LOADING DOCK AREA Level 4 Loading Dock Area 855 rue Jean-Jacques-Bertrand Quebec City (Quebec) G1R 5V3 Trailer trucks must not exceed 13 6 in height and 53 in length. Parking is not allowed at the loading dock area.. Only loading and unloading is allowed; vehicles contravening this rule will be towed. 2

3 PARKING The Convention Centre is adjacent to several underground parking garages located at Place Québec (accessible via street Saint-Joachim), at the Marie-Guyart Complex, at Place Haute-ville (underneath de Delta hotel) and finally, the D'Youville parking (Place D'Youville). All these parking options are connected by underground corridors for easy access. All parking's are opened 24/7 (see Parking Plan in customer Guide). During weekdays, it is strongly recommended to use sustainable transportation (carpool, public transport, Parc-O-Bus) due to high traffic activities in the area and several restoration work. For more information, please visit the Centre des congrès de Québec website. Parking on Promenade Desjardins is forbidden at all times. QUEBEC CITY CONVENTION CENTRE SERVICES A service counter at the site can take care of last-minute needs at the going rate. However, the complete range of services may not be available. EXHIBITORS STANDS 3 PACKAGES ARE OFFERED: Depending on your application form, you have previously selected one of the following 3 options: PACKAGE 1: White Curtains Without carpet The 10-foot by 10-foot stand includes white curtains walls, 1 identification sign, 1 table with tablecloth, 3 chairs, 1 wastebasket, 1 high-speed wireless Internet connection and one 15A electric plug, as well as the maintenance of merchandise and storage during the event. PLEASE NOTE THAT NO LIGHTING and NO CARPET IS PROVIDED. YOU MUST PROVIDE YOUR OWN OR RENT THEM BY FILLING OUT THE GES ORDER FORM. OR PACKAGE 2: White Curtains With carpet The 10-foot by 10-foot stand includes white curtain walls, 1 identification sign, 1 carpet, 1 table with tablecloth, 3 chairs, 1 wastebasket, 1 high-speed wireless Internet connection and one 15A electric plug, as well as the maintenance of merchandise and storage during the event. 4 PACKAGE 3: White Rigid Walls With carpet The 10-foot by 10-foot stand includes white rigid walls, 1 carpet, 1 lighting rail, 1 identification sign, 1 table with tablecloth, 3 chairs, 1 wastebasket, 1 high-speed wireless Internet connection and one 15A electric plug, as well as the maintenance of merchandise and storage during the event. ** NEW** Possibility to add lighting on booth with curtain structure (see show registration form). EXHIBITION SERVICES MediaSystems exhibition services have been mandated by ASM/MRV for the rental of stands, furnishings, potted plants, and manpower. For safety reason, exhibitors are not authorized to carry out their own storage by themselves. No empty cardboard boxes or packing cases are allowed inside or behind stands. Please pick up the storage labels at the Convention Center service desk to identify your material in storage. OFFICIAL CARRIER AND CUSTOMS BROKER The official carrier and customs broker of the QC Convention Centre is the following company: Dolbec International Inc. At this time, no handling fee or pre-event storage will be charged to the exhibitor if the storage period does not exceed five (5) business days (certain conditions apply). 4

5 IMPORTANT INFORMATION: At the end of the move-out period, any unclaimed material by the carrier or the exhibitor's courrier will be automatically supported by the official carrier of the Québec City Convention Centre, Dolbec International, and all charges will be billed to the exhibitor. See the document " Procedure for exhibitors move-out" handed on site during the trade show. Exhibitors using delivery services such as FedEx, UPS, DHL, or others must ensure that customs fees, taxes, etc., are paid in advance. Any merchandise sent C.O.D. will not be accepted by the Convention Centre. In certain cases, delivery services do not declare that fees are to be paid by the sender when received, and the Quebec City Convention Centre may receive an invoice 30 to 90 days after the end of the fair. In this situation, the exhibitor will be re-billed with added administration fees. EXHIBITORS MOVE-OUT INSTRUCTIONS Exhibitors who handle their exhibit material by themselves during the teardown and use their own vehicle must: 1. Wait until the Québec City Convention Centre staff move their empty containers back to their booth only after the decorator has removed the carpeting from the aisles. 2. Pack their exhibit material. 3. Move all exhibit material (and not only a part of it) to the loading dock with a 4-wheel dolly or ask a QCCC handler s or forklift truck operator s assistance. 4. Advise the dockmaster, who will provide them a ticket confirming that their complete exhibit material is ready for loading. 5. Leave their exhibit material on the loading dock before getting their vehicle. 6. Line up at the entrance of the loading dock and show their ticket to the traffic attendant, who will direct them to a door inside the loading dock as soon as a door becomes available. 7. Park their vehicle and promptly load their exhibit material. 5

7 FOOD AND BEVERAGE SERVICES Capital HRS Inc. is the Convention Centre s exclusive food and beverage partner. Only Capital HRS is authorized to hold or serve alcoholic products inside the Centre. Any alcohol coming from outside the Convention Centre, even for personal purposes, is prohibited. If you would like to distribute, sell or hand out food samplers in your booth area, you must request beforehand an authorization from Centre management and its exclusive F&B partner, Capital HRS. Capital HRS Maryse Roy Telephone: maryseroy@convention.qc.ca Order form : Liabilities and Restrictions The following liabilities and restrictions apply to exhibitors and their employees during exhibition setup and teardown. LIABILITIES Insurance Exhibitors must have their own liability insurance. The Quebec City Convention Centre or its agents are not liable for bodily harm or material damage to merchandise, stands, equipment or decorative elements caused by fire, water, or theft in the rented premises or during transfers in the building, and in this last, whatever the cause may be. Recycling and waste collection Exhibitors must use the various facilities placed at their disposal for recycling (paper, cardboard, glass, plastic) during set-up/teardown and the event itself. Selective collection procedures other than those mentioned above may also be imposed. Trash containers must be placed outside the stands every evening at the closing time of the fair and will be emptied by the staff of the Quebec City Convention Centre, free of charge. Trash containers (wastebaskets) left inside stands will not be emptied. 7

8 RESTRICTIONS Common areas Exhibitors must at no time block corridors, elevators, escalators, lobbies, video monitors, plasma screens, or the emergency exits of the Convention Centre or any of its rooms. Animals Stickers Balloons and confetti Alcohol consumption Children Fire The Quebec City Convention Centre must authorize the presence of animals. Only assistance dogs are given unrestricted access. The Centre strictly prohibits all types of stickers. Your event coordinator must authorize the use of helium balloons in advance. Fees will be charged for the recovery of any of your balloons that remain on the ceiling when your activity is over. The use of confetti, glitter, or spangles is prohibited. To lower the risk of accidents, unless a specific agreement is entered into with the Quebec City Convention Centre, no alcoholic drinks are allowed during the mounting and dismantling of stands. For safety reasons, the presence of children at the loading dock area and in the exhibition, hall is not recommended during the installation and dismantling of booths. Exhibitors must comply with fire prevention rules. No other food or beverages can be distributed, sold or given without written authorization by the Conference Centre management or Capital HRS. Exhibitors must comply with fire prevention rules. Consult the document Safety measures and fire prevention available at The Centre offers general site security on a 24-hour basis. However, the Centre is not responsible for goods and property belonging to the exhibitors in rented 8
