3 NCS is a once-in-a-lifetime opportunity open to all 16 & 17 year olds in England and Northern Ireland that helps them build skills for work and life, whilst taking on new challenges and meeting new friends. The aims of NCS are to enable young people to: Take on new challenges and learn new skills Make a difference while making new friends Grow in confidence and improve their CV Experience something new as they help out their community NCS programmes are seasonal, taking place in the school spring and autumn half terms and summer holidays. Each programme consists of at least one residential which includes outdoor activities, community based skills learning and culminates with the young people designing and implementing a project to have an impact in their local community.

4 JOB DESCRIPTION Job Title: National Citizen Service Administration Officer Reporting to: Head of Social Action and Enterprise. Pay: 20,000 Contract type: Full Time 1 Year with potential for a 3 year extension. Location: Avery Hill Youth Club, Anstride Road, Eltham, London, SE9 2LL Days and hours of work: 37.5 hours per week. Post will require some evening and weekend work. Document created: 02/08/2017 Ref number CACT/NCS/AO Purpose of the Role: To manage all administration relating to the NCS Programme on behalf of Charlton Athletic Community Trust (CACT). Implementing clear and transparent processes for the conversion of young people from expression of interest to turn-up. The successful candidate will be responsible for ensuring all relevant data is captured on a central monitoring system (Salesforce) and distributing the relevant programme information to young people and parents/guardians. Key Responsibilities (but not limited to): To oversee the monitoring of sign-up s daily on a central monitoring system (Salesforce), adding new participants to a local database and sending out Sign-up packs accordingly. Ensure sign-up and keep warm processes are adhered to. Updating records on a central monitoring system (Salesforce) and local database upon the return of completed consent forms ensuring that all social mix information is captured. Investigate any queries or missing data from a young person s account. Calling young people, parents/guardians to obtain missing details and gain outstanding consent forms. Produce and update correspondence templates to be sent out in sign-up and confirmation packs. Maintain and develop the electronic and office based administrative filing systems. Assisting with the printing, copying and collation of programme materials and resources. Manage the formation of teams and the production of cohort registers. Support with the input of Expression of Interests (EOI s) on Central Monitoring System (Salesforce) as needed. Contribute to the day to day running of the office environment, including maintaining stock of relevant administrative items and programme resources. Line Manage the NCS Administration Assistant to ensure the successful input of data on a central monitoring system (Salesforce) and local database.

5 Ensure that all relevant information for young people and delivery staff including but not limited to, parental consent, medical and dietary needs are recorded appropriately and collated into registers for each phase of the programme. Support the NCS Programme Manager with the recruitment, interview, induction and training of seasonal staff. Answer NCS related queries via telephone and and manage the NCS account. Take minutes in Departmental Meetings and circulate to all relevant staff within 24 hours.

Experience of working in an administrative role. Experience of monitoring and evaluation systems (Salesforce). Experience of working in partnership across a range of sectors. Skills, ability & knowledge Personal qualities Excellent IT Skills (Microsoft Word, Excel, Outlook and PowerPoint). An understanding of the importance of data entry and a commitment to its accurate and appropriate recording and storage. Excellent written and verbal communication and interpersonal Skills. Excellent telephone manner. Strong planning and organisational skills, diligent with an attention to detail. An understanding of and a commitment to equal opportunities issues both in the workplace and the wider community. Commitment to Safeguarding children and young people. Knowledge and understanding of the NCS programme. Full driving licence with access to own transport or ability to use public transport. Proven leadership skills, with the ability to provide staff with clear instructions to enable them to achieve desired outcomes and meet the required standards. Creative thinker, pro-active, self-motivated with the ability to use own initiative and work to deadlines whilst managing multiple priorities. Flexible approach to working, willing to work irregular hours.
