3 Sampling & Demonstrating Options Below are the following options for Sampling and Demonstrating within Woolworths Head Office; click on the following links to skip to relevant section. Cooking /Standard Animal displays Large Shed Displays Vehicle Displays Cooking/ Standard Vendors and agencies are welcome to cook or sample in Central Space for staff however the following must be adhered to: Sample must be strictly sample size. This is defined as a size that is not available in retail outlets. Norwest facilities must be advised upon arrival so they can isolate the areas Vesda fire system for any cooking. If this is not done, there is a possibility that the fire alarm may go off causing an evacuation. A mat must be used under and around the cooking area to minimise the risk of slips and falls. All equipment must be tested and tagged by a qualified electrician. All leads/cords must be taped securely to the floor, in order to minimize any trip hazard. If in doubt, please speak with Norwest facilities management to assist. There is access to a BBQ onsite which must be pre-booked and pre-approved with the Events team. If your team would like to bring a BBQ Ute onsite, it may be driven Page 2

4 onto the Forecourt area however Facilities must guide any drivers and approve the vehicle weight due to the restricted areas which vehicles can drive on including the lawn. Any costs incurred as a result of damage to the lawn will be your responsibility. All BBQ s must have the appropriate ground protection underneath to ensure pavers do not get stained by fats or oils. Please note: there is no power out in the Forecourt area. Generators can be brought on site. Animal Displays Animal Displays are welcome at Head Office based on the following must being adhered too: Floor protection must be used under and around any animal display to protect the floor and also catch any animal waste. Animals are to be kept in display pens at all times; unless being handled by a professional as part of the event. All animal waste must be disposed of appropriately. The area must be cleaned and tided before leaving the site. Large Shed Displays The following must be adhered too: Floor protection must be placed under and around any large shed display. The area should be barricaded off and treated as a construction zone during set up. A valid Safe Work Method Statement must be sent through and presented on site prior to any work commencing. Appropriate Personal Protection Equipment e.g. safety boots, high visibility vest, gloves etc are to be worn at all times during bump-in and bump-out. You will need to ensure dock staff are aware of the vehicle unloading and loading times in advance to ensure no disruption to the normal hours of the Page 3

5 dock. The In Store Events team can assist you with this if needed. Page 4

6 On arrival: Vehicle Displays The following applies to vehicles displayed in Central Space. Review the following dimensions to ensure the vehicle will fit into the building: Measurement of the double glass doors: 2.65m (H) x 2.77m (W) Measurement of the reception glass saloon opening: 2.77m (W) Vehicles must not exceed the 4Kpa load rating. Call both Norwest Security on and Norwest Facilities on Facilities will give you guidance on the day about how to drive the vehicle in and around the building as there is restricted access. Once in the building, the vehicle engine is to be turned off and physically pushed into Central Space from the front door; vehicles must not be driven inside at any time. You are to supply your own man power to assist in pushing the vehicle to reach the final location; please note, there is a slight incline to reach some of the site areas. Conditions of display vehicles: Setup should be made at 6pm the day prior to the event and removed on the final day of the activation at 6pm. No trucks are permitted on the forecourt area, however if you do have a larger vehicle, depending on the weight, you may be able to park it at the pavement area in front of the lawn. Do not drive on the lawn; any costs incurred as a result of damage to the lawn will be your responsibility. Please ensure that no tyre shine is used on the vehicle. All vehicles should have a mat placed underneath to catch any potential leaks. If the display vehicle is to be transported on another vehicle, trailer or truck, the transport vehicle will need to be removed as there is no parking on site to accommodate. Page 5

7 Demonstration times Lunchtime Sampling This session is conducted between 12-2pm in Central Space, with setup from 10:30am. The number of samples required is 1,000 units All samples MUST be sample size, not retail size. The recommended number of staff required for sampling is 2-4. All stock must be delivered to the delivery dock with a delivery docket attached (see page 12). Afternoon Giveaways This timeslot is for sealed product give-aways. This session is conducted between pm at both Norwest Head Office exits. The number of products required is 2,000 units. Product giveaways generally require a gold coin donation for charity by our staff if it s larger than a sample size. Collection buckets for the gold coin donation can be supplied by the In Store Events team. The recommended number of demo staff required for give away is 5-6. Please note: If the stock is greater than 1 pallet, please inform the In Store Events team to coordinate space requirements with the Dock Manager. Any excess stock needs to be collected within 2 business days from the event completion. If excess stock is not collected within two - three business days, the items will be disposed of. To be included on the Norwest Events Google+ page, which is visible by staff, please provide a brief outline of the event/sampling activity to the In Store Events team in jpeg format. Page 6

