We encourage you to utilize this great opportunity to develop new connections or strengthen existing ones. Showcase your products and services to many of the area s existing and potential customers in the energy generation industry and more. Each year, regional industry professionals and front line employees look forward to supporting this professional development opportunity. With more than 315 booth spaces available, the conference exhibit hall changes each year with a diverse group of exhibitors from across the country. Online exhibitor registration will be open from Wednesday, October 11 through Friday, December 15 (or sell out, if earlier). There are plenty of booths available, but we encourage you to register early while the best spots are available. Get ready by visiting the website at egcnd.com for registration details. In addition, two levels of sponsorships are again available, which will help you gain additional exposure for your company with conference participants. Last but not least, don't forget to check out our conference app. As details are confirmed, we will continue to update the platform. It's great way to start reviewing conference sessions before the participant registration brochure is even out. 3 The only way to register as an EGC exhibitor is through our online registration system. Registration dates are Wednesday, October 11, 2017 (8 am CT) through Friday, December 15, 2017 (or sellout). REMINDER: The individual that registers your company is not automatically registered for the conference. An will be sent in late December collecting the names of your complimentary booth representatives. NEW EXHIBITORS RETURNING EXHIBITORS In mid-september, an with the username and password for each company will be sent to the contact person for each of our 2017 exhibitors and sponsors. Bismarck State College is part of the North Dakota University System, so many of the terms used on the registration site refer to student. This term refers to anyone registering for the Energy Generation Conference. We strongly recommend that the person registering your company, is the person setting up the registration profile for your company. That person will also be listed as the contact for your company in the conference program book. Profile setup can be completed any time before the registration opens. We recommend that you complete this step early. 4 IMPORTANT DETAILS: PLEASE READ CAREFULLY REGISTRATION IS AVAILABLE ONLINE ONLY! Wednesday, October 11 (8 am CT) through Friday, December 15 (5 pm), 2017 Booth space is assigned in order of time and date of your completed online registration. Registration is limited to four booths per company. Booths will not be held without payment. Exhibit Hall. Participants must be present to win. Complimentary representative information will be collected via in December Sponsor complimentary representative information also will be collected via in December You are not automatically pre-registered for the 2018 conference if you attended in If your company purchases four booths in one transaction, all booths will be listed in program materials under the company that completed registration. You will not automatically be registered for a booth if you become a sponsor or speaker. We make every effort to honor your location requests, so please list several options. No motorized vehicles or trailers will be allowed in exhibit booths. If you are unable to participate as a vendor in the show, we ask that you do not host a hospitality suite during show hours. The Energy Generation Conference committee reserves the right to evaluate company booth requests on an individual basis, as deemed appropriate and/or necessary. The Bismarck Event Center does not furnish extension cords they are available for purchase at the prevailing rate. If accepted into the show, your company contact person will receive notification (and booth number) by on or before Friday, November 27, Door prize drawings will be allowed in exhibitor booths. Each exhibitor will be responsible for awarding their own prizes. Participants will have the opportunity to win large door prizes on Wednesday and Thursday during lunch in the Hotel accommodations are available on the website at egcnd.com. Trailers will not be allowed to park in the East and West lots adjacent to the Bismarck Events Center. If you park there, you will be asked to move. Trailer based exhibits are not allowed to park or be open for viewing in the East and West lots adjacent to the Exhibit Center. You will be asked to move. See website for Map details. BOOTH CANCELLATIONS: Notifications must be made in writing to BSC Continuing Education & TrainND. Notifications received by December 1, 2017, will be charged 25% of the total registration fee. December 2, 2017, through January 5, 2018, will be charged 75%. Cancellations received January 6, 2018 or after will forfeit the entire booth registration fee. QR CODES ARE BACK! QR codes will be returning to participant and exhibitor name tags in These codes will be linked to contact information for each individual participant, which can be scanned via smart device into your contact list. 5 JOBBERS MOVING & STORAGE CONVENTION FREIGHT SERVICES All exhibits arriving and/or departing via freight carrier must utilize Jobbers Convention Freight Services. Exhibitors bringing an exhibit into a show on the movein date for their event, are also responsible for removing that exhibit from the Bismarck Event Center. No freight carriers are allowed by the Event Center to deliver to, or pick up from the Bismarck Event Center. Pre-registration is required for Convention Freight Services Order form Credit card form Outbound material handling form Freight carrier s out-bound bill of lading Log onto jobberswarehouse.com/cfs to request your password and register Provide us with your name, company name, telephone number and address Then select your event from the drop-down menu Click on Submit Your password will be ed to you with instructions to access and register for Convention Freight Services EQUIPMENT Any single piece of equipment in a vendor s booth cannot exceed the length of four booth spaces. TEARDOWN Teardown begins at 3 p.m., Thursday, January 25, and must be completed by 5 p.m. Exhibits will be picked up by Jobbers Moving & Storage and returned to Jobbers warehouse following teardown. Jobbers Moving & Storage will remove all convention freight from the Event Center by end of day, January 26. After that point, each exhibitor is responsible for making shipping arrangements to remove freight from Jobbers warehouse with local trucking firms. Please be sure to make arrangements with the trucking firms prior to the conference. It is the responsibility of each vendor to have the freight bills sent to your company. Do not bill the Event Center for your freight. DISPLAY MATERIAL SHIPMENT The Bismarck Event Center will not accept conference shipments prior to the conference start date. Only hand carried items brought in by the exhibitor will be accepted on move-in day. SETUP Begins Tuesday, January 23 starting at 9 a.m. and must be completed by 4:30 p.m. to accommodate the Exhibitor Showcase Social. The social will run from 4:30-6 p.m. in the Exhibit Hall. ADDITIONAL SERVICES/EQUIPMENT Any additional costs associated with booth setup are the responsibility of the vendor. The Bismarck Events Center will contact all confirmed vendors for additional equipment requests once booth assignments are confirmed. 5
