We have the following questions regarding RFP- GICC HOUSEKEEPING SERVICES : 1.Please provide a list of all current MWBE vendors that your agency has approved to work onsite. GICC will provide selected contractor with paper and chemical products. Upon bid award the GICC will share information concerning this area as the works performed requires. 2.Provide the total number of restrooms. Please see attachment. 3.Provide the total number of restroom stalls. Please see attachment. 4.Provide the total number of urinals. Please see attachment. 5.Provide the total number of restroom sinks. Please see attachment. 6.Provide the carpet manufacturer s recommended cleaning methods. GICC has Ax minster carpet with 70% wool and 30% synthetic therefore it must be vacuumed daily. Hot water cannot be used to clean this carpet. Also, wool safe chemicals with a very low PH should be used to clean this carpet. The carpet can be cleaned with a Host machine using dry chemicals. 7.To what height is our crew expected to dust? Dusting done as needed throughout the facility. Dusting at GICC is done using a ladder and a small scissor lift. 8.Is there a form for the pricing submission? NO 9.We assume that the 100% Performance Bond requirement is based on an annual amount of fees for service. Bonding companies will not bond for multiple years on this type of service, however the do renew annually. We assume that the Performance Bond is to be on the base fee. Please confirm. This statement is correct. The Performance Bond has to be based on the base fee because we do not know at this time what other fees will be generated. On page 3 of the Request for Proposal it states that the GICC is a 400,000 square foot facility and then it lists s breakdown of different areas within the facility along with their square feet. Is the square feet of the areas mentioned such as Ballroom,etc part of the 400,000 square feet or are they additional square footage areas? The entire building is 400,000 sq. ft. so this would include the space for the ballroom. How often are Events scheduled at the GICC? There are events held every day at GICC. Generally, on weekends (Friday, Saturday and Sunday) event activity is heavier in terms of the number of people in attendance. Over the past year we only had about 2 dark days (no event activity) a month. The rest of the month has some type of event activity. How many shifts will the successful Janitorial Contractor need workers to staff the GICC for janitorial service needs? A minimum of 2 shifts are needed to work events at GICC. The first shift generally starts at 6am until 3:00pm. The second shift time varies depending on night activities. Generally, it starts at 1:00pm so that there is an overlap of staff. With that being said, there are times (especially during weekends), where event activity goes late and the start up activities begin early the next day. In these cases we need a third shift (overnight). This shift starts at 10:00pm and runs until about 6:00pm. Please note this one thing concerning scheduling. GICC is an event driven venue and scheduling is primarily based on event activity. Is the work to be performed Monday through Friday or weekends as well? The work is performed every day of the week --- Monday through Sunday. This would include holidays as well. Do contractors have to have a subcontractor to qualify for the GICC janitorial contract? Will the payment and performance bonds be required to equal the annual value of the contract, or the value of the contract term? The value of the contract. 3. What equipment will GICC provide? The usable items such as paper products, chemical products and trash bags. 4. Does GICC have a description of proper designated attire for uniforms? One in which the employee can be readily identified and one which is clean and neat. The name of the company should be seen and an identification badge should be made available as well. 5. Are there any shut-down periods for maintenance or other issues? NO 6. What is the show schedule for the period and the expected attendance for the same period? This information is unable. We are an airport property and our schedule is ever changing. 7. Does GICC have a holiday schedule? No we work 365 days a years if booked. 8. Does GICC open for events on major holidays? YES If so, what holidays? All except Christmas 9. Will out of scope services requested by convention space renters be billed to GICC, or directly to space renters? City s responses are highlighted. Question: Please provide an assumption, somewhat based on history, of number of events, size and number of cleaners utilized over a year. The assumption that we operate with at GICC is as follows. 1. There are minimum of two shifts. 6am 3:00pm and 2:00pm 11:00pm. Noting that these times are flexible. There are events which require a third shift for cleaning event space. This is based on having next day early morning events in the same event space. A determination of these needs happens in our weekly operational meetings and monthly event forecasting. 2. There are various sizes of events each month from 10 people to 10,000 people. Because this a service oriented business, the size of each event varies. 3. GICC averages approximately 30,000 persons attending events each month. 4. GICC averages approximately 45 separate events per month. 5. Base cleaning happens every day of the week (Monday-Sunday). Base cleaning includes all facility bathrooms, meeting rooms and office space areas. 6. Exhibit space cleaning is event driven and on-going. This mean that is a space is not being used once it is cleaned it is left alone. 7. Base cleaning includes 400,000 sq. ft and the loading dock; front facilty walk way and the south lobby turnaround. CLARIFICATION OF ITEMS DISCUSSED IN MANDATORY INFORMATIONAL CONFERENCE / PRE-PROPOSAL MEETING: *Calendar of events will be made available to awarded contractor. *The Georgia International Convention Center will order cleaning supplies. Awarded contractor shall provide equipment and labor. *Security badges will be provided by Georgia International Convention Center and issued to awarded contractor. *Cleaning of event facilities will be 24/7/365; cleaning of office area will be Monday Friday. Carpet is 70% wool and 30% synthetic. Awarded contractor will receive the manufacturer s recommendation as to cleaning. *If all goes well, the Housekeeping Services contract will begin July 01, 2016 until June 30, *Awarded contractor should submit invoices weekly and can expect payment within two (2) weeks. *Awarded contractor should expect the Georgia International Convention Center to be open 24/7/365.
