Box 100 Hansen ID Phone and fax IMPORTANT INFORMATION FOR PNCWA2016 EXHIBITORS The trade exhibits portion of the conference will be October INCLUDED WITH BOOTH/TABLETOP: Booths are 10' wide by 8' deep, gray carpet (indoor booths only), with pipe & drape (black), one 6' draped table, standard 110 electrical, 2 chairs and wastebasket. Tabletops upstairs are 8' with one chair each and with standard electrical available. Extra electrical or any other requirements must be ordered through nancluss@pncwa.org. See attached Riverhouse AV price list. Plated luncheon at the PNCWA Business Lunch for up to two attendees per booth/tabletop on Tuesday Access to all technical sessions on Monday through Wednesday for up to two attendees per booth (Extra Exhibit Floor Only attendees/nametags are per attendee.) An opening reception on the Exhibit Floor and an exhibitor sponsored Micro-Brew Beer/Wine Tasting event on the Exhibit Floor during the closing Reception A pallet jack will be provided. INSURANCE AGREEMENT: Per the previously provided information on the PNCWA website and the online exhibitor registration agreement, by setting up an exhibit at the PNCWA2016 Annual Conference you are acknowledging that you have the following insurance requirements in place: General liability coverage from an insurance company in good standing with minimum policy limits of $1,000,000 per occurrence and $5,000,000 in all. 2 STORAGE, SHIPPING & RECEIVING See below before shipping any oversized packages/pallets and/ or shipments over 80 pounds.* Any packages that are sent to The Riverhouse must be clearly labeled with the following information: Riverhouse Convention Center PNCWA2016 Annual Conference Attn: Insert name of Guest Picking Up Package On-Site/Insert name of Company Event date: 10/17/16 Package Number of Total Number Use of other address at the Riverhouse may be charged a $5.00 transportation fee for each item. The Riverhouse will provide storage space, but assumes no responsibility for delivery and condition of stored goods prior to and after an event. Storage for packages under 80 pounds will be available no earlier than three business days prior to the event and no longer than three days after the conclusion of the event. For packages over 80 pounds, see information below. Storage fees of $15.00 per package per day may apply. No storage will be provided for items left behind unless pre-arranged. The Riverhouse assumes no liability for misplaced or forgotten items. Any packages unclaimed or left after one month will be disposed. A package will be defined as any item weighing at least two pounds but not exceeding 80 pounds. See below for important instructions when shipping more than 80 pounds. The Riverhouse cannot handle, transport, store or be responsible for AV equipment not rented through our Convention Services department (as requested through the PNCWA office). *For shipments over 80 pounds 1. Delivery time: With a high volume of business and limited storage space, deliveries over 80 pounds should be scheduled for no earlier than Friday 10/14. If possible, deliveries should be scheduled for Monday 10/17 for oversized items. 2. The Riverhouse needs to be asked/notified of any incoming shipments over 80 pounds. Due to limited storage space, if there is a high demand for oversized shipments, we may need to cap the amount The Riverhouse will receive. Transport of item(s): The Riverhouse will not be responsible for transport between truck, loading dock, storage area, and exhibit site of oversized or overweight packages or pallets. While that is not to say we may not be able to offer our services, our ability to do so will be dependent on the particular item(s). 4. A pallet jack will be provided. Shipping from the Riverhouse: You must fill out and turn in the attached form to the Convention Center Sales Office (near lobby at top of stairs) 1) Packages cannot be shipped COD 2) Please package your items in an acceptable format specific to your carrier. 3) Please complete your own shipping form and attach to your goods. 3 The Riverhouse on the Deschutes Convention Center Vendor Rules & Regulations LOADING/SETUP AND UNLOADING/TEARDOWN All vendors must use our designated loading areas. Please do not park/block front entrance. Do not park in Handicapped or Red Zone areas. Loading/unloading and setup/teardown times are pre-arranged by the group and the Riverhouse. Vendors are required to break down and clean up all of their supplies and accessories at the conclusion of the event. All items borrowed or rented from any vendors and/or rental companies not affiliated with The Riverhouse must be removed immediately following the event. A per hour clean up charges will be applied excessive clean up after any vendor. POLICIES Signage Only free-standing materials are allowed. Nails, push pins or fasteners may not be used to hang signs or other materials on walls, ceilings, or light fixtures. The removal of fixtures or alterations to the rooms is not permitted. No signage is allowed on the guest floors, elevators or hotel lobby. Any signs, banners or graphics that display over and above the normal height of the pipe and drapes of the booth may not exceed 11 feet at the top of the sign, and must be free standing with any sign stands contained within the designated display area in such a manner that stands may not occupy space in the common aisle areas. Any banners or signage must be reasonably set back from adjacent booths so as not to block other exhibits or similar banners. The Manufacturers and Exhibitors Committee Chair has final approval of all such signage issues. Miscellaneous Vendors need to bring all necessary equipment for setting up their booth/table. If Riverhouse equipment is needed, appropriate fees will apply. A pallet jack will be provided. If you will require a forklift, contact nancluss@pncwa.org by 10/10/16. Additional charges may apply. No Food & Beverage is allowed to be distributed without prior written approval from the Riverhouse. The Riverhouse does not assume responsibility and is not liable for any damages or losses of any merchandise, samples, equipment or any good or personal property exhibited, displayed or left at The Riverhouse prior to, during or following the event. The group will be responsible for any damages and/or losses to Riverhouse property and/or other guests property during the event(s), which are caused by the group or any of the group s employees, agents, guests, vendors or other persons attending the event(s).
