1 Pickup Request Prcess Update Nn-Depsit Bulk Pesticide Cntainers Dear retail cllectin partner, Please be advised that the prcess fr requesting a pick-up f nn-depsit bulk pesticide cntainers is changing this year. This updated prcess will make it easier fr ag-retailers t fulfil their bligatins and legal requirements under Transprt Canada s Transprtatin f Dangerus Gds (TDG) Act fr shipping regulated prducts and empty packaging. We have tried t keep the request prcess as simple and cnvenient as pssible. Please nte the fllwing key changes that will be intrduced this year under the updated prcess. A detailed step-by-step tutrial is als attached: 1) Yu will nw be required t prvide the prduct manufacturer, prduct name, size (L), and quantity f all nn-depsit bulk cntainers at the time f request (selected frm a pre-apprved list f nndepsit bulk prducts); Fr any cntainers that are nt fund n the list f accepted cntainers, yu will be required t enter the infrmatin separately fr verificatin by Cleanfarms. 2) The nline system will create a Bill f Lading (BOL) that can be used as the fficial shipping dcument. The driver will ensure all prducts are listed n the BOL as they lad the truck. The items listed n the BOL must be accurate the driver will nt accept any cntainers that are nt listed n the BOL at time f pickup. T change the BOL befre the cntainers are picked up: 3) At any time after the initial request is submitted, yu can easily add new cntainers t the request and BOL befre the driver arrives. If changes are made, simply print an updated BOL fr the driver when they arrive. 4) New cntainers can nly be added after the riginal request if they are recgnized n the apprved list. 5) Any pickup requests fr cntainers that have nt been pre-apprved as eligible int the prgram must be reviewed by Cleanfarms staff. This will ensure that nn-prgram materials (such as il and Diesel Exhaust Fuel cntainers) are nt entering the prgram. Other aspects t the nn-depsit bulk cntainer cllectin will remain the same as previus years. Retailer respnsibilities still include the fllwing: Nn-depsit cntainers must be kept separate frm depsit cntainers. A pickup f nn-depsit cntainers can be requested nce the minimum number f cntainers have been accumulated (prvince-specific).

2 Ttes will nly be picked up by the cntractr if they are empty (less than an inch f liquid in the bttm), and all bungs/ clsures are in place. Be sure t srt pesticide cntainers away frm ther farm-use liquid cntainers such as fertilizers, il r Diesel Exhaust Fuel (DEF). 3 Nn-Depsit Bulk Pesticide Cntainers Pickup Request Tutrial Submitting a Nn-Depsit Bulk Pesticide Cntainer Pickup Request T request a pickup nline 1. Visit the Online Pickup Request System at and lgin with the apprpriate credentials, including Username, Passwrd, and Business ID. If yu have lst track f this infrmatin: Lst Passwrd: Select Frgt Passwrd, input Username and Business ID, and click Send Change Passwrd Link t My Lst Username r Business ID: Select Signup, Select Request lgin infrmatin, input all pertinent cntact infrmatin fr yur cmpany. A Cleanfarms administratr will cntact yu with the infrmatin yu requested. Alternatively, yu can call r Cleanfarms directly at inf@cleanfarms.ca r Once lgged in, select Create Pickup Request in the upper righthand crner f the screen. 3. Select the Nn-Depsit Bulk Pesticide Cntainers bx t pen the request frm - this will bring yu t the PRODUCT DETAILS sectin. 4. Under Manufacturer start typing in the prduct manufacturer. Select frm the drp-dwn list. 5. Under Prduct select the apprpriate prduct name and size. 6. Under Qty input the quantity f cntainers fr pickup. *NOTE: If yu cannt find the manufacturer/prduct/size, skip t the Requesting Unknwn Cntainers sectin f this dcument* 7. If yu have cntainers with the same prduct name in different sizes, yu must enter them as separate line items Based n the infrmatin that yu have prvided, the Reg? clumn will autmatically fill if it is regulated fr transprt under TDG. If yu ntice this is incrrect, please let us knw by ing inf@cleanfarms.ca. 8. Once infrmatin has been entered, click Add Prduct. This will then allw yu t enter the next cntainer. 9. Yu may edit r delete a rw by selecting Edit this rw r Delete rw under the Actin clumn. 10. After all cntainers have been entered, include any instructins t the driver in the text bx beside Instructins t driver? (ex. call befre arrival, drive t a specific area f the yard, etc.) 11. When all infrmatin is accurate and cmplete, click Next.

