has a comprehensive Occupational Sick Pay scheme, details of which can be found in the Employee Handbook which will be made available to you upon commencement.

7 Pension You will automatically be admitted to the City of London Corporation s Pension Scheme. Employees contribute between 5.5% and 12.5% of their pensionable pay to the scheme, depending on salary. If you do not wish to join the Scheme you must make a formal declaration stating you wish to opt out. You may contact the Pensions Office directly should you have any queries relating to the Local Government Pension scheme and your entitlements under this scheme. Continuous Service If you join the City of London Corporation without a break in service (subject to certain exceptions) from another body covered by the Redundancy Payments (Local Government) (Modification) Order 1999, your service with that institution will count for the purpose of continuous service. The amount of continuous service which you have will affect your entitlement to certain contractual benefits; for example, annual leave, sick leave and maternity leave. A full explanation of Continuous Service is contained within the Employee Handbook. Probationary Period You will be employed initially on a six month probationary period. Should either party wish to terminate the employment during this period, then one week s notice will be required on either side, except for summary termination for gross misconduct. Notice Period One month by either party after satisfactory completion of probationary period. Learning and Employee Development The City of London provides for financial support and time off for staff to study for appropriate qualifications which relate to their duties or undertaking professional skills update training. There is also an in house programme covering more general training needs. Employee Volunteering Programme Through its partnership and regeneration work, the City of London aims to contribute to the social and economic regeneration of the seven boroughs bordering the City: Camden, Hackney, Islington, Lambeth, Tower Hamlets and Westminster. These boroughs contain some of the most deprived neighbourhoods in the country. The Employee Volunteering Programme, established in 2002 allows staff to volunteer their time, skills, knowledge and expertise to benefit local residents whilst developing their own professional skills. All staff are given the opportunity, subject to line management agreement, to take 2 days of volunteering leave per year to enable them to do this.
