1 Job Title: Coordinator of Transportation, Warehousing, Wage/Hour Status: Exempt Inventory Control, Textbooks & Custodial Reports to: Director of Transportation, Warehousing, Pay Grade: AM 5 Inventory Control, Textbooks & Custodial Dept./School: Transportation Date Revised: 06/2012 Primary Purpose: Assists in district s transportation and vehicle maintenance program. Assists in overseeing maintenance of all district-owned vehicles. Assists in ensuring safe and efficient operation of transportation department. Assists in District Inventory Control activities that include tracking of the shipping and receiving of freight for the District. Assists in working in collaboration with the Campus Principals managing the districts Custodial operations. In the absence of the director, is responsible for departmental functions and supervises daily administrative routines. Qualifications: Education/Certification: Bachelor s degree Special Knowledge/Skills: Knowledge of energy management and vehicle repair and maintenance Ability to manage budget and personnel Ability to coordinate district function Ability to implement policy and procedures Ability to interpret data Strong organizational, communication, and interpersonal skills Must have proven warehousing experience in establishing and utilizing a computerized inventory tracking system in addition to knowledge of Microsoft Office Experience: Three years supervisory experience in warehouse and inventory Major Responsibilities and Duties: Routes and Schedule 1. Assists in preparing and updating bus routes and schedules for all schools in district and assists in developing plans to meet future transportation needs. 2. Assists in coordinating transportation for extracurricular activities and special programs. 1

2 3. Assists in responding to after-hours emergency calls as needed. Operate bus and deliver buses to drivers when breakdowns occur. 4. Notify bus drivers, schools, and public of any changes in bus routes and schedules. Policy, Reports, and Laws 5. Implement federal and state law, State Board of Education rule, and board policy in transportation area. 6. Compile, maintain, file, and present all physical and computerized reports, records, and other documents required in transportation area. 7. Assists in implementing district s student discipline policies and communicate to students expected behavior when using district transportation. 8. Enforce safety standards that conform with state, federal, and insurance regulations and develop a program of preventive safety. 9. Develop training options and improvement plans to ensure exemplary operation of transportation department. 10. Comply with applicable personnel policies. 11. Assists in preparing data necessary to process transportation payroll. Vehicle Maintenance and Repair 12. Direct repair of all district-owned vehicles and oversee plans for preventive maintenance. 13. Process vehicle repair requests and prioritize work orders. Contract for services that cannot be performed in shop. 14. Monitor fuel deliveries and distribution. Budget and Inventory 15. Assists in compiling budgets and cost estimates based on documented program needs. 16. Assists in administering transportation budget and ensure that programs are cost-effective and that funds are managed wisely. 17. Assists in initiating purchases and bids in accordance with budgetary limitations and district policies. 18. Assists in maintaining current inventory of supplies and parts to avoid ordering delays. 19. Assists in approving and forwarding invoices for transportation, warehouse, inventory control, textbooks, and custodial to accounting department. 20. Assists in recommending disposal of obsolete or worn out vehicles and equipment. 21. Assists in directing and managing warehousing inventory activities and activities of employees engages in inventory control 2

