5 Sectin 2: Using the AAM Supplier Prtal fr External Pull Pre-requisites 1. Label Printing There are tw primary methds f printing labels frm the AAM Supplier Prtal: The Lftware Web Listener r PDF Abut PDF Label Printing: AAM has implemented a basic Internet label printing slutin t the isupplier Prtal applicatin. The isupplier Prtal enables AAM Suppliers t becme cmplaint with AAM's new Supply Chain Prcess. This slutin des nt replace ur Lftware Internet Label printing slutin. It is an additinal label printing ptin intended t help yu becme cmplaint with AAM's new Supply Chain Prcess. If yu are currently pursuing the Lftware Internet Label Printing slutin and are having technical r prcedural prblems, yu shuld cmply by using this Basic Internet Label printing slutin. PDF Label Printing Requirements: Adbe Reader The basic Internet label printing slutin prduces shipping labels in PDF frmat. Yu need t have the Adbe Reader installed t view, save and print the PDF based shipping labels. If yu d nt have Adbe Reader yu can get it here: Label Sheet Printer Stck The PDF based labels have t be printed using Label Sheet Printer Stck. The PDF files are frmatted t print 2 labels per 8.5x11 Label Sheet. Labels shipped n plain printer paper will nt be accepted. Suppliers are respnsible fr printing a label with a minimum scan grade quality f C r higher. If yu require assistance, the fllwing cmpanies can help yu btain apprpriate label stck: Aalstec Data Crp. 6 Disable any Web Brwser Pp-up Blcker If yu are using a pp-up blcker n yur web brwser yu may have t disable it fr ur site. Refer t yur pp-up blcker sftware fr disabling pp-ups fr ur site. AAM will nt be able t prvide assistance n turning ff yur pp-up blcker fr ur site. Versin 3.0 Page 6 f 37

7 Overview This dcument nly addresses External Pull requirements f the AAM Supplier Prtal. An update t this guide r a separate user guide will be develped t cver the ther features f the Prtal. The main pages fr handling External Pull Signals are utlined belw: 1. View Delivery Schedules The Delivery Schedules page allws yu t view yur new Pull Signals. This page als allws yu t split a pull signal that is t be shipped in multiple cntainers n the same pallet. The key feature f this page is selecting pull signals and adding them t the Wrklist. The Wrklist is an area where yu indicate additinal shipping infrmatin, print shipping labels and create the advance ship ntice (ASN). 2. Wrklist The Wrklist page allws yu t enter detailed shipping infrmatin fr each cntainer being shipped. Yu als use this page t print cntainer-shipping labels. Yu will specify the cntainer ship quantity, cntainer license plate number (LPN), returnable cntainer number, heat number and lt number. 3. Packaging The Packaging pages allw yu t create a package (GTPL-B/GTPL-C labels). 4. Shipment Ntices The Shipment Ntices pages allw yu t create, view, and cancel advance shipment ntices (ASN's). 8 Nrmal Task Wrkflw The high-level wrkflw fr handling pull signals is: Delivery Schedules 1. Find new pull signals n the Delivery Schedules page. 2. Add the new pull signals t the Wrklist. Wrklist 1. Specify the ship quantity per cntainer. 2. Optinally specify the Returnable Cntainer Number, Heat Number and Lt Number. 3. Print cntainer-shipping labels. Packaging 1. Create a package by chsing which cntainers frm the Wrklist g int the package. Packaging is nly required if yu ship mre than ne cntainer n a pallet Print packageshipping labels. Shipment Ntices 1. 9 Sectin 3: Getting Started Printer r PDF Setup As mentined abve in the pre-requisites sectin, befre using the AAM Supplier Prtal yu shuld have cmpleted the Lftware Web Listener Installatin and cnfiguratin if yu plan n using the Lftware Web Listener. If nt please cmplete thse steps befre cntinuing. 1. T change yur default barcde printer click n the Printer link at the tp f the page: 2. In the Label Output Optins drp-dwn yu will see the fllwing: PDF - Chse PDF if yu plan n printing labels using the PDF frmat. Nne - Chse Nne if yu plan n printing labels utside f the isupplier Prtal Printer Aliases - If yu requested t be setup fr the Lftware Web Listener yu will see yur printer aliases twards the bttm f the list. Select a Label Output Optin frm the drp-dwn list and either click the buttn t save the changes r the buttn t save yur changes and print a test label. Versin 3.0 Page 9 f 37

