5 1 General information of the actual message and the scope of its application 1.1 Usage of the message and its restrictions on use This document contains message implementation guidelines of a subset of UN/EDIFACT (United Nations Electronic Data Interchange for Administration, Commerce and Transport) DESADV (Despatch advice message) based on the directory D.14A. The message is used to send despatch advice or packing list information from a consignor to a consignee. The message defined in this document is meant only for transmitting despatch advice or packing list information. If there is a need to cancel some information of the despatch advice or packing list message sent earlier or replace with an entirely new message, it has to be done so that the cancellation message is sent first and after that the replacing despatch advice or packing list information. There has to be an agreement between the business partners about the electronic despatch advice or packing list cancellation procedure before it can be realized. There are certain data elements in this message document that can be found on both header and row levels. If the data item is defined on the header level it affects the whole message. However if the same data item is also defined on a row level it will overrule on that row the definition given on the header level. This document was made by Bestfact in the subproject Simplifying Standard Message Exchange for increasing the usage of electronic procedures in logistics. The subproject began on the 1 st of December 2014 and ended on the 30 th of June This document was created by the Finnish Information Society Development Centre (TIEKE). The purpose of this document is to increase the willingness of the companies to take electronic data interchange into use, to accelerate information system development processes and to decrease costs of information system integration by creating a common international recommendation for exchanging despatch advice or packing list information. The aim of this document is also to decrease the needs of companies to create their own specifications that are not compatible with the universal message standards. Another aim is to speed up adoption of new ways to exchange information between companies and also to insure and improve competitiveness of the companies. This document is meant to be a guide in the negotiations between business partners that want to start using electronic data interchange between each other. The document can also be used in the development work of existing information systems. This document is created for the use and the needs of managers who have negotiations with their business partners and information technology specialists developing the data systems and electronic data exchange of the company. 1.2 Contents Page 5 Date of release: Version: 1.0

6 Chapter 1 General information of the actual message and the scope of its application describes the usage of the message defined here. It also presents the application restrictions. Chapter 2 The actual guideline and its connection to other documents lists the most important prerequisites and some other useful sources of information for the reader of this document and presents the update information of this document. Chapter 3 The work process to which the message relates presents the business process in which the message presented in this document relates to with the related parties and their activities. Chapter 4 Data content of the message presents the information of the despatch advice message as a list and it also defines the mandatory and optional elements. Chapter 5 Structure of the message presents the structure of the UN/EDIFACT DESADV D.14A message with segment lists and a diagram. There are two segment lists in the chapter. The first one presents the segment structure of the entire message. The second list presents segments contained in this guide. The structural diagram presents only the segments the usage of which are introduced in this document. Chapter 6 Definition of the message presents the structure of the header level and the row level and it describes the usage of segments, elements, and codes. Chapter 7 Message examples gives some examples of the usage of the DESADV despatch advice message. Chapter 8 Appendixes presents the most important code lists for the codes used in the message which cannot be presented in the chapter 6,the presentation of the service segments UNA, UNB and UNZ, the mapping table between the used elements of the UN/EDIFACT message and the correspondent used elements of the UBL/XML message as a separate excel document, a table as a separate excel table containing the used data elements of the actual message so that companies can map their own database elements with the elements of the message. UN/EDIFACT is a syntax and a message dictionary which presents the form, the structure and contents of the message. 8 3 The work process to which the message relates 3.1 Scope of the Process In this process description only the despatch advice exchanging process is described. The despatch advice is transmitted electronically as an UN/EDIFACT DESADV message between the parties. The activities in the process prior to the despatch advice exchanging, for example making the sales contract or requesting for quotation and ordering, have been left out of the description. Activities occurring later in the process e.g. invoicing have also been left out of the despatch advice exchanging process description. 