3 22. Assists in replenishing inventory as required by service departments, District Central Office orders and/or Schools while minimizing inventory, carrying cost, waste and pilferage 23. Assists in recommending measures to improve methods, performance, and quality of product or service, and suggests changes in working conditions to increase efficiency 24. Assisting in comparing inventories taken by other workers with office records or computes figures from purchasing and accounting of equipment, furniture, and textbooks to obtain current theoretical and physical inventory 25. Assists in verifying clerical computations against physical count of inventories and adjusts errors in computation or count or investigates and reports reasons for discrepancies 26. Assists in directing and supervising inventory clerks who compile records of amount, kind, and value of merchandise, material or stock on hand in district or department of district 27. Assists in directing and supervising the following duties: Counts stock, material or merchandise on hand and posts totals to inventory records. Compares inventories taken by other workers with office records or computes figures from equipment, shipping, distribution, purchase or stock records to obtain current theoretical inventory. Verifies clerical computations against physical count of stock and adjusts errors in computation or count, or investigates and reports reasons for discrepancies. Compiles information on receipt or disbursement of goods and computes inventory balance, price, and costs. 28. Assists in preparing reports of inventory balance, prices, and shortages 29. Assists in establishing operational procedures for activities, such as verification of incoming and outgoing shipments, handling and disposition of materials, and keeping warehouse inventory current 30. Assists in inspecting physical condition of warehouse and equipment and prepares work order for repairs and requisitions for replacement of equipment. 31. Assists in conferring with department heads to ensure coordination of warehouse activities with such activities as deliveries, maintenance of schools for repairs/minor construction, records control, and purchasing 32. Assists in directing salvage of damaged or used material 33. Assists in directing, supervising and coordinating activities of workers engaged in receiving, transporting, stacking, order filling, shipping, and maintaining stock records in warehouse. 34. Assists in directing and supervising labeling and casing or packing of materials or textbooks 35. Assists in conducting inventory of physical equipment and supplies 36. Assists I preparing annual forecasting for staffing, equipment and campus supply budget Custodial 37. Assists in developing and maintaining written departmental procedures for the custodial operations 38. Assists in inspecting each building and conferring with the campus principals regarding custodial work 39. Assists in training, coordinating and providing technical direction in all phases of custodial duties 3

4 40. Assists in conducting cleaning product evaluations and makes recommendations for purchase 41. Assists in overseeing repair and condition of all custodial equipment Student Management 42. Assists in reviewing student behavior reports and conduct conferences with parents, students, and drivers on disciplinary issues. 43. Assists in enforcing student discipline and suspension of riding privileges for any student who violates rules and regulations. Personnel 44. Assists in assigning bus drivers to routes and find substitutes as needed. 45. Assists in recruiting, training, supervising and evaluating all transportation personnel and make sound recommendations about placement, assignment, retention, discipline, and dismissal. 46. Assists in preparing, processing, and maintaining all documents required to verify safety certification and alcohol and drug testing of bus drivers. 47. Assists in preparing, reviewing, and revising transportation department job descriptions. 48. Assists in evaluating employee job performance to ensure effectiveness. 49. Assists in analyzing and resolving work problems and assists employees in solving work problems 50. Assists in interviewing, recommending for hire, training staff, evaluating employee performance, issues warehouse work assignments, and recommending or initiating promotions, transfers, and disciplinary action 51. Assists in training new workers to ensure continued effective efficient performance Safety 52. Assists in advising administration about inclement weather conditions that may result in the closing of schools or road hazards. 53. Assists in gathering information in investigations of school bus accidents and student safety violations. 54. Assists in organizing and conducting training programs to promote a safe work environment. 55. Assists in ensuring that transportation equipment is in excellent operating condition. 56. Assists in performing disaster duty as needed (hurricanes, earthquakes, blizzards, etc.) 57. Assists in interpreting company policy to employees and enforces safety regulations 58. Assists in in planning personnel safety and warehousing-protection activities Other 59. Attend and make presentations at conferences and school board meetings to discuss innovations and problems in transportation in the absence of the Director 4

5 60. Attend professional growth activities to keep abreast of innovative techniques in transportation in the absence of the Director 61. Maintain good rapport with parents and community. 62. Perform other duties as assigned in the best interest of the school district Supervisory Responsibilities: Assists in supervising and evaluating performance of shop foreman, dispatcher, parts manger, bus drivers, bus aides, and transportation and warehouse secretaries, custodians, warehouse staff, fleet scheduler, bus trainer Working Conditions: Mental Demands/Physical Demands/Environmental Factors: Frequent district wide travel; frequent prolonged and irregular hours; ability to conduct on-site inspections of all vehicle repair and maintenance operations. Work is done inside and outside 2 separate warehouses with excessive heat, cold, humidity, dust, and harsh conditions existing at varied times. In addition, professional office work environment is expected.
