Box 2758 Manama, Bahrain Tel: Fax: Notify : (Name of Exhibitor) C/o IFOC2018, Bahrain Remark : Exhibition Goods 1.2 Documents Requirements Permanent and Temporary import shipments must be forwarded with separate documents under separate Air Waybill / Bill of Lading. The entries on the Invoices must be in the English Language (and in Arabic if available) and in accordance with the rules and regulations of the Oman Customs Authorities. Prior approval required for the import of Food items, Live plants/flowers, Cosmetics, Wireless/ Telecommunication/ Radio/ Defense items, Hazardous/ Radioactive materials, Class rated shipments etc., - contact us for the necessary documents required prior to dispatch of shipments from origin. Following documents are required for purpose of import clearance on arrival. 4 COMMERCIAL INVOICE The invoice must bear original signature & stamp and the following information: Number of packages, itemized description of goods, itemized engraved serial number, itemized harmonized code, itemized value, total C&F value indicating currency code, total number of packages, country of origin and the remark that the shipment is for temporary import into Bahrain for IFOC 2018 and will be re-exported after the exhibition. PACKING LIST The Packing List must give details of the number of packages, weight and measurement of individual package including shipping marks of the goods. CERTIFICATE OF ORIGIN As per the rule, Certificate of origin must be issued from the local Chamber of Commerce at origin and endorsed by Bahrain Embassy or any Arab Consulate at origin. However, shipments can be cleared without Certificate of Origin by paying US$ as customs fine (non-refundable). Details on all documents must tally with the actual shipment. At the same time, any port storage and demurrage incurred as a result of this shall be additional for account of the exhibitor. Cargo arriving after the deadlines shall be subject to a late arrival surcharge. 5 th March 2018 Page 2
5 1.5 DOCUMENTATION To ensure no delays or undue inconvenience to customs clearance on arrival, it is imperative that the above documents must be forwarded via or fax: Agility Fairs & Events IFOC 2018, Bahrain Attn. : Mr. Anil Thomas anthomas@agility.com Fax : Temporary importation into Bahrain will be granted only if: 1) Separate documents are issued for Temporary and Permanent import items 2) Visible engraved serial numbers are available on individual items and documents The entries on all documents must be in the English Language and in accordance with the rules and regulations of the Bahrain Customs Authorities. Failure to comply with documentation and accuracy will result in delay and undue inconvenience, storage and other dues which shall be for account of the exhibitor. Giveaways, brochures, catalogues, magazines, printed matters, CD Roms, consumables etc., are dutiable on final 5% of CIF value assessed by Customs Authority and must be given a value based on C&F basis. DO NOT INDICATE No Commercial Value on the invoice. 1.6 CASE MARKINGS All packages, whether by airfreight or sea freight must be properly marked for identification on arrival, as follows: IFOC 2018, Bahrain C/o Agility Fairs & Events P. 6 1.8 COURIER SHIPMENTS Do not send courier shipments addressed to exhibition hall or hotel as it will probably not arrive on time. In event the exhibits are stopped at airport on arrival, exhibitors are required to handover the shipment along with the Invoice and Packing list to Customs Authorities at airport against issuance of Custody Receipt. Thereafter, handover the original Custody Receipt along with copy of invoice and packing list to us urgently for customs clearance. In which case, please allow up to 2 working days for customs clearance with the Bahrain Customs prior to delivery to the booth. All charges for this urgent clearance shall be for account of the exhibitors RESTRICTED CARGO Import of food items, live plants/flowers, tiles/ marbles, alcohol, wireless/radio/defense, telecommunication equipment and radioactive materials of hazardous in nature are subject to prior approval of the respective authorities. Thus, do not ship these goods into Bahrain without our prior confirmation of approval from the authorities. In order to arrange for these importations, we suggest you send us information of such materials at least 45 days prior to dispatch of shipment from origin. Any fee arising from such application shall be additional for account of the exhibitor plus a processing fee of US$ for our agency fees. Ensure that no labor, capital, parts or raw materials of Israeli origin have been used in the printing, publishing or manufacture of the goods and none are part or parent companies of firms included on the Israeli Boycott Blacklist 5 th March 2018 Page 4
