5 Safety Read, understand, and follow all safety information contained in these instructions prior to installation and use of the 3M Pad Staff Workstation Model 895. Retain these instructions for future reference. Intended use The Pad Staff Workstation is intended for use in check-in/check-out of library materials. Library items that use optical barcode technology can be converted to RFID technology using the Pad Staff Workstation in conjunction with a barcode scanner supplied by the customer. Designed for use with a PC computer supplied by the customer, the Pad Staff Workstation includes software programs that enable the user to perform the above functions using RFID tags. The Pad Staff Workstation is intended for use in an indoor library environment, and has not been evaluated for other uses or locations. 6 To reduce the risks associated with repeated body movement, which, if not avoided, may result in minor or moderate injury: Operation of the Pad Staff Workstation may involve repeated body movements. To minimize possibility of Repetitive Stress Injury, avoid prolonged repetitive movements, rest when becoming fatigued and, when possible, alternate job functions with other people. Avoid awkward reaching for items. To reduce the risks associated with environmental contamination from circuit boards containing leadbearing solder within the Pad Staff Workstation, which, if not avoided, may result in minor or moderate injury: At the end of service life, dispose of the Pad Staff Workstation in accordance with federal, state, and local requirements. 10 Section 2: Installation WARNING Do NOT alter system power cords, e.g., by replacing power cord plugs to work with local electrical outlets. Purchase power cords locally when factory cords do not work in a particular location. Step 1: Identify and gather tools required for installation The following tools are recommended for Model 895 installation: Cutting tools (utility knife, scissors) to remove components from packaging Standard set of computer technician s tools (for incidental use only) Step 2: Distribute configuration forms Distribute configuration forms to the library administrator. These forms should be completed and return to you in order for you to complete configuration. See the following: Pad Staff Workstation configuration forms on page 20 Conversion Station software configuration forms on page 22 Step 3: Confirm shipment arrival and installation location Model 895 components are supplied by both 3M and the library, and may be shipped in several cartons. 1. Before arrival at the site, confirm with library personnel that all components have been shipped to the library and that the installation location has been selected. Also confirm that the library will provide the information requested in the 3M Pad Staff Workstation Model 895 Site Planning Guide. 2. Upon arrival at the site, examine the installation location with library personnel to confirm that installation requirements have been met. See the 3M Pad Staff Workstation Model 895 Site Planning Guide. 3. Move all Model 895 components, in their shipping containers, to the installation location. Step 4: Unpack components and gather documentation CAUTION Some components are heavy. Handle carefully to avoid personal injury. Ensure that the furniture onto which system components are placed is strong enough and provides a low slip surface to safely hold the equipment to prevent tipping or falling. 11 Computer, monitor, keyboard and mouse (customer-supplied) Barcode scanner (customer-supplied) 3M RFID Reader Model 810 and RFID Pad Model P12 CF card reader/writer (optional, customer-supplied) Unpack components and gather printed documentation Prepare for initial installation as follows: 1. Open each package, using care in unpacking to avoid damaging or scratching the finish on components. 2. Inspect all components for possible damage to ensure that all required items are in acceptable condition for installation. 3. Take inventory of all system components, including those supplied by both 3M and the library. 4. Save all manufacturers documentation included with both 3M-supplied and library-supplied components. You will need these instructions during installation. 5. Save all packaging for future use if components must be moved or re-shipped. Locate online documentation Following the installation of 3M software during these procedures, online documentation will be available for configuration and operating instructions. Access online help from the Conversion Station application as follows: Click the Help button for 3M Conversion Station software online Admin Help. Click the? button for 3M Conversion Station software online Staff Help. Click the Help button for 3M Pad Staff Workstation software online help. If you are logged in as an administrator, Admin Help will appear. If you are logged in as staff, Staff Help will appear. Step 5: Install RFID pad beneath countertop (optional) Perform this step only if the library wants the RFID pad installed beneath a countertop or desktop and has prepared a work surface for this type of installation. Surface preparation instructions are located in the 3M Pad Staff Workstation Model 895 Site Planning Guide. 1. Locate the four pre-drilled mounting holes on the underside of the countertop. 2. Using the screws from the mounting kit, fasten three mounting clips, leaving one side open to provide a path to slide the RFID pad into place. 3. Slide the RFID pad into the clips as shown. 4. 12 Step 6: Install and start the computer 1. Set up and connect the computer CPU, monitor, keyboard and mouse as described in the manufacturer s documentation. 2. Power up the computer. 3. Configure system settings and operating system security according to the library s requirements. 4. Restart the computer. 5. Log on as Administrator. Step 7: Install scanner and optional keyboard wedge software 1. With the computer powered up, place the barcode scanner next to the computer and connect the USB cable to one of the open USB ports on the computer. 2. Install and configure scanner drivers and keyboard wedge software as described in the manufacturer s documentation. Step 8: Install CF card reader/writer (optional) 1. With the computer powered up, place the CF card reader next to the computer and connect the USB cable to one of the open USB ports on the computer. 