10 If yu have chsen a Lftware Web Listener printer alias and clicked the buttn a test label shuld be printed n yur barcde printer. If yu have chsen PDF and clicked the Apply Changes & Print Test Label buttn, the fllwing pp-up will display. If the pp-up des nt display verify that yu d nt have a pp-up blcker enabled n yur web brwser. The cntents f the abve pp-up will sn be replaced with a PDF file f ur test label. Please nte this can take a few secnds t several minutes depending n the number f labels yu are printing. Yu are nw setup t use the Basic Internet Printing slutin. Anywhere in the isupplier Prtal applicatin where yu print labels, a PDF f the label will display. Use the Adbe Readers save and print icns t save and/r print the files n label sheet stck. 11 Preferences 1. T change yur passwrd, date frmat r number frmat click n the Preferences link in the upper right crner: 2. On the Preference page yu can change yur passwrd, date frmat and number frmats that appear n the applicatin pages. When cmplete making yur changes click the buttn. Versin 3.0 Page 11 f 37

Lgging Off Lg ff the Supplier Prtal by click n the Lgut link. Navigatin Navigate t pages in the Supplier Prtal by clicking n the tabs. All f the External Pull pages fall under the Order Prcessing tab. After yu click n the Order Prcessing tab yu will see several sub-tabs display under the Order Prcessing tab. 13 Drp-Dwn Searches 1. Mst f the pages use drp-dwns t filter r search fr data. Yu will see Supplier Site n many f the pages - this is yur DUN's number(s). 2. Click n the drp-dwn t narrw search criteria. Fr pages related t External Pull, the drpdwns will nly display ptins fr which data exists. Fr example: If yu are lking at yur new rders and yu nrmally ship t Detrit Gear Direct and Buffal Gear Direct. If yu nly see Detrit Gear Direct in the drp-dwn it means that there are nly current rders fr Detrit and nne fr Buffal at this pint in time. 3. T display all data, d nt select anything frm the drp-dwns and click the buttn. 4. Sme search ptins are preceded by a blue asterisk ( ). This means that a value frm this drp-dwn must be selected t cntinue. Versin 3.0 Page 13 f 37

14 List f Value (LOV) Searches 1. Sme pages like the Delivery Schedules page use what are called List f Value r LOV Search cntrls. 2. Yu can either click n the buttn t display all recrds r click n the flashlight icn t display a pp-up windw that will allw yu t enter search criteria. If yu knw part f what yu are searching fr yu can use the fllwing shrt cut. Fr example, if want t display recrds fr Detrit Gear Direct yu can type 'det' in the input bx and press yur tab key. If a match is fund the wrd Detrit Gear Direct will display in the bx. This shrt cut wrks with all LOV with the flashlight icn. 3. If yu click the flashlight icn a pp-up windw similar t the fllwing displays: Yu can enter part f yur search criteria and click the buttn r just click the buttn t select everything. If yu want t wild card yur search use the % sign. Fr example: T search fr every Ship t Lcatin that ends in "Direct", enter %Direct and click g. Versin 3.0 Page 14 f 37

15 Sectin 4: Delivery Schedules Overview The Delivery Schedules page displays all pen releases. This page is the equivalent f what we transmit n DELJIT's t suppliers that are n EDI. This page will always shw yu yur new rders. Versin 3.0 Page 15 f 37

16 1. This page displays all new rders. This applicatin is designed s that yu can select new rders and begin t prepare the shipment. This page will als let yu begin t create a package using the Cntainers per Pallet field. Refer t the AAM GLOBAL TRANSPORT PARTNER LABEL (GTPL) LABELING & REQUIREMENTS dcument if yu need mre infrmatin regarding packaging. T add lines t the Wrklist, check them ff and click the buttn. This applicatin defaults t 25 rws per page. If there is mre than ne page f data yu will see the Previus/Next alng with a 1-x f xxx cntrl at the tp f the table if yu scrll t the end f the list using the Next link. Use these t navigate thrugh the result set. 2. Once a line is added t the Wrklist it will n lnger appear n this page. This feature as a way f separating new pull signals frm thse yu have seen befre. 3. Cntainers Per Pallet: This field is defaulted t 1 unless AAM Materials changes it t smething else. If it is set t greater than 1 then that pull signal will be split int the specified number f cntainers and the qty rdered will be divided ut amng the cntainers. Example 1: Pull Signal: Qty Ordered: 100 Cntainers/Pallet: 1 Results in ne shipment line fr 100 pieces Versin 3.0 Page 16 f 37