4 12. This will bring yu t the Dealer Pickup Request Summary page. Please review all infrmatin and when yu are satisfied that it is accurate and cmplete, select Cnfirm. 13. Once the request has been submitted, yu will arrive at a page titled Successfully Requested. The request is nw Pending and has been sent t the Cntractr. 14. At any time between the initial request and the driver arriving, the BOL can be updated. See the steps fr editing a transactin belw. 15. When the truck arrives, prvide the mst recent cpy f the BOL t the driver. The driver will verify the prducts during lading and cnfirm the actual quantities picked up. Yu must print and prvide the accurate Shipping Dcument t the driver if the driver des nt have a cpy. Editing a Nn-Depsit Pesticide Cntainer Pickup Request Often custmers will drp ff cntainers after a request fr pickup has been submitted. Please ensure that additinal cntainers are added t the pickup request. Any new cntainers that are nt added t the pickup request will nt be picked up unless they are listed n the BOL. T edit a request: 1. Lg in and select the Request Details tab t find the pending request. 2. Under the Actin clumn, select Edit Transactin. 3. T add a new prduct/ litre size, input the cntainer infrmatin and select Add Prduct If the truck has already been dispatched, nly apprved cntainers can be added. Call Cleanfarms fr assistance ( ). Unknwn cntainers can be added t the next request. 4. When yu are finished, click the Update buttn at the bttm f the screen. Yu will be directed back t the Request Details tab. 5. Yu must prvide the updated BOL t the driver upn pickup. T view and print the updated BOL, select Print BOL under the Actin clumn. Unknwn Cntainers All Unknwn cntainers must be apprved by Cleanfarms. Unknwn/ Other manufacturers r prducts will be apprved based n prgram eligibility. The cntainer will nt be apprved fr pickup if it is: Nn-prgram material - il cntainers, sme fertilizer cntainers, DEF cntainers, r depsit/ multi-trip cntainers. Nn-member prduct - Cleanfarms ffers cllectin at n cst based n funding prvided by member cmpanies. Nn-member cmpany prducts are ineligible fr ur prgrams.

5 Requesting Unknwn Cntainers If yu d nt see the manufacturer, prduct, r size in the main list, click n the bx titled Click here if yu did nt find the prduct abve t request unknwn prducts/sizes. Cleanfarms will review all the prducts entered in this sectin prir t pickup t ensure they are eligible fr the prgram and that the TDG infrmatin is crrect. Select the prduct manufacturer frm the drp-dwn list. If yu d nt see the prduct manufacturer n the list, select Other and type the manufacturer. If the cntainer des nt have a label, type Unknwn fr manufacturer and prduct. Under Prduct Name input the prduct name and chse the size frm the list. Input the quantity under Qty. Select Add Prduct. Partial Pickups In sme cases, the driver may nt have rm fr all f the cntainers. If this happens, the driver will cme back fr the remaining cntainers within a day r tw. There is n reasn t update the pending request unless new cntainers (prducts) are drpped ff befre the pickup is cmpleted. Each time the driver arrives, ensure he has an updated BOL that lists all prducts and sizes. Ad-Hc Pickups In sme instances, if the driver is in yur area and has space available n the truck, they will arrive at yur lcatin t pickup any cntainers that yu may have, regardless f if a pickup request has been submitted. If the truck is n site, yu can make a pickup request fr apprved cntainers and print a BOL immediately. Please nte any unknwn cntainers that are sent fr review by Cleanfarms will nt shw up n the BOL.
