1 Gettng Started RouteMaker Users Gude Users Gude Fg. RouteMaker Man Screen RouteMaker s an addon opton for ProftMaker that helps you manage your Route busness. It prnts delvery Manfests for your drvers wth turn by turn drvng drectons. The reports help you see where your drvers are spendng ther tme and how long they are gone on a delvery. You can Check OUT orders and put them n your delvery van, and then Check then IN after delvery and have the orders put on your customers account automatcally. RouteMaker Requrements: ProftMaker verson or later. Must have a 0000-PRS (ProftMaker Route Sngle) or 0000-PRP (ProftMaker Route Pro) lcence. Bult n one-step credt card processng s REQUIRED. TAG Support subscrpton s REQUIRED. Internet Connecton for Mappng RouteMaker Startup: When RouteMaker frst starts t searches for the Manfest, ManfestDetal, Routes, Stops, Sub-stops, and Route Confg database tables. If they don t exst t creates them automatcally. HOTEL ROUTE CUSTOMERS Hotel Routes are dfferent than RouteMaker Routes. Hotel Routes do not need RouteMaker and use the *RT* specal operaton. The Employer feld n the Customer.db s used to save the Route nt number. It s stored as ~1~ where 1 s the route #. Hotel Route Customers can use the Routes report opton to prnt statements on the Blue Statements wth the tear off payment stub avalable from Personal Touch Systems. RouteMaker

2 RouteMaker Users Gude ROUTE FUNCTIONS The basc operaton of RouteMaker s to: 1. Setup Route Maker optons 2. Add your Route(s) nto RouteMaker (see Addng Routes) 3. Add Customers to the Route(s). 4. Add Orders nto ProftMaker for those Route Customers. 5. Check Out and delver the garments. 6. Check In and post to customers account. 7. Send out Statements. 8. Receve Payment from customer. RouteMaker Setup There are just a few optons to set to make your RouteMaker program work. Several optons are shown "dmmed" and can not be changed at ths tme. The dmmed optons are smply to let you know f the acton s beng performed or not. 7. Mleage In/Out Requred. If checked, the drver must enter ther In and Out mleage 8. Drver Code Requred. If checked, the drver must enter ther employee code. 10. Vehcle Number s Requred. If checked, the drver must enter the vehcle number. Key RouteMaker uses mappng programs to calculate mleage and tme between stops on your route. Ths s a key that defnes you to the mappng programs. We wll supply you wth your key when you are ready to start usng RouteMaker. Clck on the Accept button to save any changes you make.

3 Add a Route. 1. Use the Routes opton from the Man Screen to buld routes. Users Gude 2. Clck on the Route Manager button. Routes Lst 3. You wll see the Route Maker dalog. A. Clck on the yellow + button at top of screen to enter a new route name. a. For example: Add a route named Route 1 that delvers on Monday b. Also, you could have a route named Hotel Calforna and t delvers every day. RouteMaker

4 Users Gude B. Remt To: Ths wll prnt at the top of the statements for anyone on ths route. Ths allows t to be dfferent from your store address f desred. Edt an Exstng Route. 1. Use the Routes opton from the Man Screen. 2. Clck on the Route Manager button. 3. You wll see the Route Manager dalog and the navgaton bar at the top. 4. Use the < > keys on the navgaton bar to fnd the route. 5. Edt the felds n the route. 6. Clck on the Accept button. Delete an Exstng Route. 1. Use the Routes opton from the Man Screen. 2. Clck on the Route Manager button. 3. You wll see the Route Manager dalog and the navgaton bar at the top. 4. Use the < > keys on the navgaton bar to fnd the route. 5. Clck on the red X button on the navgaton bar to delete the Route. Ths does not delete the customer (or ther Orders) that are on the deleted route. Addng a customer to a route (va RouteMaker) 1. The customer has to be an exstng customer added the normal way n ProftMaker. 2. Select a ROUTE from the lst of routes that you have already added. 3. From the Routes screen, clck on the Add a Customer to Selected Route. 4. Select an exstng customer from the Customer drop down lst. You can fnd customers by typng a few letters of ther last name, frst name, or Customer number. 1RouteMaker

5 RouteMaker Users Gude a. The customers Delvery Address wll be flled n as the Delvery Address. If No Delvery Address, the customers home address s entered. (the address can be changed) 5. Any routes ths customer s already on are shown n the lst. 6. Clck on the Add Customer To Route NOTE: It s not optmal to add a customer to more than one route f Remt To addresses are used because the statements use the Route Remt To addresses. If multple routes are used for a customer the frst Route wll be used as the Bllng/Remt to addresses. Addng a customer to a route (va ProftMaker) 1. Add or Edt a customer n ProftMakers Add/Edt customer. 2. In the Delvery felds area, enter the delvery address (copy from home address f desred). 3. Clck on the Route Maker button n the delvery area of the customer nformaton You wll see the lst of Routes that exst.

