5 To enable goods to be processed optimally as part of the operational process of bol. com suppliers must package their goods in accordance with a number of requirements, prior to alerting the warehouse of the goods and delivering these to a bol.com warehouse. This document serves as a guide for suppliers of bol.com. Should there be a failure to comply with the requirements for delivery set out in this document, bol. com reserves the right to refuse deliveries, send them back or to correct irregularities at the supplier s expense. If there are any further questions about contents of this document, suppliers could reach their usual bol.com contact person.

6 2. Packaging 5

7 2.1. EAN barcode All items must display a scannable EAN (European Article Number) barcode. If two articles are not completely identical (for example, they differ in size, dimensions or colour), these articles must have different EAN barcodes.the article supplied must have the same EAN as the article ordered by bol.com Products of different colours have different EAN bar codes. :) X Products of different colours have one and the same EAN bar code.

8 2.2 Perishable articles All perishable articles must be marked with a use by or best before date (in Dutch, using the terms Te gebruiken tot datum or Tenminste Houdbaar Tot datum or THT-datum ) as described in the decree on labelling food ( Warenwetbesluit Etikettering van levensmiddelen ) in the Dutch commodities act ( Warenwet ). The best before date is visible on the packaging. :) 7

9 2.3 Fragile articles Breakables and liquids must be packaged in such a way that the risk of damage is reduced to a minimum. The breakable has been packaged properly. :) X The breakable has not been packaged properly.

10 2.4 Textiles and pluche Textiles, plush or items made of other materials that can easily be damaged by moisture or dirt, must be packed in a closed polybag or box. The EAN barcode must be visible on the polybag so that it can be scanned. In addition to the polybag, the article in question must have a hang tag with the same EAN code. The articles must not have any parts protruding from the polybag, so that they can be processed by machine. In addition, no price must be stated on the article, the polybag or the hang tag. The article has been packaged correctly. :) X The coat hanger is protruding from the packaging and the polybag is not closed. 9

11 2.5 Sharp objects Sharp objects must be packaged in such a way that no sharp edges or tips protrude before, during or after the logistical process. In the event of bodily injury resulting from a failure to comply with these instructions, the liability lies with the supplier. Sharp edge packed properly. :) X A sharp edge is protruding from the package.

12 2.6 Hazardous substances The supplier must supply articles containing hazardous substances to the bol. com warehouse in a way that is in accordance with statutory regulations regarding the transport and storage of hazardous substances. The bol.com warehouse accepts items in the ADR hazard classes 2, 3, 5.1, 8 and 9. Items in the ADR hazard classes 1, 4, 5.2, 6 and 7 can t be accepted due to strict safety regulations. 11

13 Outer carton If individual bol.com units (the unit that bol.com sells to its customers) are delivered packaged in an outer carton, the outer carton must not contain any visible EAN bar code (neither the EAN bar code of any of the individual bol.com units, nor the EAN bar code of the outer carton). Only individual bol.com units inside the box contain scannable EAN bar codes. This is to prevent the outer box being mistaken for an individual bol.com unit. If the bol.com unit comprises an outer box or set, this must be clearly stated on the outer box. For the conditions relating to this, see paragraphs 2.8 and 2.9. The EAN bar code on the outer box has been concealed. :) X The outer box contains an EAN bar code matching the EAN bar code of one of the articles contained inside the outer box.

14 2.8 Bol.com units that consist of several identical articles (multi-packs/sets) Bol.com units that consist of more than one identical article must be packed collectively in an outer box/package that contains one visible and scannable EAN bar code. The outer packaging must display a sticker with the text multi-pack or set. FAMILY PACK The multipack contains an EAN bar code and a sticker with the text multipack. :) X The multipack has not been provided with an EAN bar code or with a sticker. 13