8 General conditions of demonstrations The following are conditions of entry when activating with Woolworths Head Office: All contractors must have an Online Safety induction card and sign in with facilitates each and every time they are on site. A copy of your $20 million Public Liability insurance must be provided to the In-store Demonstration Team prior to entry. All electrical goods must be tested and tagged prior to coming on the premises by a qualified electrician. Displays need to be of a professional standard (e.g. No hand written signs) and in consideration of access and site lines. At least one member of the demo/agency staff team is required to man the display/setup at all times. Should any damage occurred to the immediate or surrounding area (floors/fixtures/fittings etc), as a result of bump-in, during the event or bump-out, you will be liable to cover any repair costs incurred. Helium balloons are not permitted on site for all types of events. We recommend that consideration is taken into using the appropriate floor protection at all times. If you fail to adhere by these conditions you will be ask to leave/declined from entering the building. Equipment Hand/Power tools A valid Safe Work Method Statement is mandatory if you are using any type of power or hand tool(s). Depending on the setup, your SWMS may require you to make use of Personal Protection Equipment e.g. safety boots, high visibility vest, gloves etc. Trolleys Trolleys are required to have soft rubber wheels for transporting equipment and goods inside the building and across Central Space. This also applies to any form of equipment on wheels. Page 7

9 Banned equipments Pallet jacks Forklifts are not permitted inside the building. Equipment containing petrol, diesel or gas operated machinery Audio and Visual All audio must be approved by Senior Management, via the In-Store Demonstration team due to Woolworth s staff working and engaged in meetings in the nearby vicinity. Should you require the use of microphones, these can be borrowed from Facilities. When collected and returned, they must be signed for. All advertisements intended for display on the big screens will need to be approved by Internal Communications, via the In Store Events team. To play clips, files need to be either stored on DVD or USB or provided in advance to test compatibility with our systems. With the exception of microphones, all singers are required to bring their own sound equipment. Please enquire with the In Store Events team as to equipment compatibility. Should you require Woolworths to set up the stage, this should be requested well in advance. Depending on your requirements, there are two stage sizes available. Please enquire with the In Store Events team for more staging information. Delivery Information All items must be delivered on site with a delivery docket attached (see page 12). Your delivery is on a pallet: Pallets must be rear loaded from the truck, onto the 1.2m high dock the delivery truck must meet this 1.2m height minimum to avoid being sent away. Deliveries should be made to Dock 3 the day prior to the sample giveaway between the hours of 6am and 1:30pm. Should you be going through a third party delivery company to deliver the stock, please emphasise the delivery specifications. Page 8

11 Sign in/bump in Upon arrival to Norwest, please park in the visitors parking and make your way to reception to sign in and receive a contractor s pass. At reception, please ask for the In-Store Demonstration Team contact. A representative from the team will come down and direct you to Facilities where you can sign into using with a safety induction card. This process must be repeated every time a contractor enters site. If you do not have a safely induction card, click on the following link and select the merchandiser and demonstrators button under the specialist contractors heading at the bottom right hand corner of the page. Please ensure your contractors pass, received from the Pegasus sign in, is visible at all times. Page 10

15 Central Space Event Checklist Checklist Item Y/N Sent through a brief outlining the details of the proposed event/sampling to In Store Events Coordinator. Contacts must include a floor plan. (Please include the size of the product you will be sampling or giving out.) Completed page 10 of the booking form and public liability certificate sent through to confirm the event/sampling date. confirmation from the In Store Events Coordinator that the event/sampling has been confirmed/approved. Send through a jpeg one page flyer on Monday, the week before the event for Google +. Please include brief product information, confirmed date, time and location. Ensure the online safety induction is completed prior to arriving on site. Read through the booking form/guide to note any other building or dock requirements. (Please note the event/ sampling is subject to cancellation if facility or dock requirements are not adhered to) Page 14
