1 Job Description Job Title Reports to Facilities Manager Director, Roffey Park Services Key Objectives and Responsibilities To ensure the premises and grounds are well presented, well maintained and providing a safe and secure environment for all visitors and staff. This will be achieved by ensuring adequate systems are in place for contractor management, health and safety management, security, preventative maintenance programmes, environmental management and future refurbishment programmes. Particular emphasis must be placed on providing efficient services to a high standard within the agreed financial budget. Key Tasks Team To plan training and personal development for all members of staff that work within the department night staff, premises/grounds assistants and apprentice and housekeeping staff. To work closely with the Grounds Contractors, planning and prioritising tasks together to best benefit the organisation and the presentation of the grounds. To manage the work of the team making efficient and effective use of the manpower and skills available, undertaking as much cleaning & maintenance in house as possible. To promote the ethos of continuous improvement throughout the team. To manage and motivate the team with respect to the values of the organisation, conducting regular reviews and target setting. This role liaises with every other department so maintaining and promoting good relationship with all colleagues is essential for smooth operation. Service To work as part of the Roffey Park Services Team providing a first class service to guests, staff and suppliers. To act as Duty Manager as required and responding to all client requests in an appropriate, timely and professional manner. Security of the Premises Opening and closing of the site as dictated by business needs. Holiday periods and downtime monitoring. Alarm system management. CCTV system management and monitoring. Keys, locks, access and egress. Security of company property.

2 Key Tasks cont d Health and Safety Systems To ensure the Health and Safety policy, procedures and legislation are implemented. To carry out H & S training and induction for all new employees and training for existing employees is continually reviewed, updated and facilitated as their job role demands. To carry out a process of auditing and documentation ensuring adherence with current legislation and being aware of relevant new legislation. To manage accident and near miss reporting and statistics and react in an appropriate manner. To ensure all small appliances are PAT tested as required by best practice. To advise senior management on all H & S matters. Contractor Management Selection, management and quality control of all external maintenance contractors ensuring safe operation and efficient cost control in order to maintain standards to ensure business continuity Documentation and record-keeping of all work carried out. Site visit management. Maintenance Day-to-day upkeep of the building, ordering supplies and stock as required. Undertaking minor maintenance tasks to ensure efficient use of funds and manpower. Planning & carrying out minor refurbishments as required. Responding to daily requests, monitoring the maintenance log and booking contractors. Responding to emergencies and incidents as appropriate. Night Management Training, direction and supervision of night staff in their security and health & safety roles. Rota and employment of night staff cover. Environmental To work with consideration to the natural environment. Maintaining ISO14001 policy and procedures. Pro-actively working to enhance our environmental credentials. To manage energy consumption for maximum operational efficiency. Financial Management Working with the Director of Roffey Park Services to achieve expenditure budgets are met Efficient use of time for contractors and staff employed. Checking of invoices and authorising payment. Managing petty cash and controlling establishment expenses. Energy cost analysis and implementing usage reduction initiatives. 2

3 Other Management This role is a management role and consequently you will expected to take a full part in Roffey Park Institute strategy planning when required, promote the values of RPI, and make a positive contribution to the development of the organisation. You will be expected to attend management meetings, training courses and staff conferences and, on occasions, act as Duty Manager. This role is a practical hands on role and you will be expected to plan, undertake and complete routine maintenance and refurbishments yourself without the need for outside contractors. It is crucial to the success of the Institute that all staff approach their roles in a flexible and resourceful way. The post holder may therefore be requested from time to time to undertake other appropriate duties not listed above but within overall scope of the role and in the best interests of Roffey Park Institute. 3

4 Key Tasks cont d Personal and Professional Development You will be expected to keep abreast of changes in legislation, trends and operational procedures that affect the effectiveness of your role, arranging to attend suitable training as necessary after consultation with the Roffey Park Services Director to ensure continuous professional development. You are also expected to respond to emergencies and incidents and reasonable requests for assistance providing an emergency on call service when off duty so it is essential that you live within easy reach of Roffey Park (10 mile radius). You will be expected to relocate within 6 months of taking up the role. Responsible on call cover must be arranged when away from the site for any length of time. Hours of Work In keeping with the principles of self-management you will be expected to organise your working week around the priorities of your role and of Roffey Park business requirements whilst maintaining a positive work-life balance. The following guidelines apply: Normal 7.00am to 2.30pm, Monday Thursday 28.0 hours pm Friday (Lock-up) 8.0 hours Opening 6.00am Monday morning 1.5 hours Contingency time 2.5 hours Total: 40.0 hours per week Flexible Manage your rota accordingly to be available to open and lock-up site when in use at weekends. Be available to be on duty in a security role in the evening for major events, such as wedding and functions (maximum of 12 times per year). Be available to liaise with engineers, contractors and participants at other times of the day as dictated by the business needs or situation requirements. Respond to emergency situations should they arise when off duty. Use the TOIL system effectively so you are able to work a 5-day, 40 hour average working week as much as possible, liaising with other duty managers as necessary. 4

5 Person Specification Attributes, experience, qualifications, skills Essential: An ability to liaise with a variety of stakeholders from staff, contractors, senior management and clients. Leadership qualities. A mature personality that can lead a team of diverse personalities.