6 Users Gude Select a Route from the lst by double clckng on t wth your mouse. 5. Select YES = to Confrm the addng of the customer to the route, No=Return to lst, Cancel = ext the lst. 6. After a customer s added to a route, use RouteMaker to edt, delete, or do other mantenance. ORDER PROCESSING Durng normal processng n the store, follow these steps. 1. Order Comes In. A. Customer selected s on a Route. B. Process new detaled order as you normally do n ProftMaker. C. Prnts the ROUTE# n large letters on the TICKET. [Tcket] 2. After an order s processed, use the Assgn Locaton functon. A. It wll show the ROUTE Number on the Locaton Screen. 3RouteMaker

7 RouteMaker Users Gude SINGLE BILLING RESPONSIBILITY, MULTIPLE CUSTOMERS If multple customers are blled to a sngle entty these are the steps needed durng processng. The followng Scenaros assume you have defned a *RT* Item n your Dept12 Prcng. See the ProftMaker Users Gude for drectons f the *RT* Item s not there. Senero #1 - A Law Offce pays the bll for multple partners. Dscounts are ncluded n the prce. 1. A drver pcks up orders for Jane Doe, James Hansen, and Frank Woo at the Hewes Law Offces. Ths senero usually doesn t requre a Pckup to be scheduled because t s a normal stop. Hewes Law Offces pays the bll for drycleanng for ther partners Jane, James, and Frank. Hewes Law Offces are on Route After arrvng back at the plant, the drver (or other store employee) puts the orders nto ProftMaker as follows: A. Select Hewes Law Offces as the customer. B. Enter a Detaled tcket for on the Hewes Account for Jane Doe. After enterng all garments, clck on the Route Info button, select the *RT* Item and enter Jane Doe as the customers name, 123 as ther offce number, and the Route s not needed because Hewes Law Offces s on Route 1 n ROute- Maker. 3.Add the other new Orders followng Step 2 for James and Frank, makng sure to enter the Route Informaton for each customer. 4.Assgn locatons as normal and the orders are ready for Route delvery. 5.Use the Check Out procedure n RouteMaker when t s tme to delver the cleaned garments. Senero #2 - A Hotel pays one bll for all guests. The guests get blled the full prce, hotel gets a dscount. 1. A drver pcks up orders for Room 101, 103, 105 from Hotel Calforna. A. Hotel Calforna s on the Hotels route whch pcks up everyday. Hotel Calforna pays a dscount amount for the bll for drycleanng for ther guests After arrvng back at the plant, the drver (or other employee) puts the orders nto ProftMaker as follow: A. Select Hotel Calforna as the customer. B. Enter a Detaled tcket for John n room After enterng all garments, clck on the Route Info button, select the *RT* Item and enter Jane Doe as the customers name, 101 as ther room number, and the Route# not needed.

8 Users Gude 3.Repeat Step 2 for room 103, and Rack and assgn locatons as normal and the orders are ready for Route delvery Check Out n RouteMaker. Senero #3 - The Polce Dept. pays for cleanng of ther offcers unforms. 1. Offcers drop off ther unforms to be cleaned. The Polce Dept pays a dscount amount for the bll for drycleanng for ther offcers. 2. Employee puts the orders nto ProftMaker as follow: A. Select Polce Dept as the customer whch s on Route SERVICES and pcks up Mon, Wed, Fr for example. B. Enter a Detaled tcket for Offcer James Smth, Badge After enterng all garments, clck on the Route Info button, select the *RT* Item and enter James Smth as the customers name, 123 as ther room number, and the Route# s preflled from the database. 4.Rack and assgn locatons as normal and the orders are ready for Route delvery Check Out n RouteMaker. NOTE: If a dscount s gven to offcers but they are not on a Delvery Route use normal dscounted procedures. ROUTE CHECKOUT When ts tme to run a route, the drycleaner wll want to know whch orders go nto the van for delvery. They wll use the Check OUT feature of RouteMaker to do that. When you clck on the RouteMaker Checkout button: 1. All Route Names are shown n the lst. 2. When a route name n the lst s clcked. A. Get and show All Orders for the Route. B. Show the Fltered, Sorted, Order delvery lst. C. Show any Pckups n Red. 5RouteMaker