7 1.11 INSURANCE We would like to advise that it is the responsibility of each exhibitor to arrange Marine (Transport) Insurance covering transport to the exhibition, during the exhibition, and the return of the exhibits to domicile, including the period the exhibits are handled by Agility-Fairs & Events, and also ensure that Transport Insurance in arranged for exhibits sold locally. Our tariff is computed on the basis of volume and weight and has no correlation with the value of exhibits, it follows that the cost of insurance cover is not included in our charges. Upon written instructions, Agility - Fairs & Events can offer the exhibitor insurance coverage at competitive premiums RE-EXPORT / PERMANENT IMPORTS At the end of the show, all exhibits must be re-exported out of the country. Freight and other related charges will be on account of the exhibitor. Agility s representatives will be on-site during the show dates to help exhibitors with the re-export, disposal or giveaways. In the event the exhibitors would like to leave the exhibition goods in Bahrain for disposal or giveaways, the permanent import is subject to Bahrain Customs approval and once it has been agreed, the exhibitors or the buyers are required to pay all duties and taxes including the formality to convert the temporary import to permanent import. If the import duties and taxes are not paid after the show dates, the exhibition goods will be transferred to a Customs Bonded Warehouse automatically and exhibitors or buyers will have to pay for the additional transfer and storage prior to the release of the cargo at the customs bonded warehouse. Even if goods are to be disposed, duties and taxes are payable by the exhibitors and any additional disposal charges shall be additional for account of the exhibitors TERMS OF PAYMENT Inward : Upon uplift of goods, prior to delivery to stand. Outward : Upon presentation of invoice/prior to re-export from site All payments must be made without any deduction or deferment on account of any claim, counterclaim or offset. 11 Note The above rates exclude transportation, unpacking, re-packing, stand dressing, assembly of display panels or machinery or decoration of any kind. If these special services are required, it will be subject to a mutual agreement with the exhibitor and additional charges will be levied. All third party charges not listed above will be charged at cost. If shipment arrived earlier at border customs and guided/transported to port and then to the exhibition site, then LCL Seafreight handling charges will be applicable. 2.7 COURIER SHIPMENTS From arrival at Bahrain International Airport up to delivery to exhibition stand, excluding the censorship fee levied by the Board of Film Censors. 12 2.10 RENTAL OF FORK-LIFT Rental of forklift is available for set-up of exhibits if required. The rental rate is: 2,000 kg forklift US$ per hour Minimum charge Per day 2 hours per order US$ per 8 hours 2.11 MANPOWER Labour is provided for unpacking and positioning of exhibition goods in our handling rates. However, if exhibitor would like to hire additional labour for stand dressing, etc, the manpower rate shall be as follows: Saturday to Thursday Minimum per order Friday & Public Holiday Minimum per order US$ per man per hour 2 hours per order US$ per man per hour 2 hours per order 2.12 HEAVY-LIFT SURCHARGES Our tariff for seafreight and airfreight consignments is applicable for exhibits not exceeding 2,000 kg per package. Exhibits in excess of 2,000 kg per package & for units in excess of 2.0x2.0x1.5 meters will be subject to a heavy-lift surcharge as follows applicable separately for inward and outward movements: Up to 5 Ton capacity US$ per minimum 4 hours order 7 Ton capacity US$ per minimum 4 hours order 10 Ton capacity US$ per minimum 4 hours order Exhibits exceeding 8,000 kg per package will be subjected to an individual quotation when the dimensions and weights are provided. Please contact us for further information IMPORT LICENSE Exhibits subject to certain Ministry Import Licenses shall be subject to an application processing fee of US$ per consignment per exhibitor (HAWB or HB/L). Any additional charges levied by the Ministry will be additional for account of the exhibitor. 5 th March 2018 Page 10