17 Example 2: Pull Signal: Qty Ordered: 100 Cntainers/Pallet: 2 Results in tw shipment lines with 50 pieces each. This will als autmatically generate a master package. Yu will have t print bth cntainer labels and the master package label. This assumes that yu physically ship pull signal in tw physically different cntainers cntaining 50 pieces each. These tw cntainers will be shipped n ne pallet. If the Cntainers per Pallet field is defaulted t 1 and yu nrmally ship the pull signal in 2 r mre cntainers yu can verride the Cntainers per Pallet and put in the crrect number befre adding the line t the Wrklist. 18 Sectin 5: Wrklist Overview The Wrklist allws yu t: Input the Ship Qty per line. Optinally enter the Returnable Cntainer Number, # f Returnable Cntainers, Heat # and Lt #. Print cntainer-shipping labels. Remve lines frm the Wrklist. Generate a new License Plate Number (LPN) Versin 3.0 Page 18 f 37

19 Data Input Cancel/Save The Save buttn wuld validate data and save any changes made n the line details. The Cancel buttn wuld rllback any changes made befre saving. Ship Quantity The Ship Qty is defaulted t the Quantity Ordered frm the Delivery Schedules page. Input yur actual Ship Quantity if what is displayed is different frm what yu are actually shipping. The sample belw shws Pull Signal 12443, which was split int 2 Cntainers Per Pallet. Tw lines were created when this recrd was added t the Wrklist. The pull signal rder quantity f 4500 is divided by 2 (cntainers per pallet). The buttn frm the Delivery Schedules page created tw lines having a ship quantity f 2250 each. Yu can verride the ship quantity if this differs frm yur actual ship quantity. Heat # / Lt # Heat # and Lt # can be typed int the prvided text bxes. Versin 3.0 Page 19 f 37

20 Returnable Cntainer Number If knwn, Returnable Cntainer Number can be typed directly int the prvided text bx. If yu d nt knw what it is yu can search fr it by click n the flashlight icn:. This will pen a pp-up search windw. Yu can search either by Returnable Cntainer Number r Returnable Cntainer Descriptin. Yu can wildcard the search by entering a percent sign arund yur search. Fr example %32% displayed all Returnable Cntainer Numbers that have 32 in them. Select the crrect rw and click n the buttn. The Returnable Cntainer Number nw displays in the prvided text bx. Enter the number f returnable cntainers per shipment line and click the save buttn. Versin 3.0 Page 20 f 37

21 Printing Cntainer Shipping Labels Select Rws and Print Select the rws yu want t print labels fr and click the buttn. If the labels printed successfully yu will receive a cnfirmatin. Als ntice that the label print status fr these lines is nw set t "Printed". Tw labels will print fr every line. Versin 3.0 Page 21 f 37

22 If any data is changed fr a previusly printed label the Label Print Status will change t "Invalid" as shwn belw. The Ship Quantity n this line was changed t 2200 frm This is t let yu knw that yu must print a new shipping label fr this line. The previus ne yu printed is nw incrrect and will nt reflect what is actually in the cntainer. Yu will nt be allwed t submit an ASN with cntainers that have an "Invalid" label print status. Remving lines frm the Wrklist Select Rws and Remve Select the rws yu want t remve and click the buttn. In the example belw Pull Signal S99652 is checked fr remval. Als ntice in the example that nly ne f the lines fr Pull Signal is checked. When the buttn is clicked it will actually remve 3 lines. Since Pull Signal is part f a split Pull Signal, bth rws must be remved. This Pull Signal cannt be shipped acrss multiple ASN's. Result: Versin 3.0 Page 22 f 37

23 Generate a New License Plate (LPN) LPN Yu are free t verride the prvided Cntainer LPN. If yu end up in a situatin where yu need t revert back t a valid LPN yu can select the rws yu want t create a valid LPN fr and click the buttn. Any previusly printed labels will nw shw as "Invalid". 24 Sectin 6: Packaging Overview The Packaging tab allws yu t: Create Master and Mixed Packages. Print Master and Mixed Shipping Labels. When this page is pened yu will be shwn a list f all f the packages that yu r the applicatin previusly created. The sample belw shws the master package that the system autmatically created when Pull Signal was split int 2 Cntainers per Pallet. T see what shipment lines make up this package click n the buttn. 25 Create Master / Mixed Package 1. Click the buttn. 2. Select a Ship t Lcatin and Supplier Site frm the drp-dwns and click the buttn. Ship t Lcatin and Supplier Site are mandatry drp-dwns because a package cannt be created fr mre than ne ship t/ship frm lcatin. Yu will see a list f all recrds in the Wrklist that are nt part already in a Package r ASN. Versin 3.0 Page 25 f 37

