2 Introduction Dear Exhibitor / Agent, These instructions are designed to help you with the movement of your exhibits, and stand material, tfrom the USA to DSEI We recommend that you engage the services of our nominated USA agent, TWI Group Inc., who can offer a complete, door-to-door service, for your exhibits. If you decide however, not to use our recommended agents, we ask that you pass these instructions to your chosen freight forwarder, for their information, so that your exhibits can be correctly dispatched and consigned to us. Failure to comply with these instructions, and the deadlines herein, may cause unnecessary delays in clearance and additional expenses being incurred. Please read these instructions carefully, and note that all work undertaken by Agility Fairs & Events, is done so in accordance with our General Trading Conditions, copies of which are available on request. Shipments consigned to DSEI Logistics, Agility Logistics or Agility Fairs & Events will indicate acceptance of our General Trading Conditions, and any quote or tariff, supplied by Agility Fairs & Events. 3 UNITED KINGDOM IMPORT AND EXPORT CONTROLS The majority of goods can be imported into the United Kingdom without the need to apply for an import licence. Exceptions to this are firearms and ammunition. Please contact us if you have Consignments of Prohibited Firearms for further information on importing such articles. Other goods requiring import licences include embargoed items such as anti-personnel land mines and torture equipment. Such embargoed goods are not permitted to be displayed at DSEI and therefore cannot be imported for the event. Whilst many goods do not require a UK import licence, many military and some commercial goods will be subject to export controls and require an export licence to be re-exported after DSEI Goods designed specifically for military use requiring a UK export licence include (but are not limited to) the following Parachutes of any kind (personnel, cargo, missile etc), electronic equipment, software, data (i.e. models, plans or formulas), protective or decontamination goods, weapons (including bacterial or viral cultures, chemicals or lasers but excluding air guns), weapon attachments (i.e. suppressors, silencers or sights), explosives, armour plate of any kind (vehicles, personnel, building etc) including protective helmets, aircraft or parts thereof (including UAV's and parts thereof), specialised equipment for military training or simulation, closed or semi closed circuit re-breathing apparatus. Commercial goods not specifically designed for military use but that have such high technical specifications that they could be used for military purposes (so called 'dual-use' goods) can also be subject to export controls. Most licencable goods that are returned to the original shipper in the country of origin (i.e. going back to the same place and to the same company that originally sent them to DSEI) can be re-exported under the. Open General Export licence Export After Exhibition or Demonstration : Military Goods or Open General Export licence Export After Exhibition : Dual Use Items.. subject to the conditions of the licences. Some goods or destinations are not covered by the Open General Export licences. Please visit the below mentioned websites for more information. Goods being forwarded to destinations or consignee s other than that of origin cannot be re-exported under the above OGEL s. Licensable items not permitted to be exported under the above OGEL s will require a Standard Individual Export Licence. Agility can assist with the application of an SIEL (prices for our assistance are available upon application). SIEL processing can take up to 60 working days with no guarantee of being issued within this time. Please bear this in mind for any urgent re-export requirements after DSEI Agility Fairs & Events 3

DOCUMENT DEADLINES Sea Freight Consignments: 10 days prior to the arrival of the vessel - Copy of express release B/L (please send your shipments express release to avoid delays) - One copy of combined invoice and packing list - Certificate of treatment/fumigation if applicable and a Packing Declaration Air Freight Consignments: 5 days prior to the arrival of the flight - A pre-alert including the flight number, weights and dimensions - One copy of the AWB - One copy of combined invoice and packing list CONSIGNMENT DEADLINES - LCL Seafreight Consignments must arrive in the UK at least 10 working days prior to being needed on site. - FCL Seafreight Consignments must arrive in the UK at least 7 working days prior to being needed on site. - Air Freight Consignments must arrive in the UK at least 7 working days prior to being needed on site. 5 CONSIGNMENT INSTRUCTIONS - Road We have