1 FOOD VENDOR APPLICATION All Food Vendors must fully comply with the guidelines, terms and conditions outlined within this document. In instances where Food Vendors do not adhere to the agreement, the contract will be terminated and privileges cancelled immediately without a refund. APPLICATION PROCESS Due to a high volume of interest in participating as a Food Vendor at the University of Waterloo Canada Day Celebration, all applications need to be submitted on or before Friday, May 4, 2018 by 5 p.m. Late applications will only be considered if space remains. Please DO NOT make the assumption that by submitting an application you are confirmed as a participating vendor; any vendor accepted to participate will be notified by letter of confirmation. Notification will also be sent to all Food Vendors who are declined as participating vendors. SELECTION CRITERIA First consideration will be given to those Food Vendors applicants with self-sufficient vending units (i.e. food trucks / trailers, and other mobile street food-vending units), and with the capacity to serve a large volume of high quality menu items over a six (6) hour period. All applications are subject to selection by the University of Waterloo Canada Day Celebration Committee. ALL DECISIONS ARE FINAL AND NON NEGOTIABLE. VENDING UNIT CONTENT Application information must accurately reflect vending unit content. The vendor acknowledges that the University of Waterloo Canada Day Celebration is a family-oriented event and agrees that any products sold will be suitable for all ages and free of any content that may be deemed inappropriate for a diverse, multi-cultural and multi-generational audience. Event organizers reserve the right to prohibit the display and/or distribution of materials they alone deem illegal, obscene, or otherwise offensive. Event organizers may limit the number and location of same kind vendors. All vending units must maintain high standards of appearance at all times. VENDOR SPACE Each vendor space is 1 contained food truck/trailer unit (with no additional car parked at the site) or in the event that a tent is permitted, the tent/vendor footprint on the field must be no bigger than 12 x 12 (with no additional car parked at the site). If your setup requires space beyond the identified allocation, participating Food Vendors will be required to indicate the additional space needed within the application form. Please note, there will be an additional fee charged to vendors who require more space, calculated based on incremental footprint used. ASSIGNMENT OF SPACE BY USE OF OTHERS The allocated Food Vendor space is to be occupied by the vendor that has the agreement with Event Organizers; therefore, the applicant is not permitted to extend/share a Food Vendor space with other organizations unless the event committee is aware and in agreement of such arrangements.

2 SCHEDULE OF VENDOR HOURS (SET-UP, EVENT HOURS AND TEARDOWN) Food Vendors are required to be present on site throughout the stated event hours from 4 p.m. 10 p.m. Set-up will begin at 11 a.m. on July 1, 2018 and MUST be complete by 3:30 p.m. on July 1, A vendor location will be assigned by a University of Waterloo representative. Do not assume that you can choose your own spot. Tear down will begin immediately following fireworks and should be complete by 1 a.m. on July 2, Please note, Food Vendors are not permitted to depart from the event location until all patrons have departed the venue. Set-up and teardown outside the specified hours is not permitted. In addition, generators need to be silenced and bright lighting dimmed at all Food Vendor spaces during the 10:00 p.m. fireworks display. PARKING All vehicles that are connected with a Food Vendor space must park in the appropriate designated parking locations identified for the event. REGION OF WATERLOO PUBLIC HEALTH REGULATIONS & CLEAN UP All Food Vendors are required to comply with all Region of Waterloo Public Health regulations pertaining to hand washing, food handling, cooking, temperature control, storage, sanitation and other safeguards against food spoilage and contamination. ROWPH: ements.pdf All Food Vendors are responsible for the clean up of items and garbage accumulated within their designated area. Please ensure that the event grounds within the designated Food Vendor space are left in the condition that was provided at the time of arrival. UTILITIES Generator power will be the responsibility of each vendor, no power will be provided by the event organizers. SIGNAGE Food Vendors are encouraged to display signs that identify their operation to the attendees. Event organizers hold the right to request the removal of signage if it is deemed to be inappropriate or unprofessional in nature. Signs should be placed in such a way that they do not interfere with other vendors. INSURANCE All applicants will provide the University of Waterloo with a general liability certificate of insurance of at least $2 million and include the University of Waterloo as additional insured. If vehicles are being driven on University of Waterloo property, applicants will also provide the University of Waterloo with owned and/or non-owed automobile certificates of insurance of at least $2 million.

3 PAYMENT AND CANCELLATION Please ensure that payment in the form of a cheque is included with your application. Please make cheques payable to the University of Waterloo. Please note, if a Food Vendor application is denied your submitted cheque will be returned to the address provided in the application. Vendors are able to cancel their participation by giving written notice to event organizers on or before Thursday, May 31, 2018 at 5 p.m. It is important to note that refunds will not be issued for cancellations that occur after Friday, June 1, 2018 by 5 p.m. Failure to comply with any of the terms, conditions, rules or regulations outlined on this application shall constitute an automatic termination of this agreement whereupon the Applicant immediately shall remove the exhibit and articles from the premise and, at their own expense, restore the premise to its original condition. Failure to submit all items may result in a declined application. Completed Application Form Copy of Liability Insurance of at least $2 million and including the University of Waterloo as an Additional Insured. Copy of owned and/or non-owned automobile certificate of insurance of at least $2 million for all vehicles that will be driven on University of Waterloo property. Photos of vending unit and images of the products sold. Payment of a cheque in the amount of $500/space, made payable to the University of Waterloo. Please note that if your application is denied, your cheque will be returned to the address provided in your application.
