1 JOB DESCRIPTION Job Title: Base: Reports To: Business Support Officer Leeds Senior Communications Officer Date Prepared: January 2018 Grade: E PURPOSE To provide effective business and administrative support to the director of communications and commercial Services. The post holder will also work independently and as part of the team to provide specific support to the senior team, currently made up of three heads of communications, to aid in the delivery of core business and new programmes of work. They will help with the co-ordination, administration and delivery of specific pieces of work that support the senior team in carrying out their roles and functions, without direct supervision. The post holder will work as part of the wider communications team to provide effective business, administrative and communications support. As part of the communications team you will provide support to both the NHS Employers programme teams and the wider Confederation. Our role is to ensure that we are engaging and communicating effectively with all our members, promoting our work and key messages while also protecting the reputation of the organisation and identifying, enabling and promoting commercial opportunities. Communications and commercial team The communications and commercial services team is a large team working across the output of the NHS Confederation. The director works closely with senior colleagues and chief officers from across the national health organisations (including the Department of Health, NHS England, Health Education England, Public Health England as well as national leads in our key stakeholder organisations, board level colleagues from within the NHS and senior representatives from commercial and partner organisations. The team is responsible for all internal and external communications, ensuring that standards are maintained and our reputation is protected and enhanced. We review and publish all web content, publications, tools, resources and media releases, working closely with programme team colleagues. We also play a key role in developing, promoting and delivering events, including our annual flagship conference. Plan and purchase the travel and accommodation of the heads of communications. work effectively and collaboratively with colleagues in the team and across the organisation help to ensure that the communications and commercial team is seen as expert and responsive by having effective systems in place to be both proactive in supporting employers and to respond to requests in public mailboxes and from social media in a timely and accurate manner assist with the preparation of presentations as required for the director of communications and commercial services produce written documents and summaries for internal and external use regularly update relevant NHS Employers web pages and the Oracle, drafting communication materials for internal and external use use initiative to support colleagues in a way which enables the team to perform effectively and to the highest standard - this could involve setting up arrangements which will assist the successful development and running of a project or task under the direction of your line manager, agree specific activities and areas of responsibility to support the work of the communications and commercial directorate sometimes be required to travel to provide programme, administrative and logistical support at external events and meetings. 4 Essential Desirable Application Form Interview Good written and analytical skills to produce written materials and presentations for the director Ability to organise and co-ordinate communication and engagement activities with employers/stakeholders, maintaining networks and liaising with members Ability to assess priorities and problem solve day to day issues Able to research and analyse information and data to present to the director for further consideration/decision IT proficient with the ability to use Microsoft Office packages, Outlook, Word, Excel and PowerPoint. Able to work on own initiative and with minimal supervision.
