WHAT WE VALUE Passion Openness Caring Integrity - Learning JOB PURPOSE To oversee effective and efficient management of the procurement, supply processes including purchasing, inventory, as well as workshop functions and facilities. JOB SCOPE This role sits within the Corporate Services team, but will interact with rest of the organisation. CONTEXT THAT THIS ROLE OPERATES WITHIN Organisational perspective Wellington Free Ambulance is New Zealand s only emergency ambulance service free to patients. We provide high quality leading patient care in emergency medical and trauma situations, pre-hospital care, treat-at-home care, rescue and transport services. Established in 1927, Wellington Free Ambulance services the Greater Wellington and Wairarapa regions. Our area of operations extend from the Cook Strait to Peka Peka Road (past Waikanae) and across to Mount Bruce and cover a population of over 460,000 people. Last year we helped around 75,000 people across the region. Our focus on delivering world class free paramedic care means that attracting, recruiting and retaining highly skilled staff is crucial to our ability to provide high quality services. We have around 300 staff and 80 volunteers. Business Unit Perspective Corporate Services ensures the smooth running of the organisation, so that Wellington Free Ambulance can get on with the job of delivering world class paramedic care. It encompasses IT, quality audit and risk, logistics, procurement and property, finance and data analysis. This team provides invaluable support to the whole organisation through financial management, robust technology, and quality improvement.

2 KEY ACCOUNTABILITIES Key Accountability Logistics Management Deliverables / Outcomes (Jobholder is accountable for) procurement and resourcing of medical supplies and equipment workshop functions and resourcing property and facilities management of all WFA properties WFA procurement procedures and processes Procurement Accountable for the procurement management at WFA Key Performance Indicators / Measures (Jobholder is successful when) The procurement of Services are delivered within budgetary restraints, maximising value for money. Fleet performance standards are regularly monitored and managed. Critical failure rates and fleet functionality is regularly assessed and actions taken to resolve issues. Resource levels are maintained within the financial limits. Evidence of active participation and partnership with Quality Innovation and Improvement, Healthcare services and training teams to ensure the best fit for purpose products and services. Stock controls and audit systems for consumables and equipment are in place. Logistical system support to enable emergency planning, preparedness, business continuity and resilience is established. Properties are well maintained and fit for purpose Processes across the logistics area are customer centric with proactive processes and systems in place that are efficient and effective Analysis of trends for logistics areas of accountabilities Trust policies, procedures and protocols are implemented, maintained and observed at all times. development of procurement, supply and preparation of Page 2 of 7

3 Key Accountability Leadership and Staff Management Health and Safety Deliverables / Outcomes (Jobholder is accountable for) Oversight of all ROIs, RFPs and large procurement processes for the Organisation Leading the logistics team including the coordinator and workshop Leading the way in working in partnership internally to progress outcomes Complies with responsibilities under the Health & Safety in Employment Act In the performance of assigned duties, maintains a safe and healthy workplace and actively participates in WFA s Health and Safety Management system. Key Performance Indicators / Measures (Jobholder is successful when) systems, for all medicines and pharmaceutical services. Evidence of working in partnership with Quality Innovation and Improvement, Healthcare services and training teams to support and progress large procurement projects Development and management of contracts for WFA as required including setting up preferred suppliers for facilities and consumables Proactive relationship management with large vendors WFA meets the requirements of the relevant Codes of practice standards, Ambulance standards and Acts required for the management of medicines. Team and individual performance is managed against job descriptions and business unit and organisational goals. Role models effective leadership with the WFA values, behaviours and objectives Evidence of partnering up internally and externally to achieve fit for purpose outcomes for the Organisation Ensures whole organisation can meet health and safety obligations by managing/completing required fixes on reported property and facilities related health and safety issues Has read and understood health and safety policy and procedures. 4 Key Accountability Deliverables / Outcomes (Jobholder is accountable for) Take active role as member of WFA Health and Safety Committee. Actively participate in and promote safety initiatives. Ensure equipment and facility meet Health and Safety, HSNO safety and WorkSafe NZ regulations. Does regular Health and Safety audits of all premises Key Performance Indicators / Measures (Jobholder is successful when) Actively supports and complies with health and safety policy and procedures. Actively participates in the hazard management and identification process. Proactively reports and remedies any unsafe work condition, accident or injury. Identifies and reports all job related hazards. Follows all codes of practice, protocols and guidelines related to work practices Reports all accidents, incidents and near misses Raises any issues of concern with manager as soon as possible Models the purpose and ethos of the organisation by maintaining own personal wellbeing. This may include evening or weekend work. Changes to Job Description From time to time as an organisation evolves job descriptions may need to be reviewed and may need to be changed.
