1 Terms of Reference Senior Donor Relationship Management Assistant LICA 5 (UNOPS) Private Partnership and Philanthropy Section (PPAP), Private Sector Partnerships Service (PSP), UNHCR Copenhagen UNHCR, the UN Refugee Agency, is seeking a Senior Donor Relationship Management (DRM) Assistant, LICA 5 (UNOPS) within the Private Partnership and Philanthropy Section (PPAP), of Private Sector Partnerships Service (PSP). Title: Senior Donor Relationship Management Assistant Duty Station: Copenhagen, Denmark Duration: 15th June st December 2018 Contract Type: Local, LICA 5 (equivalent to G5) Closing date: 4th June 2018 Background and Organizational context The Private Sector Partnerships Service (PSP) sits within UNHCR Division of External relation and is head quartered in Denmark supporting the organization in delivery of its life saving interventions by mobilizing essential resources from the private sector. The Private Partnerships and Philanthropy (PPAP) section is an integral part of the PSP Service. Whilst the overall administration of PSP s work is overseen by the Geneva based Division of External Relations (DER), the efforts of PPAP combined with those of Individual Giving (IG) are coordinated regionally, mainly through a network of fundraisers based around the globe 1

2 that enable the service to acquire multimillion dollar support from a whole host of private sector partners. PPAP fundraisers cumulatively manage a portfolio of over US$100 million of private sector contributions annually. As part of PSP, PPAP and IG collectively have ambitious plans of growing annual support from the private sector to US$1 billion by Despite the successes and the ambition, there remain persistent gaps in recording and oversight mechanisms of PPAP relationships, which make decision-making extremely difficult, particularly regarding income growth, market/account prioritization etc. Most times information is archived in several places which render real time monitoring of funding gaps, assessment of investments versus outputs, pipeline planning, relationship health checks etc., extremely challenging. PPAP remit to foster stronger relationships mainly with multinational partners, is also difficult to realize in absence of an overview on regional efforts and/or qualitative insights on lapsed or existing donors. In order to address some of the aforementioned challenges as well as to coordinate efforts regionally and globally, PSP implemented a Donor Relationship Management (DRM) database across its fundraising network based across 5 main regions i.e. Americas, Africa, Europe, Asia Pacific (APAC) and Middle East and North Africa (MENA). In PPAP therefore the main objectives for implementing the DRM system remain: 1. To accurately record and monitor all LG projected vs secured income over the USD 100,000 mark on a live basis; 2. To support scale-up of regional efforts with global potential; 3. To streamline regional stewardship efforts by enabling access to necessary tools and information; 4. To enable outstanding relationship management for all LG partners. The Private Partnerships and Philanthropy team works to ensure effective development, management and stewardship of its global partnerships, by ensuring that UNHCR s PSP network has the tools, resources and capacity to recruit, retain and develop donors as a means to further organizational objectives and programs. To that end, PPAP uses the DRM database to effectively manage and deliver its key accountabilities. The Senior DRM Assistant will therefore work to support PPAP fundraisers across the PSP network in their day to day data entry, training, licensing and/or other associated needs. Most importantly the DRM Assistant will ensure the DRM database s alignment with other PPAP income and planning tools/platforms at all times through regular network-wide reconciliatory exercises. 2

3 Therefore we seek a dynamic and driven individual with a strong interest in refugee issues, data entry, analysis and management and strong relationship building skills across a diverse, multicultural environment. Duties and responsibilities Under the direct supervision of the Business Intelligence Officer, the Senior DRM Assistant will perform the following duties: Validate, update and monitor global PPAP income on the DRM suite; Importation and entry of qualitative and quantitative PPAP data into the DRM suite; Support PPAP specific customization processes and requests of the PSP network; Support secretariat of the PPAP DRM Working group; Support procurement processes of value added DRM apps, plug-ins and add-ons; Support licensing and training needs of network users; Support development of standards, guidance and training content to further facilitate uptake; Track and log usability issues and enquiries of PPAP users; Support PPAP Business Intelligence and Analysis requests/assignments; Periodic monitoring, evaluation and reporting of PPAP inputs ensuring data integrity; Any other task assigned by the supervisor; Monitoring and Progress Controls This role will work under the direct supervision of the Business Intelligence Officer, who will set objectives and monitor progress in line with the 2018 Private Partnerships and Philanthropy strategic framework, including but not limited to: Progress against entry of global PPAP qualitative (partner records/details) and quantitative (income/projections) data in the DRM system; Progress against development and dissemination of analytical/data reports generated from the system on as needed basis; Progress against licensing and training of PPAP users; 3

4 Progress against development and dissemination of bespoke PPAP guidance and access standards to users; Progress against execution of and support to system functionality (customization and plug-ins) requests; Progress against convening and support to the PPAP DRM working group; Progress against dissemination of timely information on system upgrades or maintenance issues with foreseen impact to PPAP data to PPAP users; Essential minimum qualifications and professional experience required Completion of Secondary school with a Certificate/training preferably with university education in economics, business law, and development studies, international relations, communication, business/marketing and/or any other relevant discipline. Minimum 5 years of professional experience preferably in data management, data analysis and/or fundraising; Proven experience in administering a DRM suite/database, preferably Salesforce; Proven experience of development of visual materials, reports and/or analytical assets in MS Office suite; Past experience with the UN and/or with a humanitarian I/NGO is most desirable; Fluency in written and oral English is required Knowledge of another PSP market language would be an asset Key Competencies Strong data entry, analytical and organizational skills; Strong communication and interpersonal skills; Established relationships with PPAP network of fundraisers is most desirable; Availability to work full time or 40 hours per week; 4