26 3. Enter a Package LPN r click n the buttn t autmatically create ne. 4. Select rws t add t the Package and click the buttn. 5. A cnfirmatin page will display. Versin 3.0 Page 26 f 37

28 Viewing/Editing a Master r Mixed Package 1. Click the buttn fr the line yu wish t view/mdify 2. All f the cntainers that are in the package are displayed. Frm this page yu can: Remve a cntainer frm the package Add additinal cntainers t this package Type in yur wn Package LPN and click t apply it. generates a new valid Package LPN. Detailed explanatins with examples are nt prvided fr each f the abve ptins. The prcess is similar t previus applicatin usage described in this guide. Versin 3.0 Page 28 f 37

29 Printing Master r Mixed Package Shipping Label 1. Select a line and click the buttn t print the shipping label. Tw labels will print fr every line. 2. The Label Printed Status will change t "Printed". 3. The Label Print Status fr a Master r Mixed label will change t invalid if any f the fllwing ccurs: Add/Remve cntainers frm the Package. Remve cntainer frm the Wrklist. Change the Ship Qty n a Cntainer. Versin 3.0 Page 29 f 37

31 Create Advance Ship Ntice 1. Select the Create Advance Shipment Ntices link. 2. Select a Ship t Lcatin / Supplier Site frm the drp-dwns and click the Search buttn. Yu can nly create ASNs fr rders that have the same Ship t / Ship frm lcatins. 3. A list f all packages and cntainers that have nt been added t an ASN is displayed. 4. T see what cntainers are in a package click n the buttn. 5. Select rws t add t the ASN and click n the buttn. Versin 3.0 Page 31 f 37

32 6. Enter the ASN Header infrmatin. Fields prefixed with the blue asterisk are required. Refer t the Entering Returnable Cntainer Number in the Wrklist sectin f this dcument fr instructins n hw t use the flashlight pp-up search windw. Optins n this page: will submit the ASN after validatin. T submit the ASN, yu must have printed cntainers/packages shipping labels as well as have entered valid ASN header infrmatin. will save the ASN withut submitting it nw. Yu can edit and submit it at a later time. If there were any errrs n the submissin yu shuld click the Save Changes buttn befre ging back t crrect anything. will cancel the ASN in prgress and return all rws t the Wrklist. will g back t the previus page. will remve the selected line(s) frm the ASN Versin 3.0 Page 32 f 37

33 Edit ASN's that have been started but nt submitted 1. Select the Edit Advance Shipment Ntices Nt Submitted link 2. Yu will see a list f all f yur saved ASN's. Frm this page yu can d the fllwing: Click n the Shipment Number t view a the ASN Detail Select a line and click the Delete ASN and Return Lines t Delivery Schedules. This will delete the ASN and remve all shipment lines frm the Wrklist. Yu will then find them n the Delivery Schedules page. Select a line and click the Edit Buttn. Versin 3.0 Page 33 f 37

34 3. When yu select a line click the Edit buttn yu will be brught back t the Enter ASN Header Infrmatin and Submit page. When yu display a previusly saved ASN yu will get an additinal buttn called. This will display an nline reprt shwing all shipment lines in the ASN. A sample will be shwn belw. When yu are ready t submit the ASN click the buttn. After submitting the ASN yu will receive a cnfirmatin page. Versin 3.0 Page 34 f 37

35 View r Cancel Submitted ASN's 1. Select the View / Cancel Submitted Advance Shipment Ntices link If yu d nt see yur recently submitted ASN try again in a few minutes. It can take up t 15 minutes fr a submitted ASN t prcess. 2. After the ASN has prcessed yu will be able t see it. A status f "Expected" means that the ASN has been submitted and the material has nt been received yet. T view details abut the ASN click n the Shipment Number: Versin 3.0 Page 35 f 37

36 Yu will see an nline reprt shwing the ASN details. Click n the link t expand the Order ID rw. Versin 3.0 Page 36 f 37

37 3. Yu can cancel an ASN that has a status f "Expected". Once T cancel an ASN, select it and click n the Cancel Shipment Ntice buttn. Yu will receive a cnfirmatin that an ASN has been submitted fr Cancellatin. After the Cancel ASN prcess runs yu will see the status change t Cancelled. Versin 3.0 Page 37 f 37
