1 BACKGROUND INFORMATION Soho Theatre is London s most vibrant venue for new theatre, comedy and cabaret. We occupy a unique and vital place in the British cultural landscape. Our mission is to produce new work, discover and nurture new writers and artists, and target and develop new audiences. As entrepreneurial as it is innovative, over the last seven years under the joint leadership of Soho's Artistic Director Steve Marmion and Executive Director Mark Godfrey, the charity and social enterprise has almost trebled audiences and produced more work than ever before. We work with artists in a variety of ways, from full producing of new plays, to co-producing new work, working with associate artists and presenting the best new emerging theatre companies that we can find. We have numerous artists on attachment and under commission, including Soho Six and a thriving Young Company of writers and comedy groups. We read and see hundreds of scripts and shows a year. Bang in the creative heart of London, our home is one of the country s busiest venues with a year-round festival programme of theatre, comedy and cabaret, and a buzzing bar. By day we re a hive of writing, workshops, showcases, meetings and events and by night we re stage to an average of six shows and a throng of audiences and artists seeing the work and having a great time. We have over 2,000 performances a year here: Soho Theatre Upstairs is home to intimate, surprising and adventurous work; Soho Theatre Downstairs is our New York meets Berlin comedy and cabaret space; and, Soho Theatre is our stage for powerful new theatre, opera, musical, dance and comedy. Soho Theatre Bar is open from 10am, Monday to Saturday. 2 JOB DESCRIPTION Job Title: Reports to: Line manages: Purpose of Job: Finance Manager Head of Finance & Administration Finance Officer To be responsible for the financial administration of Soho Theatre Company Ltd. and its subsidiaries on a day-to-day basis. To support the Senior Management team in all aspects of financial management, compliance and reporting. To line manage and oversee the work of the Finance Officer, and support the HR & Office Administrator with payroll processing. The Finance Manager leads on all aspects of the day-to-day financial management for Soho Theatre Company Ltd and its subsidiaries (currently Soho Theatre Bar Ltd - STB and Soho Theatre Productions Ltd - STP). S/he works as part of the Finance team, which includes the Finance Officer and HR & Office Administrator, and is managed by the Head of Finance & Administration. The team is supported by the Financial Controller, and reports to the Executive Director. RESPONSIBILITIES: Soho Theatre Company Ltd. (STC) & Soho Theatre Bar Ltd. (STB) To develop, implement and enforce robust financial management procedures and controls across the companies To manage the financial accounting, monitoring and reporting software system (currently Mind Your Own Business) To ensure all book-keeping is up to date at any time, and to ensure control account balances are maintained To prepare accurate data to support internal reporting for monthly, quarterly and year-end management accounts To ensure weekly and monthly payrolls are processed, including payment of tax / NI liabilities, pension contributions and salary sacrifice schemes To prepare and distribute monthly spends to budget holders To produce regular, accurate financial reports for external bodies (i.e. HMRC VAT & RTI, Pension Provider, Arts Council England, PRS) To manage relationships with all financial service providers, including HMRC and relevant banks, managing budgets for charges and commissions and ensuring favourable rates are applied To reconcile all show box office and merchandise takings in good time after a production run has ended With the producers, to prepare settlements and statements for visiting companies and external producers after a production run has ended To support the annual budgeting process and other project budgeting / forecasting work with relevant information To act as main point of contact for the annual audit: booking date in company diary, liaising with auditors beforehand, be on hand to answer queries during the audit and after To prepare trial balance, records and supporting documentation for financial year-end To ensure compliance with external bodies where required (i.e. PCI DSS) With the Bar and Box Office Managers, to ensure all cash held on the premises is accounted for in a timely fashion, and all methods of payment are stored securely 2

3 To manage petty cash using the imprest system To keep abreast of changes in relevant financial regulations and legislation RESPONSIBILITIES: Soho Theatre Company Ltd. To process quarterly VAT returns, applying partial exemption in line with STC s charitable status To prepare and submit quarterly Gift Aid claims and FEU returns To prepare Theatre Tax Relief calculations for submission with company tax return To prepare financial statements in line with any grant award requirements RESPONSIBILITIES: Soho Theatre Bar Ltd. To process quarterly VAT returns To prepare and submit annual Corporation Tax returns To prepare regular financial statements and process profit-share payments to STB s third-party investor GENERAL Support the aims and objectives of Soho Theatre, both internally and externally Attend fortnightly Management and weekly Finance meetings and other internal meetings as required Uphold the company s equal opportunities, access and diversity policies Taking responsibility to be fully aware of the theatre s activities and programme of events at all times. Any other duties the Head of Finance & Administration or Financial Controller may reasonably require This is a guide to the nature of the work required of the Finance Manager. It is not wholly comprehensive or restrictive and may be reviewed with the post holder and the line manager from time to time. 3

4 PERSON SPECIFICATION Experience Experience of managing financial accounting systems for organisations with a turnover of c. 5m A practical understanding of charity finance, including relationships with commercial trading subsidiaries An awareness of the protocols around financial reporting (both internal and external) to the executive, the board of trustees, auditors, funders and meeting grant award requirements Experience of working for a busy theatre or similar arts organisation Skills Demonstrable financial administration and analysis skills High level of IT literacy, and comfortable using different accounting systems Exceptional attention to detail The ability to prioritise, and to shift focus quickly when priorities change Adept at meeting multiple internal and external deadlines Focussed, especially in a busy environment Qualities Flexible approach to work An interest in and enthusiasm for theatre, comedy and the arts Enthusiasm for working in an energetic, festival-like environment Excellent communicator with the ability to engage with a wide range of personalities Highly organised and self-motivated An interest in new writing and ambitious approaches to theatre 4

5 TERMS AND CONDITIONS Equal Opportunities Soho Theatre aims to be an equal opportunities employer. All staff members are required to adhere to Soho Theatre s Equal Opportunities Statement of Policy, which will be given to the successful candidate, and is available on request. Terms of Employment This is a full time, permanent contract, subject to a 6-month probationary period. Salary Commensurate with experience, but likely in the range of 30-36,000 per annum. Holiday entitlement 20 days per annum plus Bank Holidays, rising to 25 days plus Bank Holidays after one year of continuous service. Hours The basic working week is 40 hours. Normal office hours are 10am to 6pm Monday to Friday but you may be required to work outside of these hours. There are no overtime payments but TOIL is negotiable with your line manager. Pension The Company operates an auto-enrolment pension scheme. This is at the rate of 2% from the employer and 2.4% from the employee on qualifying (banded) earnings. The Government will pay in 0.6% of qualifying earnings, which is tax relief. If you have made other arrangements, there is the option to opt out altogether.