9 Users Gude RouteMaker 3. Clck on the Prnt Manfest button. A. Prnts a Manfest wth all Stops lsted. Prnts Turn-by-Turn drectons n optmzed order f needed. 4 Save the Manfest for Check-In Later 5. Delvery drver uses the Manfest to load garments nto hs delvery van. A. Scan each order at the CheckOut screen to make certan they get all orders. B. Scanned orders wll turn the check out lne green. C. Manually scan and check on the Manfest that the orders are n the van. 6. Delvery person follows the route manfest and turn-by-turn drectons to delver each order. The Manfest shows Order Numbers and Customer. The delvery drver can check mark the manfest for each order delvered. On return to plant after delvery, the drver uses the Route Check In operaton. 6

10 Users Gude ROUTE CHECKIN When the route s completed the drver returns wth any garments that were not delvered. The Route Drver wll want to CheckIN the Manfest and put any payments collected on the customers account or put the garments back n the to-be-delvered area. 1. Start the Check IN opton from the RouteMaker man screen. [RouteCheckInBtn] 2. The Route Drver wll enter the Manfest(s) that they went out wth. A. Enter the Manfest#. B. All Orders that match the Manfest# are shown on the screen. C. Uncheck any Orders that were NOT delvered. D. Clck on the FINISH - Check In button. 1. All checked orders are set as Pcked Up/Sold and put On Account. 2. All un-checked orders are left alone and are stll delverable. FINISH - PAYMENT PROCESSING Orders are put On-Account, and saved for malng statements later. All transactons are logged aganst the drver who logged n. RouteMaker

11 RouteMaker Users Gude STATEMENT BILLING When t s tme to send out statements they are done a lttle dfferently than normal statements n ProftMaker. 1. As each on-account Order s processed t wll use the Route Informaton A. The Remt To Address: s prnted on the statement whch s normally the stores address but can be dfferent f you set t for each route. 2. Payments are sent n and accepted thru the Payments area of Proftmaker as normal. Payments receved from a Bllng Responsblty party are credted to the actual delvery customer.

12 Users Gude SCHEDULE PICKUPS When customers call, or are normally scheduled for pckups, they are added to a ROUTE. When the route manfest s prnted, any Pckups are merged nto the manfest. 1. Clck on the Schedule Pckup from the man RouteMaker screen. 2. Select the Customer needng a pckup n the Customer drop down lst. Note: Add a new customer f needed usng ProftMaker. Once the correct customer s selected, clck on ther name n the lst and ther address and delvery nformaton wll show on the rght sde of the screen [RoutePckup02] 3. Confrm the pckup by clck on the OK button. 2. A new Order s added much lke a Quck Tcket but wth a status or RoutePckup. RouteMaker

13 RouteMaker Users Gude You can see the Order Number of the new order created for pckup. 3. The closest day of week for the route the customer s on s selected n the date lst. 4. Pckups are merged nto the Delvery Route. ROUTE PICKUPS CHECKIN Orders to be pcked up are assgned an Order# just lke a Quck Tcket but have a status of RoutePckup. These route pckups need to be detaled. 1. On the man ProftMaker screen make sure NO customer s selected. 2. Clck on the Markup/Edt button at the bottom of the man screen. 3. Clck on the Route crcle at the top of the screen. All RoutePckup orders are shown. Select each order that needs to be detaled and marked up. 4. Process as normal from ths pont. When assembled, they wll show on the customers route. 10

14 Users Gude REPORTS The Reports button from the man RouteMaker screen wll show you the reports that are specfc to RouteMaker. A bref descrpton of the reports are as follows: 1. Routes Lst. A lst of all the routes you have defned. 2. Stops Lst. A lst of all customers on all routes 3. Open Manfests. All opent manfests that are checked out. 4. Delvery Statstcs. Shows drver statstcs for tmes out/n, mleage out/n. 5. Statements. Statements desgned for Blue tear off stub form. 6. Statements w/detals. Statements wth detals. 7. Reprnt Manfest. Lets you reprnt a manfest. Clck on the button of the report you want to run. Some reports lke Statements allow you to enter the beggnnng and endng date range and a Date Selecton screen wll appear for entry of the dates. If you would lke a dfferent Remt To: address prnted on the statement, smply select the Route # from the drop down lst. Reprnt Manfest: If you need to reprnt a Manfest, smply enter the Manfest# n the entry box and clck on the Reprnt Manfest button. 11RouteMaker

16 Users Gude Delvery Statstcs Report Ths wll help you analyze how your drvers are dong. It wll show the calculated tme and mleage aganst the actual tme and mleage and wll show the dfferences between them. Also, the mnmum tme calculated was 54 mnutes but on took 28 mnutes to complete. Ths suggests that a dfferent employee s Checkng In the route nstead of the drver. Statements When your drver Checks IN ther manfest, all orders that are checked as delvered are put on the customers account. When t s tme to send out statements you can use the statements reports. You wll be prompted to enter a date range whch represents the Statement cutoff dates e; Select Sept 1 to Sept 30 when you need to send the October bllng statements on Oct 1st.