3.2 Parties in the Process The following table presents the parties involved in the despatch advice exchanging process. Party Consignor Role The party that prepares the consignment. The party that is the originator of the consignment and the despatch advice information. The party that sends the despatch advice message. The party that sends the goods. Consignee The party that receives the despatch advice message. The party that processes the information of despatch advice message. The party that compares information of the despatch advice message and the information of the waybill message received from the carrier. The party that receives the goods. The party that compares information of the despatch advice message and the goods received. The creating and sending the accepting acknowledgement is out of the scope of this process description. The consignee notifies the consignor about the descrepancies between the despatch advice message information and the consignment in a way that is agreed upon. 12 4 Message Document Content Specification The following table represents the list of information of the despatch advice message. In the third column there are also the identifiers of the segments in which the actual piece of information is situated in the message. There is a linkage to the actual segments in the chapter 6 Definition of the message in the fourth column. The fifth column descripes the obligatoriness of the piece of information in the despatch advice message. The receiver of the message can use the information sent by the message issuer according to the extent to which their information system is capable to handle the data. Therefore the receiver of the message must not save all the data that is received and classified as optional. However the sender of the message is obliged to send all the information that is classified as mandatory and the receiver has to handle and save all this information in to their information system. 42 6 Definition of the message The element and segment lists used as the basis for these message implementation guidelines are defined in UN/EDIFACT directory D.14A. In this section each used segment is presented as it is described in the UN/EDIFACT DESADV D.14A message. The segments are presented in the order they are defined in the UN/EDIFACT DESADV message definition. The occurrence of the segment groups are presented in the message definition. The instructions after the element name include a specification of the obligatoriness of the element, and the type and the length of the element in according to the UN/EDIFACT directory 14A. The recommendations for the use of the element according to these implementation guidelines can be found in the right most column of the table using the following notation: M C X Mandatory information ptional information Conditional (usage dependent on the usage of another element) Not in use This notation is used to clarify the usage of the elements. The type and the length of the elements are defined as follows: types: length: examples: - a = characters - n = numbers - an = characters and/or numbers - N = standard length -..N = varying length, maximum length N - a3 = three characters - an..15 = maximum 15 characters or numbers Negative numbers are expressed with a minus sign (-) in front of the number. Use of the plus sign (+) is not required. The decimal separator and plus or minus signs are not included in the length of the element. If there is an element in a segment the values of which are codes the codes are according to the code list of the UN/EDIFACT directory D.14A or UN/ECE. 43 These are guidelines that can be disregarded if needed. However, it is recommended that the receiver of a message can handle element values with the above mentioned decimals into their system. The decimals that are unnecessary or meaningless for the processing of the information should be left out. It is recommended that the decimal separator (a point or a comma) would be defined in the service segment UNA that is the first segment in a batch of messages exchanged in the same time. This identifier can be used later on for to track down the actual message. The values of the elements of the composite data element S009 tell to the receiver of the message that the message and its structures are according to UN/EDIFACT DESADV message and the directory used is D.14A. The constant used in the element 0057 tells that the message sent or received is according to these message implementation guidelines made in the Bestfact project Simplifying Standard Message Exchange. 46 6.2 Despatch Advice Identification Information (BGM) Segment: BGM Beginning of Message Position: 0020 Group: Level: 0 Usage: Mandatory Max Use: 1 Purpose: A segment for unique identification of the Despatch Advice document, by means of its name and its number. Notes: The segment states that this is a despatch advice message that contains the despatch advice information. The element C002/1001 indicated the type of the usage as the basis for the despatch advice message. The segment also tells the identifier for the despatch advice in the element C106/1004. It is recommended that the identifier used for the despatch advice message would be the same as the document number on the paper form despatch advice or packing list document if it is printed. The parties have to agree when and how the codes for the element 1225 should be used: 1 (Cancellation), 4 (Change), 5 (Replace). Change is meant for situations where one part of the original message document is substituted and by replace we mean that the new message document replaces the old one entirely. If the message document is meant for cancellation in which case the element 1225 has the value 1, only the number of the despatch advice message to be cancelled should be given. However, the parties should agree upon the time frame in which the change or the cancellation message can be sent. The element 4343 should have the value AB if an acknowledgement is required to be sent after receiving the despatch advice message.
