1 Terms of Reference Assistant Strategic Planning & Coordination Officer, IICA I (UNOPS) Private Partnerships and Philanthropy Section (PPH), Private Sector Partnerships Service (PSP), UNHCR Copenhagen UNHCR, the UN Refugee Agency, is seeking an Assistant Strategic Planning & Coordination Officer, IICA I (UNOPS) within the Private Partnerships and Philanthropy Section (PPH), of Private Sector Partnerships Service (PSP). Title: Assistant Strategic Planning and Coordination Officer Duty Station: Copenhagen, Denmark Duration: 1st October st December 2018 Contract Type: International Specialist, IICA I (equivalent to P1) Closing date: 6th September 2018 Background and Organizational context Based at UN City in Copenhagen, UNHCR s Private Sector Partnership Service (PSP) supports the Agency s global collaboration with the private sector through its network of fundraisers and national associations in 20 operations in the Americas, Europe, Asia, the Middle East and Gulf region and Africa. The Assistant Strategic Planning and Coordination Officer will be based in Copenhagen within the Private Partnerships and Philanthropy Section (PPH) of PSP, which builds and manages partnerships with corporations, foundations and High Net Worth Individuals. 1

2 In the context of the new PSP Global Strategy , and within wider organizational changes within UNHCR aimed at guaranteeing that the organization has the structure and resources in place to effectively respond to the challenges of forced displacement, the Private Partnerships and Philanthropy Section has recently undergone key changes to ensure its capacity to deliver upon its objectives as part of the strategy and fulfil its role within PSP and within UNHCR. In this context, the Assistant Strategic Planning and Coordination Officer will be key in coordinating the annual planning process, and the monitoring against plans throughout the business cycle, supporting the Chief of Section (Private Partnerships and Philanthropy), the Heads of Unit and the whole team as required for the achievement of the annual and multi-year goals Duties and responsibilities Under the overall supervision of the Chief of Section (Private Partnerships & Philanthropy), the Assistant Strategic Planning and Coordination Officer will work closely with other teams and will support the Section with the following tasks: 1. Planning, coordination and budget monitoring: Overall executive support for the planning of activities against budget, plans and objectives for the Chief of Private Partnerships and Philanthropy, and Heads of Unit as required Support on the implementation, socialization and monitoring of the new Partnerships and Philanthropy Strategic Framework ( ) within PSP HQ, with the PSP network and with relevant stakeholders outside of PSP Support Chief PPH and the Heads of Unit in the annual planning process for the PPH team, and with the network, to ensure plans for 2019 and beyond are aligned to the objectives identified in the strategy and the overall PSP objectives, including support on coordinating PPH's presence and contribution to the Annual Planning Meeting Support with the budget preparation and tracking on expenditure and implementation in coordination with the administrative team under Chief PPH, to ensure delivery through the annual business planning cycle and that key work streams are captured in robust plans 2

3 Act as focal point between the PPH team and the rest of PSP on questions related to budget, planning and reporting, working especially closely with the Global Operations team to ensure that global operational data on PPH activities, income, expenditure and plans is accurate and up-to-date 2. Reporting and internal communications Coordination, consolidation and drafting of content to fulfil reporting requirements, such as the monthly reports on the team's activities and achievements, the quarterly financial reporting, the mid-year narrative report, the PSP contribution to the UNHCR Global Report, and other reports as required Support on internal communications within the team, between the Chief PPH and the team, and between the team and the rest of PSP, including preparation of biweekly staff meetings and taking and distributing minutes on relevant meetings and workshops Collection, consolidation and distribution within and outside of the team of relevant materials that could support the achievement of the shared goals of the PSP Strategy (e.g. good practices, lessons learnt, research, etc) by means of a regular newsletter or other internal communications tools Developing the team's SharePoint page, working with the relevant sub-units, in order to ensure that the SharePoint site is a global resource useful within and outside of the PPH team Preparation of briefing notes, concept notes and talking points, as required 3. Global events and account stewardship Coordination with partners and the network of private sector engagement in highlevel global events, such as the Nansen Refugee Award Ceremony, the UN General Assembly and the World Economic Forum, which are key to donor cultivation and stewardship Organization of PPH/PSP side events to high-level events which present cultivation, stewardship and advocay opportunities, such as sthe UN General Assembly and the World Economic Forum as well as key internal events for the team (strategic planning workshops) Support on strategic HQ-managed accounts, as required, including support on reporting, organizations of events, workshops and missions 3

Capacity building Support on planning and organization of individual or group capacity-building activities for the PPH team, including updating the capacity developmment plans and keeping track of expenditure against the capacity development budget; Support on capacity development activities and events for the network on topics relevant to the overall strategic goals of PPH Support in the organization of regional skill shares on topics relevant to PPH fundraising, and coordination of PPH's presence and contribution in them, including identification of key topics, support on creating the agenda, logistical and administrative support, etc. Knowledge-sharing: collection and distribution of any material relevant to good practices and achievements in PPH fundraising and partnerships that could be used for capacity building purpose Monitoring and Progress Controls Annual plans for the team delivered in line with established standards and with PSP and UNHCR objectives Support to annual planning process of other offices in as far as it concerns alignment with the new PPH Strategic Framework and PSP's strategy for PPH Monthly and Quarterly reports are delivered in time and in line with established standards Creation and operationalization of an internal communications plan Coordination of PSP and its private sector partners' presence at the Nansen Refugee Award Ceremony and at the UN General Assembly Organization of 1 private sector cultivation and/or stewardship event Organization of 2 capacity-building events Update of the team's SharePoint site 4

5 Essential minimum qualifications and professional experience required Master degree in political science/international relations, communication, business/marketing, or a related disciplin Minimum 1 year of relevant work experience with international organizations or NGOs in particular with previous job experience in reporting/strategic planning activities Experience in coordinating large-scale cultivation events involving with multiple internal and external stakeholders the organization of partners cultivation event with the attendance of 100+ participants Knowledge of internal communications and proven practice of developing/updating Share points platforms Experience in expenditure-tracking, budgeting and budget monitoring, financial reporting and business intelligence is desired Key Competencies Strong analytical and drafting skills and strong ability in proof-reading and editing; Good communications skills and reporting capacities; Ability to produce briefing notes, talking points and visual materials for internal and external audiences; Planning and organizing competencies in order to both multi-task and prioritize workload; Ability to work under pressure and meet tight deadlines; Excellent knowledge of English; working knowledge of French is highly desirable; Exposure to UN system highly desirable Location The successful candidate will be based with the UNHCR team in Copenhagen, Denmark 5