two options available to you for road freight shipments. These are as follows: Shipments (FREIGHT to our warehouse PREPAID) via our advance warehouse**: CONSIGNEE: DSEI 2013 c/o Agility Fairs & Events Bays Sandstone Lane, ExCeL Exhibition Centre, London E16 1AA enquiries@dseilogistics.com ** Any vehicles making deliveries addressed to / collections from our warehouse that arrive between the 3 rd September and 16 th September will need to go via Silvertown as direct access to our warehouse will not be possible without a pass. ** For all shipments being sent to our advance warehouse, a pre-advice must be sent to us, by fax or , 5 days before loading of the vehicle at place of origin. We will then supply a reference number, for the goods, to assist with booking the goods in to our warehouse. Please also ensure your stand name and number are clearly marked on all packages. Shipments via Full Trailer Load (FREIGHT PREPAID) directly to the showsite: Due to building works / limited space around the ExCeL venue, an off site traffic marshalling office will be in operation for DSEI Any vehicles for DSEI must go via Silvertown during the show tenancy dates (3 rd September to 16 th September) CONSIGNEE: DSEI 2013 C/O (Exhibitor Name & Stand Number), ExCeL Silvertown Quays, Connaught Bridge, Newham, London E16 2BU For all shipments arriving directly at Silvertown / ExCeL, a pre-advice must be sent to us, by fax or , 5 days before loading of the vehicle at place of origin. Please send your pre-alerts to enquiries@dseilogistics.com DOCUMENTS / CONSIGNMENT DEADLINES All documents, such as the CMR or Delivery Note must show the consignee as indicated above depending on your method of shipment. -Groupage consignments must arrive at our advanced warehouse at least 4 working days before delivery on the stand is required. -Full Truck consignments must arrive at the venue on the day unloading is required. 6 GUIDELINES Courier Shipments Due to security restrictions couriers will not be able to make direct deliveries to the ExCeL Exhibition Centre / your stand. All courier shipments during show tenancy (3 rd -16 th September 2013) will be received at the Agility Fairs & Events Courier Receiving Point, which will be based at Silvertown (see details below). Courier shipments will be logged, stored and subsequently delivered to your stand, at an agreed date / time. Alternatively, you can visit our site office, on arrival at ExCeL, and we will arrange to have your shipment delivered to you. We can also receive courier shipments at our advance warehouse PRIOR to the 3 rd September if you would prefer to send your shipment to the show at an earlier time. HANDLING CHARGES & PAYMENT Please refer to the on-site courier receiving section, of our dedicated DSEI Logistics website to obtain details of charges for the handling of courier shipments. Please note payment of our services, by credit card, incur a 5% surcharge. MARKING AND LABELLING For details of how to mark / label your courier shipment, please visit our dedicated DSEI Logistics website to obtain details / labels, from the courier receiving section. Please ensure that your packages are marked with your stand name and number. PRE-ADVICE Please , a completed order form, plus details of your courier shipment (courier company used, tracking number, pieces & weight) prior to sending the shipment. address enquiries@dseilogistics.com DEADLINES Any courier deliveries to our advance warehouse must be received no later than 2 nd September Any deliveries between 3 rd September and 16 th September must be addressed to the Courier Receiving Point. HANDLING Agility Fairs & Events will only receive shipments that are freight prepaid and customs cleared/released (to include any duty and tax for the account of shipper). INSURANCE COVER It is recommended that all exhibitors should arrange a comprehensive cover for their goods which covers shipment to the United Kingdom, the period of display and which allows either return to the country of origin or an appropriate disposal period at the conclusion of the exhibition. All transactions are undertaken subject to our Standard Trading Conditions. 7 DOCUMENTATION In order to assist you in the preparation of documents, we have attached within this shipping manual, a Combined Commercial Invoice and Packing List, for your use. Explanatory notes on the completion of the Combined Commercial Invoice and Packing List form are as follows: All entries in these forms must be in English A full description of the item must be given. Do not just indicate the model name or model number. Describe the item - such as 1:3 scale (cutaway) model or souvenirs - lapel pins or wooden display plinth - floor standing etc For all items please include the HS No. / Tariff Code IMPORTANT Every individual item, including giveaway items and brochures, is to be given a value based on CIF road/sea/airport arrival value. Failure to comply may result in the value indicated being taken by UK Customs as the FOB value, and the freight amount showing on an AWB etc as the freight amount. This will result in higher Duty & Tax being applicable, or a higher temporary import fee. This is a customs requirement and is not within our control. The following declaration must be indicated: The invoiced goods are of...