2. Install and configure CF card reader software as described in the manufacturer s documentation. Step 9: Install the 3M RFID reader and RFID pad Notes: The RFID pad must be connected to the RFID reader before applying power to the system. When the reader and pad are connected and the power is on, the reader Power light should flash green and the Communication light flash red. If the lights are off, see th troubleshooting information in this handbook. RFID pad placement The RFID pad is typically placed on a flat, non-metallic surface in a convenient location near the computer and monitor. (As previously described in step 4, the RFID pad also can be mounted beneath a desktop or countertop with the kit provided for that purpose.) Make sure the RFID pad is at least 2 inches (5 cm) from metal surfaces. Since the RFID reader is enclosed in a metal case, make sure the reader is at least 2 inches from the RFID pad. Some desks have metal parts beneath the surface. If necessary, the RFID pad can be as close as 1 inch (2.5 cm) from a metal surface, but this will reduce the RFID pad s read range. Place the RFID pad close enough to the system computer and monitor so users can hear and see computergenerated audible and visual cues D1 3M, All rights reserved. 12

13 WARNING: To reduce the risks associated with hazardous voltage contained within the power supply, which, if not avoided, could result in death or serious injury: Do not use the power supply if the case or cord are damaged. Do not use the power supply in outdoor or wet environments. Do not attempt to service or repair the RFID circuitry or power supply no user serviceable parts inside. Do NOT alter system power cords, e.g., by replacing power cord plugs to work with local electrical outlets. Purchase power cords locally when factory cords do not work in a particular location. RFID reader placement The RFID reader can be placed in any location that meets the environmental requirements listed in the equipment specifications. 14 Step 10: Install the software 1. Collect completed configuration forms from the library administrator. 2. Log into the computer with Administrator privileges. 3. Place either the Conversion Station or Pad Staff Workstation CD in the CD-ROM drive. 4. Follow the prompts to complete the installation. Important! Do not run Conversion Station and Pad Staff Workstation software at the same time because they share resources and conflicts can occur. Configure only one of these applications to launch at Windows startup. Notes: When prompted, select Documentation and elect to install the 3M Statistics Reporter ONLY if the system meets the following criteria: 1) Windows Vista does not support this function; do not elect to install the 3M Statistics Reporter. 2) Windows XP supports this function only if the library has manually installed DAO software on this computer; do not elect to install 3M Statistics Reporter unless the system is running Windows XP and the library has previously installed DAO software. When prompted, select Virtual Serial Port (CI Configuration) only if this feature is licensed by the library. 5. Repeat this process with the other CD to install the other application. 6. 16 Section 4: Maintenance Cleaning CAUTIONS: Always turn off system components before cleaning. Do not use abrasive cleaners on the RFID pad. Do not use any liquid cleaning solutions on the RFID reader Per Code of Federal Regulations (CFR) 21CFR for products containing lasers: Use of controls or adjustments or performance of procedures other than those specified herein may result in hazardous laser light exposure. Component Monitor RFID pad Scanner window Component exteriors Instructions Use pre-moistened towelettes that are sold specifically for monitor cleaning. If these are not available, use a non-solvent based cleaner to dampen a soft cloth and use it very sparingly. Gently rub the pad with a soft cloth dampened with a mild cleaning solution. Wipe the scanner window with a clean, dry, cotton-tip swab or cotton cloth. Dampen a soft cloth with water or a mild cleaning solution and gently wipe away dirt D1 3M, All rights reserved. 16

18 Section 6: Troubleshooting RFID pad does not read tags Make sure that the items that you are trying to read are equipped with 3M RFID tags. Make sure the reader s green power light is flashing. If the power light is NOT flashing: Check power connection to the RFID reader and power transformer. Make sure the threaded portion of the reader s power connection is tightened finger tight. Make sure that the power outlet that the power transformer is plugged into is ON. Make sure that the RFID reader s Communications light (red) is flashing. If it is not, ON, make sure Conversion Station software is installed and running on the computer. RFID pad read range is reduced (less than 6 in.) Ensure that the RFID pad is at least two inches (5 cm) from metal surfaces. Some locations may have hidden metal. Try relocating the RFID pad to see if the read range improves. Make sure the item s RFID tag is placed in the center of the RFID pad. RFID pad does not always read all tags placed on it Make sure you are not trying to read blank, invalid, or disabled tags. Make sure tags are within the RFID pad s read range. Make sure tags are positioned near the center of the RFID pad. Barcode scanner problems/solutions If the scanner won t start, check cable connections. If the scanner has a poor read rate, check for dust and fingerprints on the scanner window and wipe it with a clean, dry cotton-tip swab or cotton cloth if required. If you have other scanner problems, check the manufacturer s documentation for possible solutions. Run scanner or RFID reader diagnostics 1. Log in as the Administrator. 2. Click the Setup tab. 3. 20 Section 8: Additional information Pad Staff Workstation configuration forms Use these forms to record Pad Staff Workstation configuration information, which the 3M technician will use to configure your system. Scanner and RFID reader configuration are shared between the Pad Staff Workstation and Conversion Station software. Consequently, you need to fill out the scanner and RFID reader portions of these configuration forms only once. Hotkeys Hotkeys are keyboard shortcuts used to select an operating mode. 21 Library card characteristics For the system to distinguish between a library card barcode and library item barcode, specify a characteristic of the card s barcode to enable the system to distinguish between the two. Library and branch names Names appear in the Conversion Station software interface and have a 30 character limit.