15 2.9 Bol.com units consisting of more than one package or several different items Bol.com units consisting of more than one package or several different items must be combined in one outer package and must have one EAN barcode on the entire unit. The EAN bar code must be identical to the EAN ordered by bol.com. Regarding the method of packaging and the EAN barcode, the same requirements as with the multi-packs apply (please refer to paragraph 2.8): the articles must be packaged collectively in a package and there must be a scannable EAN barcode on the package. If the dimensions of the article prevent the articles from being physically combined, each set has to have stickers stating 1 of 2 and 2 of 2 and/or a multi-package sticker Serial numbers Serial numbers and IMEI numbers of any article that has such a number must be sent to rma@bol.com in a digital document (such as an Excel or XML file). This document must contain the supplier s name, PO number(s), date of delivery and EAN(s). If the supplier fails to comply with these requirements, that supplier cannot decline requests in the refund process or in the guarantee process.

16 3. Pre-alert 15

17 3.1 Delivery date Bol.com asks the supplier to deliver on the requested delivery date that is included on the purchase order. If the date given in the order message differs from the agreements made between the supplier and bol.com, the delivery must be made based on the agreements made between the supplier and bol.com. 3.2 Systems for pre-alerts The bol.com warehouse will refuse deliveries for which no pre-alert has been received. If the ordered article or articles are ready for shipment and the packing list number of the actual packing list is known, a digital packing list must be created in the SCP. Depending on the agreements between bol.com and the supplier, the pre-alert will be given in the Supply Chain Portal (SCP) or through an Electronic Data Interchange (EDI) connection with bol.com. This is called a shipment in the SCP. For an EDI connection, this is called a DESADV-message, which is translated into a shipment. Creating a shipment in the Supply Chain Portal (SCP).

18 3.3 Requirements for pre-alerts The digital pre-alert must be sent no later than one day before the actual delivery of the goods to the bol.com warehouse. If the articles on a purchase order are delivered on the same day the order is placed, the digital pre-alert must be sent at least two hours before the actual delivery. oktober oktober Pre-alert is sent BEFORE goods arrive at the warehouse. :) Pre-alert is sent AFTER goods have arrived at the warehouse. 19 The articles and the quantities mentioned in the shipment/desadv-message must correspond exactly to the contents of the actual delivery. The correct purchase order must also be mentioned in the pre-alert. 21 4.1 Addresses Bol.com will indicate in its purchase order which warehouse the goods have to be shipped to. Delivery must be made to this address, even if it means the supplier has to deliver to more than one warehouse. The address information on the bill of lading, the packing list and/or the courier service s label must always contain a line with the text t.a.v. bol.com. Bol.com has the following warehouses: bol.com - Ingram Micro Pompweg NC Waalwijk The Netherlands Navigate and report at Veerweg 16, the other side of the warehouse. bol.com Fulfilment Center Mechie Trommelenweg ND Waalwijk The Netherlands bol.com - Fiege Inundatiedok JJ Nieuwegein The Netherlands Passenger cars are not allowed at any of the warehouse locations.

22 4.2 Delivery note number and supplier s name Delivery note number and supplier s name Articles originating from multiple purchase orders may be combined in one delivery, preferably with one single delivery note number. Each delivery must be provided with a packing slip or a bol.com shipment label. The delivery note and/or shipment label must be attached to the side of each loaded pallet or separately delivered package in such a way that it is clearly visible (i.e. not hidden under packaging materials or inside the box). If the delivery is carried out by a courier service, the supplier must provide the courier service with the packing slip number for reference. This reference must be on the courier service s transport label and must be exactly identical to packing list number in the digital pre-shipment advice (please refer to paragraph 3.1). The courier service s transport label must also contain the name of the supplier. The driver must report to the porter at the bol.com warehouse with a consignment note containing all delivery note numbers of the delivery/deliveries, plus the number of pallets on each delivery note. Preferably the bol.com shipment label is preprinted and added to the shipment when there will be delivered via a parcel service. Both pallets contain two visible shipment labels. :) X There is no information on the outside of the delivery. 21

X 4.3 Safety shoes To prevent heavy materials from falling on your feet and causing physical injuries, the use of safety shoes with the standards S1, S1p, S2 or S3 is obligatory within all bol. com warehouses. Unloading, collecting and other activities related to shipments in all the bol.com warehouses can t be carried out without the wearing of certified safety shoes. No exceptions will be made to this safety regulation.

