3 Manager Reporting Overview As a manager, you need a quick and efficient way to view your employee s training completions and incompletions on Steward University. The Manager Dashboard in Steward University is neither quick nor efficient. The following three reports are the quickest, most efficient way to view the training completions and incompletions for your employees. They are called: 1. Manager View of INDIVIDUAL Employee Training Completions and Incompletions a. Use this report to see training results for one (or more) of your employees b. This report can be generated as PDF or Excel 2) Manager View of ALL Employee Training Incompletions a. Use this report to see training incompletions for ALL your employees b. Due to the potential size of this report, it can only be generated as.csv, and then saved as Excel (.xlsx) 3) Manager View of ALL Employee Training Completions a. Use this report to see training completions for ALL your employees b. Due to the potential size of this report, it can only be generated as.csv, and then saved as Excel (.xlsx) 4) Manager View of ALL Employee Training Completions and Incompletions a. Use this report to see training results for ALL your employees b. Due to the potential size of this report, it can only be generated as.csv, and then saved as Excel (.xlsx) Notes: Steward University employee profiles, and the manager and employee reporting relationships are created via an IT data feed. Only managers with direct reports in the data feed have the My Team tab in Steward University, and the ability to run manager reports. An employee whose role is to a manager staff day-to-day, but is not listed as the manager in the IT database, does not have a My Team tab in Steward University. The manager of record can proxy their manager role to these employees, and these steps are covered in this user guide. Steward University manager reporting covers your entire manager/employee hierarchy; all staff that roll up to you in the organization are visible in manager reporting. To effectively use manager reporting, you should have a working knowledge Excel. 3

4 How to Run Manager View of INDIVIDUAL Employee Training Completions and Incompletions a. Use this report to see completions or incompletions for one (or more) of your employees b. This report can be generated as PDF or Excel 1. Login to Steward University with your network username and password. Access Steward University at: stewardhealth.sabacloud.com 2. From the Steward University Home Page, click on the My Team tab. Then click on the Analytics sub tab. Note: The default view is of Recently Reviewed reports. If you do not see the report named Manager View of INDIVIDUAL Employee Training Completions and Incompletions, click the All tab under Reports, to see all reports. 4

5 3. Click the report named: Manager View of INDIVIDUAL Employee Training Completions and Incompletions. Notes: This reports filters out your employees on Leave and all terminated staff. You can run this report on one or more of your employees. If you have many employees and want a report that includes data on ALL your employees, see the instructions for How to Run the Manager View of All Employee Completions and Incompletions. 5

6 4. From the Filter screen, in the Person Username field, enter the Username or last name of the employee and select the box next to the employee s Username. Notes: You can use Outlook to find employee usernames. If you are running a report on more than one employee, search for and select usernames one at a time. See example below. 6

7 5. Click Run. Do not click Save and Run. 6. After the report runs, download the results to PDF or XLSX (Excel). 7. In Excel, you can sort, filter, and edit the report as necessary. See the Report Key below. Please work with HR to correct any errors in the employees shown reporting to you in Steward University. Remember: This report shows ALL training. You may have to do some sorting or filtering to see the data that is important to you. 7

Login to Steward University with your network username and password. Access Steward University at: stewardhealth.sabacloud.com 2. From the Steward University Home Page, click the My Team tab. Then click the Analytics sub tab. Note: The default view is of Recently Reviewed reports. If you do not see the reports above, click the All tab under Reports, to see all reports. 9

10 3. Click the either report: Manager View of All Employee Incompletions Manager View of All Employee Completions and Incompletions Notes: This report runs automatically and shows your results. This reports filters out employees on Leave and terminated staff. Due to the potential size of this report, it can only be downloaded in.csv, and then saved as (Excel).xlsx 4. From the results, download the data to.csv and save as.xlsx (Excel). 5. In Excel, you can sort, filter, and edit the report as necessary. See the Report Key below. Please work with HR to correct any errors in the employees shown reporting to you in Steward University. 10

11 Report Key How to Schedule a Report to Auto Generate You can set up reports to automatically run and be sent to your . For example, you can set up a report of all your employee incompletions to be sent to your every Monday at 7:00am. 1. Login to Steward University with your network username and password. Access Steward University at: stewardhealth.sabacloud.com 2. From the Steward University Home Page, click the My Team tab. Then click the Analytics sub tab. Note: The default view is of Recently Reviewed reports. If you do not see either report covered in this document, click the All tab under Reports, to see all reports. 11

12 3. To the right of the report you want to schedule, click Schedule. 4. Click Add New Schedule. 12

13 5. Select a Frequency. Once Daily Weekly Monthly Depending on the frequency selected, there will be additional fields to complete. This is an example of a Weekly frequency. 13

14 6. For Weekly frequency, select: Day of Week (the day of the week to receive the report) Date From (the day to begin auto generated reporting) To (the day to end auto generated reporting. You can pick dates well into the future) Time (to receive auto generated reporting. Must be military time.) Report Format (.csv is the only option) 7. Enter your address and click the + button, or select the Person radio button and enter your Steward Username; the system will automatically search for a match. Select the match. 14

17 Proxy Overview Steward University Manager User Guide Managers can assign one more Proxies to act on their behalf in Steward University. This is very helpful if you have clinical managers that manage employees on a day-to-day basis, but they are not the manager of record (they do not have a My Team tab in Steward University). Note: How to act as a Proxy is included below. Share this User Guide with your Proxy. How Managers Assign a Proxy 1. Login to Steward University with your network username and password. Access Steward University at: stewardhealth.sabacloud.com 2. Click your name in the upper right corner of the screen, and then click Proxy Settings on the drop down list. 3. On the Proxy Settings screen that opens, click Add New Proxy. 17

18 4. In the Proxy By field, enter the Username of the Proxy and click the Search icon. If you don t know the employee s username, you can also search by the employee s last name. 5. Use the Calendar button to select the appropriate End Date, and select the Team Dashboard checkbox. 18

19 6. Click Save. How to Manage your Proxy Assignments You can view, edit, delete, and add a new Proxy. 1. Login to Steward University with your network username and password. Access Steward University at: stewardhealth.sabacloud.com 2. Click your name in the upper right corner of the screen, and then click Proxy Settings on the drop down list. 19

20 3. On the Proxy Settings screen that opens, you can: View/Edit Delete Add New Proxy How to Act as a Proxy Follow the steps below if you are a Proxy. 1. To act as a Proxy for a manager, login to Steward University with your network username and password. Access Steward University at: stewardhealth.sabacloud.com 2. Click your name in the upper right corner of the screen, and then click Proxy Settings from on the drop down list. 20

21 3. From the Proxy Settings screen, click Act as Proxy for the appropriate manager. 4. Follow the steps in this user guide to run manager reports. 5. To exit Proxy mode, click your name again, and then click Exit Proxy Mode. 21