13 2.14 PERMANENT IMPORT Exhibition goods imported on temporary import may be converted to permanent import subject to Dubai customs approval and payment of relevant duties and taxes thereafter. In addition, there will be conversion of temporary import to permanent import agency processing fee at: Temporary Import to Permanent Import processing fee US$ per consignment per buyer This fee shall be applicable for exhibition goods which are not re-exported but are required for disposal and destruction. The exhibitor will also be required to pay for whatever duties and taxes for goods for disposal/to be destructed and destruction charges as applicable TRANSFER TO BONDED WAREHOUSE In the event that permanent import and duties and taxes re not approved, the exhibition goods will be transferred from exhibition venue to a Customs Bonded Warehouse at the following rate: Transfer from Venue to Customs Bonded Warehouse Minimum Charge US$ per CBM or 1,000 kilos whichever is greater US$ per consignment per exhibitor or buyer NOTES TO TARIFF All rates are quoted in U.S. Dollars. Our tariff are based on work hours (with one hour lunch break) as defined as: Saturday Thursday - 08:00 to 17: 00 hours In the event of overtime, overtime surcharges shall apply. Cargo arriving after our deadline shall be subject to 30% late arrival surcharge of handling tariff. Storage charges, Trailer detention charges, other official charges etc., if applicable at site, then the same will be additional. For additional services not listed above, an individual quotation will be given upon receipt of your requirements. Consolidation is not permitted if shipment to be customs cleared on temporary basis. For valuable cargo, serial number, tag number, art number with pictures must be provided and should be mentioned on all shipping documents. This Tariff is not applicable for valuable cargo. 14 Amendment / surrender charges for AWB or MB/L if any will be charged additionally at cost + 10% outlay fee. Container detention or Port demurrage or Trailer detention if any, will be additional. Special handling / services / transportation if required, then the charges for the same will be additional based on the scope of work. Please advise us the details of such early arrival shipments prior to the dispatch from origin. Non-Delivery of goods to stand to be reported before opening of the show to the site office or Agility representative. Non delivery could possibly be due to (and not limited to) instances such as: Delay due to incorrect documents Delay in customs approval No pre-alert / documents For customs duty /incorrect documents, 10% will be additional to the cost. Failure to notify in due time, Agility / Airlink, their partners/sub-contractors shall not be held responsible for the same. At the Close of the Event: It is imperative that every exhibitor has completed and signed the Return Shipping Instruction Form before they leave the exhibition. Agility / Airlink and their partners/subcontractors will not be held responsible for any loss of shipment or damage incurred due to an exhibitor not completing or signing the form correctly. If the exhibitor needs to change the number of packages returning and has failed to provide Agility / Airlink with the revised instructions, Agility / Airlink will not be held responsible for any such discrepancies in the piece count. If for some reason the exhibitor has not been able to meet with our representative, and the exhibitors have a return shipment requirement, they should either visit our site office or contact Agility / Airlink representative at the earliest opportunity to complete their disposal instructions. Alternately, please contact Mr. Anil Thomas on / If the exhibitor has sold their exhibits to a 3 rd party during the event, it is the sole responsibility of the Exhibitor thereafter and Agility and their partners/sub-contractors will not accept responsibility for any loss or damage after this time unless otherwise specified in writing. The exhibitor must be present to oversee the collection of all Exhibits. A complete return instructions needs to be provided by the agent or exhibitor to Agility / Airlink prior to the show closing so that a direct handover to Airline / Shipping line can be arranged. Failure to provide the Return Instructions within the time frame will result in transfer of consignment to Agility warehouse and any such movements will be subject to additional handling and transport charges will be billed on a case to case basis 5 th March 2018 Page 12