24 4.4 Load carrier Transport and delivery to the bol.com warehouse must take place using Euro pallets, roll containers or individual consignments. The use of block pallets, Chep-pallets or other load carriers is not allowed. Packaging materials must be used to minimise the risk of damage as far as possible. If a pallet seal is used, this should preferably be transparent. All articles must be packaged dust-free. Euro pallets will be exchanged for undamaged, empty Euro pallets immediately after delivery to the bol.com warehouse. The dimensions and the weight have to fulfil the following requirements: The maximum permitted height of the pallet is 1.80 metres; If the article which need to be delivered exceeds the maximum height of 1.8M, an exception will be made at our warehouses. Packages weighing more than 15 kilograms must always be delivered on a pallet; Packages larger than 1 cubic metre must always be delivered on a pallet; Packages lighter than 15 kilograms or smaller than 1 cubic metre may be delivered as individual packages. Deliveries consisting of ten or more separate packages, may not be delivered as separate packages. These deliveries should always be delivered on a Euro pallet. In the event of bodily injury resulting from a failure to comply with these instructions, the liability lies with the supplier. A load carrier may only contain articles from one supplier. Packages from more than one supplier may not be delivered on one load carrier. 23

26 4.5 Door policy If the shipment does not meet the conditions laid down by bol.com, upon arrival the delivery will be refused, or will be returned after receipt. Any costs of returning the shipment after receipt are for supplier s account. Bol.com has a red card policy for this. There are six situations in which a warehouse worker is allowed to issue a red card on behalf of bol.com. These are: 1. The driver cannot hand over a packing list number (whether the goods have been transported by the supplier or by a courier service, please refer to 4.2 Delivery note number and supplier s name); 2. The supplier has not send a pre-alert or the digital pre-alert was sent too late (please refer to 3.2 Requirements for pre-alerts). This situation also applies when the actual delivery is taken to an incorrect warehouse; 3. The date of delivery on the shipment/desadv-message does not match the date the actual goods arrive at the bol.com warehouse (please refer to 3.2 Requirements for pre alerts); 4. The supplier s name and or the number of the packing list are not mentioned in the courier service transport label or differ from the packing list number in the pre-alert (please refer to 4.2 Number of packing slip and name of the supplier); 5. The load carrier(s) contain(s) goods from more than one supplier (please refer to 2.12 Load carrier); 6. Upon arrival at the warehouse, the delivery is found to be damaged. Upon the first infringement of the requirements imposed, a warning can be given in the form of a yellow card. The delivery will, however, be accepted. When a red card is given, the supplier will always be notified of this by means of an to the contact person known to bol.com. 25

27 4.6 Non ordered articles Articles which are not ordered by bol. com will be stored separately at the bol. com warehouse at the risk and expense of the supplier. Bol.com will notify the supplier of such articles on working days within 72 hours after delivery. Such articles will either be returned to or retrieved by the supplier by mutual agreement. The related articles will only be transferred to the supplier after payment of the invoice to cover expenses incurred by bol.com. 4.7 Damage and missing articles Upon delivery, the consignment note will only be signed for receipt of the number of delivered pallets or packages subject to damage and defects. Signing upon delivery does not imply acceptance of the quality and number of delivered articles. Delivery checks are based on pallet/package count in connection with the efficient handling of deliveries. If delivery deviations are found at the article level during the quality check, bol.com reserves the right to claim these deviations. Deliveries with damage and/ or shortages are reported on working days within 72 hours after delivery. Damaged articles will either be returned to or retrieved by the supplier by mutual agreement. The payment for the damaged or missing articles expires immediately after reporting the delivery with damage or shortage. The supplier will provide bol.com with a credit invoice for the damaged or missing articles from the delivery within thirty (30) days. If the supplier does not credit the damaged or missing articles within thirty (30) days, bol.com will be entitled to suspend the payment of the invoice for related purchase orders.
