1 1 After the applicant has applied to the posting (whether it s internal or public), you can create the Hiring Proposal directly from the posting in your Watch List. 1. Open the posting and view the applicant you have decided to hire. 2. If viewing the application as Initiator or DDD, change the User Type to Applicant Reviewer then select Take Action on Job Application menu and move the applicant to Finalist Recommend for Hire to start a hiring proposal.

Change the User Type back to Initiator or DDD, verify the applicant's name and the posting title, and select Start A&P Hiring Proposal. *Note* you will be asked to confirm the position description that the position is tied to. This should already be preselected for you. You will only need to click Select Position Description.

3 3 4. Indicate the Proposed Starting Salary and the Proposed Start Date. The Proposed Start Date MUST be on the first Monday of a regular pay period. HR will need to approve the Proposed Starting Salary and Proposed Start Date before an offer is extended. *Note: This information prepopulates directly from the applicant s application. 5. Select Save or Next to Save your changes. 6. Skip the Hiring Proposal Documents tab. Select Next.

4 4 7. Review the Summary page. Submit to DDD for approval. 8. DDD reviews and submits to HR for approval. 9. Once HR reviews and approves proposed salary and start date, the DDD is approved to extend offer (Hiring Proposal will move back into DDD s Inbox). NOTE: Upon department request, HR will extend the offer. 10. Before an offer can be extended three (3) reference letters and/or telephone reference check forms are required to be uploaded to the OASys Hiring Proposal on the Hiring Proposal documents tab (Note: For internal applicants from other university departments, only one (1) reference letter/telephone reference check form is required). On the documents tab hover over the Actions tab next to each Reference Letter/ Telephone Reference Check Form and click Upload New.

5 5 11. Upload the Reference letter or Telephone Reference Check Form and click Submit. 12. Repeat steps 10 and 11 until all three reference letters/reference checks have been uploaded to the Hiring Proposal Documents Tab. Once all letters have been uploaded, select Save or Next to save your changes. 13. DDD (or Human Resources) makes verbal offer and if accepted will move Hiring Proposal to Offer Accepted.

6 6 14. DDD (or Human Resources) will complete the Offer Accepted- New Hire Info tab. Departments should NOT collect applicant personal information such as SSN, Birth Date, and Citizenship. This is completed by Human Resources. Continue to fill in the anticipated Start Date, Salary, and other required information when prompted. NOTE: These three field are completed by Human Resources

7 7 12. Select Save or Next to save your changes. 13. Skip the Hiring Proposal Documents tab, as all reference checks should have been uploaded. Click Next. 14. Review the Summary page. 15. Submit to HR for approval. HR will initiate Background screening and collect personal information from the applicant (i.e., SSN, Birth Date, and Citizenship). HR will approve the Hiring Proposal upon successful completion of the background screening. Applicant will automatically move to a Hired status. 15. Change your User Type back to Applicant Reviewer in order to change all remaining applicants statuses to Not Hired or Not Hired- Sent. 16. Once all applicant statuses have been changed, you will change your User Type back to Initiator or DDD to Fill Posting. Note: Do not Fill the posting until the Hiring Proposal has been approved.