(country)... origin and are intended for display purposes only at DSEI 2013 Exhibitors are to indicate the items that will be re-exported as well as the items that will be disposed of, consumed or given away at the end of the exhibition. To assist, the following explanations are offered: COMMERCIAL INVOICE This must show the full description of goods, including unit prices and total prices. A separate invoice should be issued for giveaways, samples, brochures etc. Restrictions apply on quantities of giveaway items allowed which should be appropriate to the duration and attendance of the exhibition. PACKING LIST Must be provided and show: Package number (it must match the case / markings previously mentioned) Full description of contents Gross weight / Net weight / Dimensions A copy of the packing list should be firmly attached to the case beneath the case mark. Customs may examine the goods on importation, so it is essential that a detailed packing list is provided to avoid delays in clearance. Although not essential, to facilitate customs clearance, items such as giveaways, brochures, etc, should be invoiced and packed separately. When cargo is shipped as an FCL/FCL container, a container packing list/manifest is required. Agility Fairs & Events 7

8 DOCUMENTATION INSURANCE It is recommended that all exhibitors should arrange a comprehensive cover for their goods which covers shipment to the United Kingdom, the period of display and which allows either return to the country of origin or an appropriate disposal period at the conclusion of the exhibition. Shipments consigned to DSEI Logistics, Agility Logistics or Agility Fairs & Events will indicate acceptance of our General Trading Conditions, and any quote or tariff, supplied by Agility Fairs & Events. CUSTOMS FORMALITIES/EXAMINATION There are three (3) means of importing goods into the United Kingdom. They are as follows: ATA Carnet Entry for goods under ATA Carnet allows for free movement of the goods within the EU, after the exhibition, for a period of up to twelve (12) months or until the expiry of the Carnet, whichever occurs first, before which the goods must be re-exported (under Customs supervision). Temporary Import Goods may be temporarily imported under Agility Fairs & Events Temporary Import Bond Facility / Customs Guarantee subject to a non-refundable bond fee. Please be advised that all goods entered under our bond / guarantee, remain under our control and, at the end of the show, should either be re-exported, or subsequently permanently imported, by Agility Fairs & Events only. Permanent Import This is for goods entered for home consumption i.e. to remain in the United Kingdom, where import duty and Value Added Tax (VAT) will apply. You can contact us for Duty and VAT % rates. Please Note: Goods that are given away may not be exempt from VAT and duty. VAT and duty may still be payable. WOODEN PACKING MATERIALS As from 1 st March 2005 new regulations for import of wooden packing materials into the European Community came into force. From this date, all wooden packing materials entering one of the EU ports will need to to conform with the international phyto-sanitary standard ISPM-15. In short, this means: Only wood, free of bark, correctly treated and showing the IPPC Stamp will be accepted. Agility Fairs & Events 8

PAYMENT OF CHARGES Providing an exhibitor has utilised the services of our nominated agent, all charges incurred will be forwarded to that agent for payment on behalf of the exhibitor.

Where an exhibitor has utilised another freight forwarder who has not been nominated by Agility Fairs & Events, arrangements MUST be made for payment PRIOR TO DELIVERY TO THE STAND. In the event where the you have utilised the services of another freight forwarder and you wish to pay by credit card, a 5% surcharge will be applicable. Should payment be made in cash, it MUST be made in British Pounds. A receipt will be provided at the time of payment. Agility Fairs & Events does not accept payment in foreign currencies. Shipments consigned to DSEI Logistics, Agility Logistics or Agility Fairs & Events will indicate acceptance of our General Trading Conditions, and any quote or tariff, supplied by Agility Fairs & Events.
