Modules in EMS EMS is designed with 5 top level modules and every top level module is having some sub modules, every sub modules is linked with another sub modules and these link exposes the functionality of the EMS. The top level modules of EMS are, 1. Administration 2. Management 3. Staff 4. Students 5. Parents The following screen shot show all the major modules of EMS.

3 1. Administration The Administration module is used to control all the functionalities of the product. In this module, we can create all the master data entries, staff/students profiles and so on.

4 The above screenshot is the landing page of administration module, i.e when you login into the administration module the system shows you this page. Here you can see number of menus to create or modify the master entries. Using the Quick Mail/SMS functionality, an administrator can send a circular to all the staff and students, and those circulars will display in their inbox, the inbox is seen below the Quick mail option.

5 1.1 Administration - Settings The above screen shot explains one of the sub modules in administration module, Settings. In Settings we can create the master entries for 1. Location Details: Area, City, State etc, these entries are used for address entry in various page. 2. Ledger Details: Department, Designation, Qualification, Blood Group etc, these master entries are used when an user create his/her profile, for example the user can select his/her blood group from the list. 3. General Details: Vehicle Type, Leave Application, Feedback, Vehicle Status etc. Here we can create the master details like the vehicle type (eg, Bus, Van) and the Status of the vehicle, and these details can be used in the bus root page. 4. Payroll Details: In this sub module all the payroll related information can be stored. This information can be used when generating salary and pay slip and all. 5. Academic Details: In this sub module, the administrator can enter the academic year details (eg ) and the exam type (eg. Semester, Non Semester), the Grade Scale for examination (A+, A and B etc) these information can be used when generate the time table and exam schedule.

6 1.2. Administration Management The above screen shot explains the Management sub module in Administration module. 1. Application Details: In this sub module, all the application to a course related information can be stored and tracked. 2. Attendance Details: Here all the attendance related information can be stored, like leave information Causal leave, Sick leave etc, and how many leaves can be takes per year and so on. 3. General Details: General details like Circular, meeting and special class details can be entered here. 4. Fees Details: Fees Structure, fees amount for each course and all details related to fees will be handled here. 5. Academic Details: Students extra curricular activities, syllabus for each subject and scholarship details can be stored here.

7 1.3. Administration Staff In Staff sub module, all the staff information will be handled. The following menus are available in the Staff sub module. 1. General Detail: Staff Calendar, Permission reasons will be handled here. 2. Transaction Details: Staff profile, Assignment details will be stored using this sub module. 3. Lookup Details: Time table, Subject allocation and meeting schedule for staff can be configured here.

8 1.4. Administration Students In Students sub module the following are the main menus, 1. General Details: Attendance report, progress report of any students can be viewed here, the admin can generated attendance and progress report for students using this menu. 2. Transaction Detail: Students profile, and student s assignment are handled by this menu. 3. Lookup Details: Students time table, and their leave and bus schedule are handled under this menu.

9 1.5. Administration Parents In parents sub module, the following features are seen. 1. Transaction Details: Students profile, students details are viewed here 2. Lookup Details: Students Leave status, and circular etc are viewed here The details about students will be enabled to view by parents.

10 1.6. Administration Payroll All the payroll related features are handled in this sub module. 1. General Details: Holiday, Loan details for salary generation are handled here 2. Lookup Details: Staff Salary Statement, attendance, allowance etc are handled here.

11 1.7. Administration Accounts Accounts related information are handled here. The following are the menus under Accounts. 1. General Details: Account Primary group, ledger type are the menus in this top level menu. 2. Voucher Details: all the voucher related information like credit and debit notes, payment voucher and their number are generated here. 3. Reports: All the accounts reports like trail balance, day book are generated here.

12 1.8. Administration Hostel In Hostel menu 1. General Settings: Raw Material, room type are entered here 2. Hostel Details: Room, Room allocations and room facilities are handled here 3. Inventory Details: Purchase details for hostel are handled under this menu.

13 1.9. Administration Library In this sub module, the Library features are handled 1. General Details: Details about the books, like published, author are stored here 2. Book Reservation: Reservation details about the book like who reserved the book and who is having this book etc can be viewed here 3. Inventory Details: Book purchase details are handled in this menu

14 3. Staff In this sub module, the staff features are handled 1. General Details: Details about the Student Out reason, Staff Attendance Report, Student Progress Report and calendar 2. Transaction Details: Staff Profile, Staff Fees, Student attendance, student assignments all the stuffs are including this transaction details. 3. Lookup Details: Time Table, Leave Status, Meeting, Feedback, Subject allocation, My Circular and view attendance report all the stuffs are including this module.

15 Staff - Settings In Settings General Details menu, the staff can compose mail, apply leave and see the notice board, the leave of staff will be updated into the admin module.

16 Staff - Management In Management sub module there are 3 top menus are available 1. Attendance Details: can approve the leave of students 2. General Details: can configure the special class 3. Academic Details: Can view the syllabus and extra curricular activities

17 Staff - Staff In the Staff sub module the following sub modules are there 1. General Details: Can assign permission to students 2. Transaction Details: View/ Edit staff profile, see students attendance report 3. Lookup Detail: Time table and leave status, meeting status and circular details and reports are here.

18 Staff - Payroll In the Payroll submenu, the staff can see the following menus 1. General Details: to view the salary slip 2. Lookup Details: can see the salary statement, attendance report, allowance deduction in salary.

19 Staff - Library In the Library sub module the staff can reserve a book for his use.

20 4. Students The module Students is used to handle all the students related tasks, the above screen shot is the landing page of the student s portal.

21 Students - Settings In Students Settings sub module, the students can see and apply the leave, and the leave application will be approved by his/her assigned staff.

22 Students - Staff In Students-Staff sub menu, the following details are there, 1. General Detail: Can see the permission details, attendance details and the Progress Report of any students. 2. Transaction Detail: Under this menu, students can see the staff profile and the assignment details. 3. Lookup Details: In this menu, the students can see the time table, leave status of staff and the circular details.

23 Students - Students In the Students sub module, the following details are as follows, 1. General Settings: In this menu, students can generate his/her attendance report and progress report. 2. Transaction Detail: Here, the students can view/edit his profile, and the assignments assigned to him. 3. Lookup Details: Here the time table, leave status and the bus details of students are viewed here.

24 Students - Parents In the Parents sub menu the students can see the following details, 1. Transaction Details: In this menu, the parents profile, and the progress report of students are there. 2. Lookup Details: the leave status, feed back, circular and the extra curricular details are seen here.

25 Students - Library In the Library sub menu, the students can reserve a book for his use.
